ADMINISTRATION DEPARTMENT OFFICER (ADMIN).


Under the direction of the Company Commander and as head of the Administration Department, provide administrative services for the staff and Unit by insuring that the activities listed below are carried out.

a. Establish a system to ensure that personnel data on file is current utilizing the NJROTC CDMIS.

b. Ensure that all correspondence within and from the Unit is prepared in accordance with the Navy Correspondence Manual or other standards adopted by the Senior Naval Science.

c. Ensure that a file copy of all correspondence is maintained for a period of two years. A computer disk file is sufficient for most correspondence; however, a “paper” copy of all outgoing official correspondence will be maintained in the file cabinet for a period of not less than two years.

d. Maintain a file of all incoming correspondence addressed to the Unit and maintain the master file of all significant internal NJROTC correspondence and reports.

e. Keep and write up minutes of all staff meetings. After the minutes have been approved by the CO/XO, distribute copies to each officer and the SNSI/NSI. Keep a file of all minutes.

f. Assist the SNSI/NSI/CO in the preparation of all required reports, including awards, decoration, and certificate recommendations.

g. Ensure that computer support meets the needs of the staff and the Unit and those cadets from other departments that use the computer are properly trained and supervised.

h. Ensure that the files of other departments and teams are maintained in a neat and professional way.
