Everything you need to know to use our products effectively

Welcome to Vektori's deployment guide

Below we go through the registration to Vektori(1) and the deployment of the cash register terminal/device(2) and the payment terminal(3) - including some device-specific instructions.

Three main stages in deployment

1. Vektori Cloud registration and deployment

You have received an invitation in your email to register as a user of the Vektori Cloud service. By registering, you can log in to your Vektori Cloud. Save the address to the cloud (customer.vektori.fi). If you have not received an invitation: Check your spam folder, request an invitation from the partner who sold the Vektori, or use the form at help-desk.

Preset the following settings in the Vektori Cloud:

  • Company settings.

  • Accounting accounts.

  • Cash Register-settings.

  • Product Groups and Products.

2. Deployment of the cash register terminal / device

If the cash register terminal does not have Vektori POS installed, download it from the terminal's app store (Android Play Store / Apple App Store). The cash register terminal and the payment terminal can also be the same device.

Here are direct links to download the app from the aforementioned app stores:

  • Open the app and tap "Sign in". You will then be asked for the address of the workspace. The address is the same address as the Vektori Cloud address (customer.vektori.fi).

  • Log in to the workspace with cloud username and password.

  • If you have inventory management aka Stock Control, give the cash register(terminal) a name and attach that cash terminal to the warehouse.

  • Finally, the cash register asks you to enter the clerk’s pin code. If you have not created clerk users in the cloud, it has one by default and its pin code is 4262. Be sure to change the default user or default user pin code later for security reasons.

  • If your Vektori deal allows you to do so, you may add more clerks, with just separate pin codes from the cloud - who then can log in to use the application with just that information.

3. Deployment of the payment terminal

The payment terminal can be a separate device or it can also be an application installed on the same device as the cash register application. Before deployment a payment terminal, a cash register cloud must be connected to the payment terminal supplier's system (Nets, Popla, Viva Wallet). This connection is made by the party that sold the Vektori.

To enable the Integrated Payment Terminal or application, follow these steps:

  • In the cash register, select the Actions -> Settings -> General -> Payment Terminal tab.

  • Under Selected Payment Terminal, select the payment terminal provider from the drop-down list.

    • If necessary, under Payment terminal ID, select the payment terminal that will be connected to this cash register.

    • Save your selection.

  • One payment terminal can be connected to only one cash register.

  • Certain payment terminal models can use receipt printer with Vektori POS, including for cash payments. If your payment terminal has a receipt printer, select the same settings on the Printer tab as on the Payment Terminal tab to enable it.

The non-integrated payment terminal is not connected to the cash register. The sales are first recorded at the cash register and then the sales are financed separately at the payment terminal. Note the receipt does not read product information or tax information.

1. Vektori Cloud registration and deployment

You have received an email invitation to register as a user to the Vektori Cloud service. If you can't find the invitation, first check your email spam folder. If you can't find the invitation, contact our support.

To register, click the Register -button in the email invitation.

Insert all information requested at the registration form and finally click the Register -button.

After Registration you have logged in to the Vektori Cloud service.

Please note that usernames are private.

As an administrator you can invite other coworkers from:
User Administration -> Users -> Invite user (not available in Minikassa -version).

The personnel who only use the Vektori application, as in clerks on the cash register device, might not need usernames to the cloud service.

You need usernames to personnel who add and edit products, manage stocks, view sales reports etc. If you wish you can invite users to the cloud service for example as accountants.

1.1. Company settings

1.1.1. General settings

From the left of the menu select Settings -> Vektori-> General.

Insert email and name of the sender. which is visible in the emails that are sent to customers (for example receipts that are sent via email). Finally click the Update -button. You can also use noreply@vektori.fi as the sender address.

If you receive an error message about the missing SPF record when saving data, use noreply@vektori.fi as your email address.

1.1.2. Company details

From the left menu select Settings -> Company -> Company Details.

Insert basic details of the company and finally select the Update -button.

1.2. Accounting accounts

The service is preconfigured with some default accounting accounts. Please check and adjust the following settings to match the needs of your accounting. You need to agree with your accountant/accountants about the use of the accounts and about naming them, so the information will log correctly to the Reports.

In addition to the default accounts, the service allows you to define sales accounts (Sales and Sales 0 % VAT) for tracking sales for the product, product group and VAT. If sales accounts are defined in different places, their processing order is following:

1. Product.

2. Product Group.

3. VAT sales account.

4. Default accounting account.

1.3. Cash Register-settings

1.3.1. General settings

From the left menu select Settings -> Kassa -> General. Insert information that is printed onto the top and bottom sections of the receipt. Finally click the Update -button.

Notice, that according to law receipts that are sent to customers has to include following information:

  • Traders name, contact information and business identity code.

  • The date of issue the receipt (automatically).

  • Identification number of the receipt (automatically).

  • Number of sold items and type (automatically).

  • Completed payment and VAT by tax rates (automatically).

1.3.2. Clerks

A clerk means a cashier, a person who uses the cash register program, who is not user of the cloud service. In the Service there is one Clerk by default, which uses default PIN-code 4262(Minikassa only has one clerk). Changing the PIN-code or adding a new clerk is detailed in the Vektori User Guide/ Cloud Service Guide.

1.4. Product Groups and Products

1.4.1. Adding Product Group

Items sold in Vektori Kassa application are managed via Vektori Cloud service.

