Chaperones

We need chaperones for our trip! Chaperones pay the same price as students. Our school board requires a 4:1 chaperone-to-student ratio on these kinds of trips.

Rules, Expectations, Guidelines

Forms to Return

NOTE: you may fill these out now, but please wait for our May 20 meeting for signatures as some of these forms need to be notarized.

Room, Bus, Chaperone Sign-up

NOTE: chaperones will sign up for their rooms at the May 20 meeting or via email to Mr. Dorner

NOTE: this is out for approval to Tri-State but might change depending on how many rooms we have allotted

fundraising

We will hold a few school-sponsored fundraisers throughout the year. In addition, our Music Boosters and other parent volunteers will sponsor a variety of other fundraisers. You can find information for all of those here.

Brats in the Lot @ Miller's

The Music Boosters has reserved a spot for workers at the brat stand @ Miller's on Saturday, May 18. Please review the available slots below and click on the button to sign up. Please sign up for only one shift to allow all students an opportunity to sign up. If volunteers are still needed leading up to the event, another email reminder will come out and you can sign up for multiple shifts.

FAQ

How much will the trip cost?

There are a lot of variables that go into the price, and we won't have everything worked out until we know the number of people going on the trip. With that in mind

85-94 Passengers 95-104 Passengers 105+ Passengers

$1,600.00 $1,525.00 $1,469.00

What are the due dates for payment?

Assuming we use the price of $1,600 from above, the price breakdown and payment deadlines are:

November 1 (this is the sign-up deadline)

$250

December 15

$450

February 15

$450

April 15

$450 or balance due

Accounts must be paid in full 45 prior to departure. There are no late fees.

How much money should I bring with me?

You are responsible for paying for 6 lunches and 2 dinners on this trip (in a variety of locations). You are also responsible for any souvenirs you might want, snacks you might want, etc. You are also obligated to buy Mr. Anderson an iced coffee once in a while, so account for that.

What happens if I need to cancel?

There are certain deadlines where you can cancel and get some or all of your money back. Once things start getting booked (hotels, Broadway shows, etc.) that money starts to get spent and it gets more difficult. Travel insurance is also available if you opt in.

Please check out this link for more information.

How does travel insurance work?

According to Tri-State Travel, if you buy the individual policy with the "Cancel for Any Reason" rider you should be able to get your money back.

However...

Tri-State State provides the insurance as an option but they are NOT agents; as per the insurance company, "all questions need to be answered by one of our representatives."

How do I pay? How do I found how much I owe?

All payments are done online. You can find a link to pay here

How does fundraising payments work?

Your money will go into an existing school account; the school will then transfer the money to Tri-State, and the balances will be adjusted accordingly. Note: monies raised through these fundraisers for music trips do NOT automatically transfer to other trips (i.e. summer theater camp, fall soccer camp, etc.)

How do chaperones work? What do they have to do?

Chaperones do the same stuff as the rest of the group, and they are in charge of a group of five students when we have free time.

We need a 1:4 ratio for chaperones to students. Chaperones must be at least 21 years of age for this trip.

Do chaperones and students pay the same price?

Everybody pays the same price for the trip. The difference is in rooms: students are four to a room but chaperones are two to a room.

If my parent chaperones, do I have to be on the same bus as them?

You should work that out with them.

What does "free time" mean in the itinerary?

This is time for you, your group members, and your chaperone to explore NYC. You are expected to travel as a group, but you are welcome to explore away from the entire large group.
