Information for Presenters

The Meeting room will be equipped with the following audio-visual equipment:

• LCD Projector & Screen (aspect ratio 16:9)

• Logitech Spotlight Presentation Remote.

• HDMI and VGA cables
  
  Speakers are recommended to bring their own laptops (with HDMI/VGA output capabilities) to display their presentation materials.
  We request that all presenters self-test the connection during the break prior to their session.

• Upload the presentation materials (PPTX, PPT, KEY, or PDF) to https://www.dropbox.com/scl/fo/t9rbt4a3xs7wwmgo6xp3g/h?rlkey=resuwbn704d501lj7v8370ud8&dl=0 by the day before your presentation day using the following naming rule so that you can use a shared PC (Macbook) to present.

• Or bring their own notebook to display your presentation material in the following matter.  

1. 1. 1. Connect your PC to the LAN cable and available in the room.

      2. Connect your PC to the HDMI or VGA cable available in the room 

      3. Open your presentation material.

      4. Click https://kyoto-u-edu.zoom.us/j/85198174068?pwd=MDRLdG1VK3dYa3VkQTN2WVJ6RXJRdz09 to start Zoom (via Desktop application or Web browser). 

      5. Share your presentation material from Zoom, mute your microphone, and start your presentation.

• Speakers are asked to prepare their presentations to match the allocated times, which will be rigidly enforced. Allotted times, including discussion, are as follows:

  1. 25 minute-talk = presentation (20 mins) + discussion (4 mins) + changeover to the next speaker (1 min) 

  2. 15 minute-talk = presentation (12 mins) + discussion (3 mins) 

• The poster boards are large enough to fit A0-sized posters in portrait orientation (1.2m height x 0.9m width). If your poster does not fit within these dimensions, we cannot guarantee that it will be displayed. Appropriate materials to mount the posters on the display boards will be supplied to all presenters.

• Presenters should mount their posters during Lunch time on Tuesday and must remove them by 17:00 on the same day.  Any poster not removed by the indicated time will be automatically recycled.
