From February 2018 onward, all staff MUST capture research outputs on the Converis publication management system.
Login to Converis. Go to https://www.uwc.ac.za/study/postgraduates/postgraduate-support. On this page you will see a link for internal UWC staff members and one for external staff members.
Use your UWC Novell credentials to login.

Staff who are struggling to upload on their own can reach out for assistance by uploading their requests to the link, with all supporting documents combined in one ZIP file. Link - https://forms.gle/GWfK5MqfJEMupfAX6. Staff are reminded not to email the research assistants. All requests must be uploaded and all documents completed correctly.
Please choose, download and complete the appropriate documents for your Converis upload request from the following list:
1. Use the EXTERNAL UWC STAFF LOGIN (instead of the INTERNAL UWC STAFF LOGIN as above)
2. Confirm with ICS that your Novell credentials are current (passwords need updating as per ICS guidelines).
3. Staff without Novell/Ikamva credentials and/or Converis login details should please contact Janene Marais (jmarais@uwc.ac.za).
Please refer to the training manual or video for instructions on how to upload your publications from external sources (using your ORCID ID, for example). This should take no more than 15 minutes. If you are not able to upload your publications, they should be entered manually.
Only journal articles published in journals that are listed in the DHET- approved indices (see lists below) will be accepted. The list is updated annually by the DHET on their website.
In order to be considered for subsidy, published conference proceedings must meet the following criteria (Section 7.4 of DHET policy):
The purpose of the proceedings must be to disseminate original research and new developments within specific disciplines, sub-disciplines or fields of study.
Complete articles (not abstracts) accepted for publication in the proceedings must be peer-reviewed prior to publication and there must be evidence to such.
The proceedings must have an International Standard Book or Serial Number (ISBN or ISSN).
Proceedings published on-line must have an e-ISBN or e-ISSN.
The target audience of the proceedings must be specialists in the relevant field.
More than 60% of contributions published in the conference proceedings being submitted for a subsidy claim must emanate from multiple institutions;
The conference must have an editorial board and/or organising committee, with a significant majority of members beyond a single institution, which is reflective of expertise in the relevant subject area;
Please refer to the DHET Research Output Policy Document for the criteria for submission of books, book chapters and conference proceedings.
The DHET requires a written motivation by the author of the chapter (if individual chapters are being claimed) or the general editor (if the entire authored book is being claimed). This is to be submitted on the Scholarship justification form
1. When no electronic copy is available, submit ALL hard copies of books, chapters and conference proceedings via your Faculty to the RDO. The RDO will not accept any hard copies directly from the researcher.
2. The RDO will not be responsible for uploading any research outputs on behalf of the Researcher.
3. Please ensure that you enter the pubcount reporting year as 2022
4. Please ensure that all supporting documents are added to converis and that they are accessible
5. When submitting a book of book chapter, also submit a Scholarship justification template

The subsidy of research outputs are governed by the terms of the DHET Research Policy. The policy (para 5.2) states that "Only articles published in approved scholarly journals are subsidised. The Department will determine, in consultation with the sector, which lists of accredited journals and indices are approved in terms of this policy. The Department will issue, on or before 31 January each year, updated official lists of journals for each reporting year. In order to ensure stability of the system, approved lists will not change drastically from year to year or in a way that would cause confusion."
Please check the status of the journal on the latest indice BEFORE you submit your paper to it.

1. DHET approved journal indices
The DHET will subsidise a journal article if the article is listed in one of the indices (e.g. Scopus) in the DHET spreadsheet for the year of publication. Consult the DHET list before submitting an article.
2. A note on predatory journals
Please note the following clauses in the DHET Research output policy:
o “Institutions should safeguard against predatory journals whose main purpose is financial gain rather than the quality of research.” (Paragraph 5.3);
o “The approved list of journals serves to support the implementation of the research output policy and therefore researchers have to publish in journals that adhere to the criteria as defined in the Policy.” (Paragraph 9.2);
o The Department reserves the right to withhold or reclaim payment of research output subsidy in respect of any publication published in a journal that does not meet the criteria as outlined in this Policy. (Paragraph 9.3);
The onus therefore is on the researcher to satisfy him/herself of a journal’s standing. Even if a journal appears on the DHET spreadsheet, it does not mean it may not be engaging in predatory behaviour.
