FAQs (Students)

How I share my work with an external assessor (practice supervisor, practice assessor)?

There is no difference in access for your Practice Supervisor or Practice Assessor; they just need to complete different parts of your workbook.  To PebblePad, they both count as 'external assessors'.  You share with them in exactly the same way.  You do not need to share with your Academic Assessor (or any other Hallam staff), as they can access your workbook via Blackboard.

The sharing option ‘with an external assessor’ isn’t there

Does the share menu have an option that says 'with ATLAS'? 


The presence of the ‘with ATLAS’ option shows that you haven't yet submitted your work for assessment. It may seem a little odd to submit your Pebblepad when you're still working on it, but it submits a live working copy that you can continue to edit. You need to do this first before you can share with your supervisor, assessor or mentor.


To resolve the issue follow the video guidance in How to submit your work for assessment (auto-submit) as this will resolve the issue for most students. If you find your assignment has not been set up for auto-submit follow the guidance in 

How to submit your work for assessment (student submission) instead.


Once you have successfully submited your work the sharing option ‘with an external assessor’ will become available. 

I can’t find my supervisor, assessor, or mentor when I search for them 

If this is the case, please direct your external to our FAQs below in the Supervisors, Assessors and Mentors section: 'How can I get a Hallam PebblePad account?'


Please note, your external will still need an account with us, even if they have already been using PebblePad with students from other institutions.  You won't be able to find them in the search till they are registered with Hallam.

My supervisor, assessor or mentor hasn't been sent their log-in details

My assessor, supervisor, or mentor can see my work but they can’t edit it 

This issue will occur if you have shared with your assessor, supervisor or mentor using the share option ‘with people’ or ‘with the web’.

If this is the case you can resolve the issue by sharing again but selecting the option ‘with an external assessor’ instead. This brief video shows how to share with your assessor, supervisor or mentor. 

I was able to share with my assessor, supervisor or mentor previously, but they can no longer access my work 

This issue can occur if you have applied an expiry date to the share with your assessor, supervisor, or mentor, and that date has since passed. If this is the case you can resolve the issue by visiting the share settings on your work and removing or extending the expiry date. 

I’ve changed course/cohort/deferred my studies 

Your blackboard site automatically synchronises data in the background that enables staff and students enrolled on the module to collaborate via Pebblepad. When you change course or defer and then resume your course you are moved onto a new Blackboard site, one for the current year. This change disrupts the original synchronisation and will lead to issues with sharing your work.

To prevent/resolve these issues you need to set up and start working in the PebblePad associated with the current Blackboard site. You will be able to add a link back to your previous PebblePad work so none of it will be lost. You need to go to your current Blackboard site and follow all the steps below:

Step 1 - Activate the workbook associated with your new cohort

Step 2 - Link back to your previous PebblePad work 

Note that for the MYEPAD the link goes into the 'Record of Communication' as shown in the video; for the eMORA the link goes into the 'About Me' section

Step 3 - Share your new workbook with your external assessors.  You should continue to complete all your remaining work in this version, and ensure this is the only version you choose when sharing with your assessors/supervisors.

My timesheets aren't showing / how do I get my timesheets into my workbook?

Method 1 - Does your workbook use weekly timesheets which are embedded in the resource store/Worked Hours page? If so, to resolve the issue all you need to do is change the toggle for the search results to ‘on’. This applies preformulated tags to your timesheets so that they display in the right section of your workbook where you and your assessor can see them.

Method 2 - Are using the single shift timesheets in the PebblePocket App? If so you will need to 'send' the assets from the App to the Asset Store first, then go to the ‘worked hours’ section of your workbook, find the weekly timesheet and use the ‘add evidence’ button to upload them from your Asset Store into your workbook.

My assessor and I are seeing different things in my workbook/ cant see new entries from each other 

Usually this issue occurs when you have been working in a ‘recovered copy’ of your workbook. These get created when you open your workbook in multiple places at once or when you don't save them before exiting. A recovered copy is a back-up copy of the original that only you can see, so you may have been working on the recovered version while your assessor has been working on the original.


