We hope you'll join us as a member of the Host Committee for this Art of Mass Gatherings event! On this page you'll learn more about the asks and benefits of being on the host committee, as well as find our meeting schedule and links to meeting notes and materials.
A team of local/regional people and organizations who share our target audience: people and organizations that produce mass gatherings, or would like to as an employment opportunity. Events tend to look like their organizers, so ideally the host committee comprises a diverse mix of arts and cultural organizations, emergency service agencies, and advocacy groups that also is inclusive of diverse demographics. These folks will provide input into the event program to make it relevant to their communities and invite people to participate.
By participating, host committee members agree to make their best effort to attend a series of Host Committee meetings (details below) and to share event outreach/invitations with their subscribers/followers. We hope one or more people will also be willing to send press releases to their press lists or get more directly involved with the day's activities.
In exchange, you'll receive these benefits:
Inclusion of logo on event program, sponsor slides, and promotional materials
Opportunity to provide feedback and shape the event program to meet your audience’s needs and interests
Early event registration opportunity you can share with their networks before the event registration goes public
The host committee meets 4-5 times for one hour each prior to the Art of Mass Gatherings event to share feedback, refine the day's program, and coordinate outreach.
We'll add meeting dates here based on the committee's availability, and meeting notes after each meeting.
We'll all get to know each other, introduce the Art of Mass Gatherings, and outline the timeline of our work together.
Before this meeting, we'll share the current outline of topics. Today we'll discuss the program outline in more detail, including both the speakers and presenters we've already identified as well as who else should be involved.
By the end of this meeting, we should have a list of potential local speakers, presenters, and thought leaders to include in the day's program. We request that our host committee members introduce us via e-mail to your contacts, and our team will handle coordination from there.
Each event is different. Depending on the process, we may schedule a dedicated meeting for program review. In many cases, this material can be covered in our "Ready for Launch" meeting.
Before this meeting, we'll share drafts of the event program and promotional materials. We'll use our time together to collect feedback or requests for additional materials. We'll also brainstorm additional local/regional organizations that individuals will commit to reaching out to.
Tips for you and your network to make the most of your Art of Mass Gatherings day. We'll also share updates about registration and coordinate a final promotional push.
