Using the Google Calendar Appointment Feature

Google calendar includes an option to create pre-set appointment slots that others can view and reserve.  Once appointment slots are created in your calendar, every Google user account has a unique appointment calendar that can be shared with those needing to reserve a meeting time.

Creating Appointment Slots in your Calendar

Step 1: Within your Google Calendar, click into the approximate time block for the appointment slots. 

Step 2:  Click the Appointment slots option.

Step 3:  Click More options to access the full meeting settings in a separate window. 

 Step 4: Enter a title for the meeting

Step 5: Adjust the date and time as needed for this appointment block. 

Step 6:  Adjust the slots with duration setting as needed. This will determine the number and length of time slots within the block.

Step 7:  If desired, set the appointment block to repeat within your calendar. 

Step 8:  If desired, enter location information. 

Step 9:  If desired, enter additional  guests to attend the meeting. Guests added in this step will also receive an  invite when a new appointment is reserved 

Step 10: Enter details in the description field that you would like communicated to registrants in the meeting invite once they register for a time slot. 

Pro Tip: Details might include how to prepare for the meeting or a Zoom meeting link to connect virtually.

Step 11: Click Save to add the appointment block to your Google calendar. 

Appointment events are identifiable in your calendar by the block icon. 

Locating and Sharing your Appointment Calendar

Once meeting slots have been created, you will need to share the unique URL for your appointment calendar with those needing to reserve a time. This unique meeting calendar will display all meeting slots that exist in your calendar and never changes within your account. 

Important note: When sharing an appointment calendar with others, it is important to request that they use their Nazareth College email address to reserve the meeting times to ensure their calendar is in the correct time zone. Personal Gmail accounts are not automatically set with EST time zone.  This can result in your meeting slots not appearing correctly in their calendar. 

Step 1: Click into any appointment block on your calendar. 

Step 2: Click Go to appointment page for this calendar. 

Note: Every Google user has a unique appointment calendar URL that never changes. The same link will appear in any appointment blocks within your calendar. 

Your appointment calendar will appear showing your preset appointments as grey blocks. 

Important note:  When viewing any appointment calendar, it overlays all your personal calendar events. When others view your appointment calendar, they will only see the grey appointment blocks not your personal events. They will only see their own personal events to help them determine their availability. 

Step 3: If desired, use the arrows to review all future appointment slots. 

Step 4: Select the entire calendar URL and copy it. 

Step 5: Share  this URL with those needing to reserve appointment slots via email, as a URL in your Moodle course. or other method. 

Pro tip: Always test to make sure you have the complete appointment URL by pasting in a new web browser tab. 

When someone reserves an appointment slot, a new event block will appear on your Google Calendar next to the appointment block. You along with the individuals reserving a meeting will also receive a meeting invite for the time slot.