To resolve the issue you need to go into the recovered version and copy across any new content to the original workbook. Any content with tags should have copied over automatically, but you may need to copy and paste some fields over or re-add some attachments. 


You should then delete the recovered version to avoid confusion in the future.This video guidance shows you how you can identify the recovered copy and the original

The assessor fields are showing as having been completed by me 

The assessor field will always show up as having been completed by the student in ‘recovered’ versions of your workbook.


Recovered versions get created when you open your workbook in multiple places at once or when you don't save them before exiting. To resolve the issue you need to go into the recovered version and copy across any new content to the original workbook. I have more than one copy of my work

One copy is probably a ‘recovered’ copy. These get created when you open your workbook in multiple places at once or when you don't save them before exiting. A recovered copy is a back-up copy of the original that only you can see, so you may have been working on the recovered version while your assessor has been working on the original.

I keep on getting a forced log out/ my assets are disappearing 

This is a known issue and occurs if you have used the share ‘with people’ option to give ‘collaborative’ permissions to your workbook.

To resolve this issue you should try to delete the share. If you had been trying to share with an assessor you should use the share ‘with an external assessor’ option instead.

I can’t edit my workbook 

This issue may be caused by one of many reasons, so please work through the suggestions below:

Suggestion 1 - Make sure that you are accessing your work from your Asset Store in your Personal Learning Space (Pebble+) - the green plus symbol on the top page ribbon. If you are accessing your work from the link via ATLAS (the blue globe icon) you will be able to view your work, but not edit it.  ATLAS is where your tutors go to view mark your submissions.

Suggestion 2 - Make sure that you’re not in preview mode. If you are in preview mode you should see a button in the top left that you can click to make your work editable again.

Suggestion 3 - Make sure that you only have one copy of your work open at a time. If Pebblepad senses that you have had another copy open within the last 30 minutes, it will automatically place you into preview mode. This video guidance shows you how to get out of preview mode.

Suggestion 4 - In PebblePocket some of the pages will lock once they’ve been signed off by your assessor in order to make the information secure. If this is the case you will see a banner ribbon across the top of the page saying 'This asset is locked no further edits can be made'. 

I see the message 'unable to view preview of this page because it has not been viewed by the user yet'

You're in ATLAS  or preview mode if you see this message.  

ATLAS is essentially 'assessor view'.  You can't edit your workbook here, and your assessors won't be able to assess pages that you haven't yet visited (the message is aimed at them).  

Make sure you're accessing your workbook via your Asset Store in Pebble+ (the green plus icon, not the blue globe).

Preview mode is similar to assessor view - you can't make any edits.  This video guidance shows you how to get out of preview mode. 

There’s a broken link/ missing attachment 

In order to investigate we need you to email pebblehelp@shu.ac.uk with the details of the specific page (or pages), and the links that are broken or attachments that are missing. 

There is one specific part of workbook that I can’t fill in/ that is not behaving as expected

Where do I go to log-in to PebblePad?

The direct link to the log-in page is: https://v3.pebblepad.co.uk/login/hallam

Make sure you select the 'I have a guest account' option,  Your username is your email address.  

Your password will be one you have chosen (you will never be sent a password from us or PebblePad).

How do I set / reset my password?

Visit the Hallam PebblePad login page, select ‘I have a guest account’ and choose the password reset option. If you have an account your username will be your email address, and a new password reset token will be emailed to you. 


Note that emails from PebblePad often get caught in spam/junk folders so you may need to search your email for PebblePad, the sender appears as 'noreply@pebblelearning.co.uk'. If this email does not arrive within 5 minutes, please email pebblehelp@shu.ac.uk for assistance.

It says 'Unknown username or password' when I enter my details

Your username will always be your email address.  Click 'forgot password' to reset your password and rule out any entry errors.

You should receive the password reset link immediately after entering your email and hitting 'reset.'  If this hasn't arrived within five minutes, please contact pebblehelp@shu.ac.uk for advice. 

