ENRICHMENT GRANT GUIDELINES 

WHY DOES KSH PTO PROVIDE ENRICHMENT GRANTS? 

KSH PTO Full Board recognizes the need to develop well rounded students by supporting enrichment opportunities outside of the classroom such as sports, clubs, huaka‘i, etc. 

WHO IS ELIGIBLE FOR FUNDS? 

Funds are available for Kamehameha Schools Hawai‘i (KSH) students in grades K-12 who are members of a KSH Class, Group, Team, or Club.

HOW ARE FUNDS TO BE USED? 

Funds are restricted to purchases or activities that include, but are not limited to, seminars, clinics, excursions, sport functions, or etc., representative of KSH, that result in an educational benefit to the participant(s).


GRANT RECIPIENT REQUIREMENTS


GRANT PRocess

Grant Applications

Grant applications are available at the Division Offices during regular office hours and on our website at kshawaiipto.com.

Completing the Application

Applications and Give-Back Forms (including parent & student-signed Recipient Acknowledgement Forms) are to be completed in its entirety. Please provide a roster. Applications without substantial documentation of the educational purpose for the request or that are incomplete will not be considered. KSH PTO may not issue a check until a complete application and roster is submitted.

Completed Application

Applications must be submitted to the Principal/Vice-Principal of the student’s Administrative Division (i.e. High, Middle, or Elementary School) for pre-approval/authorization. Then it must be turned in to the PTO President, Vice President and Grants Committee 10 DAYS PRIOR to the posted PTO Full Board Meetings. Please refer to grant deadline/meeting calendar. Grant Requestor Presentation

Upon placement on the scheduled KSH PTO Full Board meeting, the Advisor or designated representative must present the Grant Application at the KSH PTO Full Board Meeting. The Advisor/Rep for each Grant Request will have a five-minute timeframe to present.

Grant Approval

Decisions are based on the roster provided. There will be NO SUBSTITUTIONS for any applicants. Applicants will be notified of action (i.e. approval/disapproval/referral) within one week by the PTO President or the Grants Committee Chairperson.

Distribution of Grant Funds

If approved, a check will be issued payable to Kamehameha Schools and delivered to Administration for processing and disbursement with memo to reflect the club, athletic group, etc.

Summary Report & Written Reflection

If approved, a summary report is due NO LATER THAN TWO WEEKS after the event to the PTO Treasurer at kshtreasurer@gmail.com. The summary report MUST include a final list of participants, receipts, and the PTO Grant Award Receipt Form, which will be provided to you at the time of your approval. Summary Reports may include a written reflection, pictures, brochures or any other documents to provide information about the event.

Grant Recipient Give-Back Obligation

If approved, Grant Recipient(s) will be required to fulfill a PTO Give-Back Obligation as outlined in the Grant Recipient Requirements section of these guidelines. If giving back as a group, the Class/Club Advisor/Coach (or a responsible adult designee)  MUST BE PRESENT FOR THE ENTIRE TIME at Give-Back assignment. ALL Give-Back obligations MUST BE completed by June 30th of the current school year to the full capacity as requested by PTO. Clubs/Groups/Individuals who fail to fulfill their give-back kuleana as assigned may not be allowed to request funds in the future.

Deadline to Apply

Deadline for Grant Applications to be considered for the school year will be at the May PTO Full Board Meeting. (KSH PTO Full Board does not meet or consider any Grant Applications during the summer session when the KSH PTO Full Board is not in session. Grant Applications are also not discussed or voted on via email).
