The audience for this information is new teachers. However, some of the information may also apply to classified staff, nurses, etc. Information that is appropriate for all staff members will be marked with an asterisk. (*).
After you have been offered a job and accept the job, you will be contacted by KCS Human Resources.
They will provide you with several important pieces of information via email that will facilitate your onboarding process.
You will be issued an employee ID number. This is a nine-digit number consisting of leading zeroes and a unique number. Example: 000012345
This number will be used in many facets of your daily work. Commit it to memory.
You will be unable to access most digital platforms and services until the employee ID number is issued.
You will be assigned an email address.
The email address is typically your firstname.lastname@knoxschools.org.
If your name is already taken, you'll be assigned a number within your email address EX: john.doe4@knoxschools.org.
You will create a password that is used across many platforms and systems. (See Resetting My Password section.)

Once an employee has accepted a position, a generic password is issued to him/her.
That generic password must be changed to private credentials in order to activate the employee's accounts in many of the KCS systems. **If you have already changed your password away from the initial password issued to you, there is no need to do this again.
Please follow these directions to set your KCS password. This must be done on a KCS network.
If you are in your new school, at another KCS location for training or onboarding, or in the parking lot of a school, you will be able to access a KCS WiFi network.
Once you've set your new password, you will have access to KCS services. You will use it several times each day through the course of your work. Commit it to memory.
You may need to wait a few minutes after changing the password for access to be granted.
This password will be used for most KCS services.
If you need to change your password in the future, you use this same process.
Because this password is centrally controlled, if you have to change it, your credentials will change across a variety of services. Any saved logins you have will need to be updated.

Knox County Schools used Multi Factor Authentication (MFA) as an added layer of security for your email account.
You will set this up at your first email login.

**If you get a new phone at any time, you will have to re-establish MFA.
Once an employee concludes the hiring process, he/she is rostered into the various KCS systems by the IT department. Employees do not have to set up an account for any KCS service on their own.