It says 'The username or password is not correct. Please try again' when I enter my details

If you see the above error message, you are using the incorrect log-in option.

Please try again, ensuring you select 'I have a guest account for PebblePad' at the log-in screen.  

'I have an IT account at this organisation' is for Hallam staff and student's use only; it will never accept your external PebblePad account credentials. 

Do I already have a Hallam PebblePad account? 

If you are an external assessor, supervisor or mentor you will need to have a Hallam PebblePad account requested for you. (Hallam staff and students will automatically have a PebblePad account that they can access via Blackboard). If you are unsure whether you have a Hallam PebblePad account there are two ways you can check:


Method 1 - you can email pebblehelp@shu.ac.uk, and we will let you know whether there is a Hallam PebblePad account associated with your email address. 


Method 2 - you can visit the Hallam PebblePad login page, select ‘I have a guest account’ and choose the password reset option. If you have an account your username will be your email address and a password reset link will be emailed to you.

 

Note that emails from PebblePad often get caught in spam/junk folders so you may need to search your email for PebblePad, the sender appears as 'noreply@pebblelearning.co.uk'. 

I already use PebblePad with students from other institutions, do I still need to request an account?

Yes, you will need to be set-up with access to the Sheffield Hallam PebblePad environment, even if you already use PebblePad with students from other education providers (each institution has to grant you access separately).  Our students won't be able to find you in the 'external assessor' search before you're registered with us.

However, once we've created your account, you'll be able to merge it with your other account(s) so you can still manage everything under one log-in.

How can I get a Hallam PebblePad account? (supporting BSc/MSc Nursing Students)

To get a Hallam PebblePad account (or update an existing one), please complete our request form.

Requests are processed in bulk twice a week, before 4pm on Wednesdays and Fridays.  You will receive a notification email as soon as your account has been created.

I have an account, but I've changed my name / have a new email address

Please follow the same instructions for 'How can I get a Hallam PebblePad account' above.  The MYEPAD request form now has an additional section for account updates.

I don't think I've received an email with my login details 

Don't worry.  The initial email from PebblePad can often get caught in spam filters.  All it tells you is that your username is your email address, then directs you to the log-in page to set-up your own password.  Rather than hunting for the email, you can just follow the steps below:

You can then return to the login screen and enter your credentials.  Make sure you always choose the 'guest account' option (the 'IT account at this organisation' option will only recognise Hallam staff and student details).  

Remember, your username will always be your email address.

My student can’t find me in the search to share with me 

This issue suggests that you don’t yet have a Hallam PebblePad account. You specifically need an account from Hallam for your student to be able to share with you such that you can edit your students’ work. To resolve the issue you should request one, please view the FAQ How can I get a Hallam PebblePad account (above) for further guidance.

I can view my student's work but can’t add to or edit it 

This issue is usually caused by one of three reasons. Please work through the suggestions below:


Suggestion 1 - you need to use a PebblePad account from Hallam to access your students’ work such that you can edit it. If you don’t have a Hallam PebblePad account yet you should request one and if you've forgotten your username and password, you can recover them, please view the FAQs for further guidance.


Suggestion 2 - The student's work should have a blue ‘assessment’ flag as shown in this image.  If it has a green 'shared' flag, this will be read-only.  Please ask them to share with you by following this guidance

This issue usually occurs when your student has unintentionally been working in a ‘recovered’ copy of their workbook that only they can see. While you have been working in the original shared version of the workbook. 


To resolve this issue your student needs to follow the guidance in the student FAQ 'My assessor and I are seeing different things in my workbook/ cant see new entries from each other'.

My student is retaking and needs additional pages 

In these circumstances we recommend both the student and assessor should overtype the existing entry and save, rather than using an additional record.


The assessor fields have a history button where you will still be able to see all prior entries made by the assessor. 


The student fields do not keep any of the history, so if there is any prior work the student would like to save, we recommend they screenshot or copy and paste it into the workbook section 'Record of Communication/Additional Feedback'.