From the left menu select Catalog -> Product Groups -> New Product Group.

Insert name of the Product Group. If the Product group is a subgroup, you need to select the main group for it from the drop down menu. Finally click the Save -button. Added product groups are automatically visible in the application - it might take a while and in some instances it might be necessary to restart the application.

1.4.2. Adding a Product

Insert following necessary information (marked with *) for the product:

  • Name*.

  • Product code.

  • Sale product, if the product is sold via the cash register.

  • Sales unit*.

  • Tax* rate.

  • Price*.

You can add a Product code for the product, or let the system create a product code automatically according to the given settings. You can define the prefix and length of the product code in Settings-> Catalog-> General-> Product code generation. Finally click the Save -button.

Tip: You can add a product as 0 priced (free priced product) as well, please notice that the product still needs a correct tax rate. When the product is made by this method the cash register application asks the price individually when sold, you can use this for the products that you don’t want to add into the product register.

2. Deployment of the cash register terminal / device

Following procedures are made at the cash register device: a phone, a tablet or a Chromebook computer.

2.1. Download the Vektori POS application to your device

First you need to download the cash register software from the app store:

Purchased tablets and phones:

  • Apple App Store: Vektori POS / Kassa.

  • Google Play: Vektori POS / Kassa.

Other devices:

► Sunmi: Go to the device app store and download Vektori POS / Kassa.

► Viva One: Google Play: Vektori POS / Kassa.

► Viva PAX (A920Pro, 910): Connect the terminal to the network and wait for the download to start.

► Nets Castles Saturn 1000s: Connect the terminal to the network and wait for the download to start.

► Verifone CM5: Connect the terminal to the network and wait for the download to start.

If the download does not start after a while, contact the Vektori supplier.

2.2. Connect the Cash Register device to Vektori Cloud

Start the software and click the Sign in -button.

At the Sign-in screen insert Vektori -cloud workspace-url and click Continue -button. Workspace url is the same address that you use as the cloud service url. For example if cloud service url is companyname.vektori.fi, input company name into the text box.


Insert your username and password into the Vektori cloud service (the same ones that you used when you registered into the cloud service), click the Sign in -button.

Give the salespoint a unique name, eg Street name or place.

If you have inventory management in use, select the Stock which is used when products are sold at this cash register/device. Stock will be automatically deducted. Click the Confirm -button.

Log in - the default PIN code is 4262.

3. Deployment of a payment terminal

The payment terminal can be a separate device or it can also be an application installed on the same device as the cash register application.

The payment terminal can be integrated into the cash register, in which case the sale of the cash register is automatically transferred to the payment terminal.

The non-integrated payment terminal is not connected to the cash register. The sales must be manually typed separately to the cash register and then to the payment terminal. NOTE! In this case, the receipt does not have product information or tax information.

Before implementing an integrated payment terminal, the following supplier-specific things must be done:

  • Nets: The supplier of Vektori must install the username and password obtained from Nets on the background of Vektori Cloud. Once this is done, all Nets terminals behind the same username and password will appear at the cash register with their own ID number.

  • Poplapay: The supplier of Vektori must install Popla's username and password in the background of Vektori Cloud. Popla payment terminals with a Popla ID can be used at the cash register. You can find the Popla ID in the Popla online Tools, which you can access here. If you do not have an account, you can get them under "Password forgotten or not set?"

  • Viva Wallet: You must provide the Viva Merchant ID and API Key to the Supplier of the Vektori, which the Supplier must install in the background of the Vektori Cloud. Information can be found in your Viva Wallet account under Settings and API IDs.

3.1. Connecting a Payment Terminal

Following instructions apply to payment terminals that are compatible and possible to integrate to the cash register program. Benefits of using integrated card payment terminal:

  • Cash register controls the payment terminal, the sum that is paid transfers automatically to the payment terminal from the cash register.

  • Only one receipt for the customer.

  • Refunds will happen in an effortless manner.

  • Specific payment terminal models act as a cash register printers, including for cash payments.

In the cash register program select Actions(cogwheel in phone) -> Settings -> General.

From the Selected payment terminal select the provider of the payment terminal and from the Payment terminals identifier select the payment terminal, that is to be connected to the cash register and click Save -button. Only one payment terminal can be connected to the one cash register.

3.2. Use the payment terminal as a receipt printer

Specific payment terminal models act as cash register printers, including for cash payments. If the payment terminal has a receipt printer already, introduce it by selecting the same settings from the Payment terminal tab to the Printer tab.

If either the payment and/or the printer is not found, the button on the right upper corner will change to and starts to blink, in case this happens, please check that the devices are paired correctly and that they are switched on and working properly otherwise - you may also press the Reconnect -button from that view.

3.3. Setup the payment procedure and speed

You can setup how many info views will be shown during the payment procedure and how many clicks you have to do to end a card payment.

3.3.1. Remove sales preview

Actions -> Settings -> General -> Usability.

Skip Sales Preview.

This will remove sales preview actions reducing clicks when ending the card payments.

Note! You can't insert free text to the receipt if this is on.

3.3.2. Print customer´s Receipt automatically

Actions -> Settings -> Printer -> Advanced Settings.

Print customer's Receipt Automatically.

If this is on customer receipt will be printed automatically.

Note! You can't use send receipt -function if this is on.
