Our pay period is based on work done between 1–15 and 16-31 of each month. For Therapists, on the day after each pay period, our LMB Office Manager will email out two reports:
I. Completed Client Arrived Appointments
II. Tip Report for that pay period
Please look over the reports, and confirm that it is correct information by signing each report. The signed report will automatically be emailed back to the LMB Office Manager. The reports should be signed within 24 hours of receiving them.
For last minute cancellations or missed appointments, please note it in your Gusto Timesheet as an admin roll. Select the day and time the appointment was to have taken place, and the end time of the massage appointment only (not including turnover time), then select “Admin”. Be sure to leave a note with the client’s name, date, and “no show” as well. Please note, If this is not done BEFORE the close of the pay period,we cannot go back to add them to Gusto. The last day to add any last minute canceled appointments you had will be the 15th and the 30 or 31st of the month (depending on that month’s last day).
Front Desk or Admin only employees should clock in when they get inside the office, and clock out when they leave the office. Gusto Wallet has Geolocation settings.
Payroll is deposited on the 7th and 21st of each month by end of day, or the Friday before, should those dates fall on a Saturday or Sunday. It is our policy as a company to carry out payroll through direct deposit only. Through our payroll platform, Gusto (website) or through the Gusto app, you can provide all employee forms such as W-2, I-9, your bank information (including the ability to split your paycheck), and more. You are also able to clock in/out, add hours needed, etc. If There are any discrepancies, please email the LMB Office Manager. They will contact the CFO, Becky, and notify her of the situation.
As an employee of LMB, we take care of taxes for you as well as supplies. While therapists are paid per hour of hands on massage work, the front desk role is paid per hour. For those who
perform a dual role, i.e. therapist + front desk, the front desk hourly rate will be different from the massage therapy rate.
Please remember to clock in and out through Gusto when performing the admin role!
These are the approved tasks:
- Same day cancellations/ no show appointment time.
- Approved Front desk coverage
- Approved admin tasks and orientations/ trainings
- Staff meetings (3rd Wednesday each month)
Upon employment, you agree to work a specific amount of shifts and hours weekly. If you need to take time off of these agreed upon shifts (whether a few hours from your shift or the whole shift altogether, whether filled up with clients or not filled up), you will need to request those shifts or hours off. Due to the nature of our work and clients booking out monthly, we expect you to ask off at least 4 weeks in advance so that there is time for us to cover your shifts and as a courtesy to your clients.
You will have six unpaid “Time-Off” days throughout the year, which will start after the first 90 days of employment. The “Time-Off”days will come into effect if you are requesting days less than four weeks out. *Even if you have a time-off day to use, if not requested more than a month out, it is not a guaranteed day off. The “Time-Off” request can also be used towards sick days or last minute emergencies, but again does not guarantee the time requested off to be granted.
If there is a repeated pattern of asking for days off at the last minute, your shifts will be reevaluated.
Please note that asking for time off will be first come, first serve. We will not approve a time off request for more than two therapists at the same time, total. I.e., if a therapist at Brookside, and a therapist at Lenexa have requested the same time frame off, that is acceptable. However, if another therapist from either location requests the same time frame off, we will most likely deny the request.
In Gusto, on the left-hand side, select the “Time-Off” tab. Once a new window opens up, it gives you two options to select from: The “Time-Off” request or the “Day Off” request.
**The “Time-Off” Request is in place for family emergencies or a sick day. There are six unpaid days provided for such circumstances.
**The “Day-Off” Request is geared more towards a vacation or days planned in advance that you want off. These are unlimited, however, will not be guaranteed if at least two therapists from the team have already requested the same dates off or if the request is made less than four weeks in advance.
For “Time-Off” Requests:
Fill out a “Time-Off” Request through Gusto
Email Olivia, Mary Beth, and Nicole to let them know you requested time off.
Ask someone to cover or trade your shift. If you can find someone to cover or trade your shift, then communicate to the Office Manager who will be covering your shift, if anyone. you can potentially have the requested time off, however, it is still not a guarantee.
If someone can’t cover that shift, your request has the potential to not be approved.
If it does get approved, one of your six “Time-Off” days will be deducted from the total.
For “Day-Off” Requests:
Fill out a “Day-Off” Request through Gusto
Email Olivia, Mary Beth, and Nicole to let them know you requested time off.
Please ask someone to cover your shift or trade a shift with you. Then communicate to the Office Manager who will be covering your shift, if anyone.
It does not take away from your unpaid time-off days.
If you do not submit a “Day-off'' Request at least four weeks in advance, you are not guaranteed time off.
