This section of the Help Centre will go through the AsiaNet platform for Distributors. This will include Approving or Rejecting the English version of a press release, uploading translations, uploading revised translations and uploading clippings.
Look out for the video icon 📽️ which indicates a short video is available to watch.
When a new PR is submitted a distributor will:
Receive an in platform alert pop up with the new PR ID number and headline
Receive an email notification of the new PR with ID number and headline
Each distributor of a PR will need to review the English copy of the press release and either Accept or Reject the English translation.
To Accept the English as a Distributor
Click on the pencil icon next to the release and review the English version
If the content is suitable for distribution in your market click Accept.
To Reject the English as a Distributor
Click on the pencil icon next to the release and review the English version
If the content is not suitable for distribution in your market and cannot be changed to make it acceptable click Reject.
Use the chat functionality to provide the reasons for the rejection back to the Contributor.
If the PR could be accepted after some changes are made, refrain from Rejecting the release and notify the Contributor via the chat what can be changed in order to make the release acceptable.

Use the chat functionality 🗨️ on each PR to:
Collaborate directly with another agency associated with the PR in discussion
Send a message to All agencies associated with a PR
(Note: "All" on the chat indicates all agencies, not all chat messages)
Ask questions to AsiaNet Operations
Attach a file to assist your communications
Note: Chat replaces the Write Note functionality. All chat messages will send an email to the generic email address for that agency.
Note: Chat messages will last 6 months in the AsiaNet platform.
If you have accepted the English and the PR is in the Immediate release bucket you can send the English version.
To Mark the English as sent:
If it helps, you have the option to download the English release (and any images) as a Word doc in the Exports & Attachments section of the PR.
Distribute through your domestic service/platform.
Once the English is distributed, return to AsiaNet platform click 'Mark as sent' on the English version.
Note: There is no need to write a chat note to AsiaNet to confirm the English as been sent. Clicking the 'Mark as Sent' button will suffice.
Once the English copy has been accepted, a distributor can commence work on the translation. A distributor will not be able to upload a translation until they have Accepted the English copy.
To upload a translation:
Click the edit ✏️ icon on a press release in the dashboard.
On the left hand menu, toggle to the translation you would like to upload.
Click the edit ✏️ icon under Press Release details.
You will be able to override each of the sections (Headline, Dateline, Organisation and Body text with your translation). Click Save.
If you are not ready to commit the translation, you can save and close the release to return later to commit the translation.
Once you are happy with the translation, click the Commit button to send it to the Contributor.
Await translation approval before distributing the translation.

If you need to revise a translations, or the contributor requests edit, you can submit a new translation on the AsiaNet platform without requesting AsiaNet operators remove the previous one.
To upload a revised translation:
Click the edit ✏️ icon on a press release in the dashboard.
On the left hand menu, toggle to the translation you would like to revise/edit.
Click the edit ✏️ icon under Press Release details.
A prompt will appear confirming that a revised translation will require -reapproval from the Contributor.
Click Edit to proceed.
Your original translation will be available and you will be able to make the changes directly on the platform. You can override each of the sections (Headline, Dateline, Organisation and Body text) with your revised translation.
Click Save and if the revised translation is ready, click the Commit button to send it to the Contributor for approval.
Await translation approval before distributing the translation.

If a translation is involved in your distribution and it has been approved, you will receive an in-patform and email notification.
The PR will be 'Scheduled' bucket if on hold. For releases that are for immediate release or passed the hold time, the PR will move to the 'Immediate release' bucket indicating that you can now send it out.
To mark a translation as sent:
Navigate to the PR in question. If it helps you can use the filters on the homepage to navigate to Immediate Releasereleases.
Download the translation as a Word doc (and any images) from the Exports & Attachments section of the PR.
Distribute through your domestic service/platform.
Once the translation is distributed, return to AsiaNet platform click 'Mark as sent' on the translated version.
Once both the English and translation has been marked as sent, the PR will move to the Sent bucket in your dashboard.
Proceed to upload clippings when available.
Note: There is no need to write a chat note to AsiaNet to confirm the translation as been sent. Clicking the 'Mark as Sent' button will suffice.

Once you have distributed either the English or translated version of a press release, you will be able to upload clippings. Uploading clippings functionality will only be enabled once you mark the English or translated version as "Mark as Sent".
To upload clippings:
Click into the PR.
To upload English clippings, ensure you are on the English option on the left-hand menu and then click the scissor icon.
Paste each URL into the text box. You can upload multiple links at once, please ensure each URL is on a new line.
Click Save.
Repeat for translation clippings by navigating to the tranlation on the left-hand menu.
The Contributor will receive a notification that clippings have been uploaded for your distribution.
