How do I participate in the 2024-2025 The Gund Art Loan Program?
(Detailed Instructions)
1) Each student interested in borrowing a work of art will need to submit a Google Form listing your top 5 choices should your name be chosen.
2) The Google form is open from Monday, September 2 through Wednesday, September 11.
3) At the end of the submission period at noon on Wednesday, September 11, the names of 103 individuals from those who submitted an online form will be selected at random.
4) The individuals whose names have been chosen will be notified by email which artwork they were matched with and instructions to come to the gallery on Thursday, September 12, 2024 to either pick up their Art Loan object or to arrange for its installation in their dorm room.
5) At The Gund, on either Thursday 9/12 or Friday 9/13, borrowers will need to fill out required paperwork and authorize a $30 loan fee to be applied to their student account. Borrowers must present a valid Kenyon ID at this time. They will then either be given the artwork, all necessary hardware, and detailed instructions on how to properly install the work in their dorm or they will schedule a date / time for the work to be installed by The Gund Associates.
5a) This year's installation dates are Monday, September 16 - Friday, September 20
6) Enjoy your artwork for the duration of the academic year! Be sure to provide a safe and secure home for the artwork.
7) Art Loan returns will take place in May at the end of the residential portion of the Academic Year. A Gund representative will contact you to coordinate a date/time for you to return the work to the gallery.
All works need to be returned to The Gund by Friday, May 2, 2025. Failure to return the work on time will result in a $5 per day overdue fee (including weekends).
Are all of the works in The Gund Collection available for loan?
The only works that can be loaned to students are in our Art Loan Collection.
I'm going abroad for a semester, can I still borrow an artwork?
Unfortunately, only students living on campus for the whole academic year can borrow artworks.
Can Kenyon College employees borrow an artwork?
The Art Loan Program is available only to Kenyon students. We are working on creating a Kenyon Faculty/Staff Art Loan.
How many works can I borrow?
You may borrow only one work each year.
What is this notebook that comes with the art?
It is a journal that travels to each borrower so that they can provide comments, reflections, or stories of their time with the art.
How much is the loan fee?
Each artwork costs $30 to loan, which will be applied to your student account. If you are selected to receive an artwork on loan, you will be asked to sign a loan agreement and pay the loan fee. All funds raised by the art loan program will go into a dedicated fund for the acquisition, framing, and care of art loan objects.
Do I transport and hang the work myself?
For works of a smaller size (frame size approximately 23 x 27 inches or smaller), all necessary hardware will be provided with each artwork borrowed and you can hang the work yourself. Due to their size, larger works require that Gund Associates install your artwork in your dorm room at a mutually agreed upon time.
I have a frame that I think my borrowed artwork would look much better in. Can I replace the frame?
No, you may not for any reason remove or replace the existing frame on a work you’ve borrowed from The Gund.
How do I clean the artwork?
Dust artworks with a dry microfiber cloth only. Do not clean with spray or water, which may streak the Plexiglas surface and possibly stain the artwork. If you think that the work needs to be cleaned, please contact The Gund and an associate will consult with you about the work.
I accidentally damaged the artwork. What do I do?
If a work is damaged while in your care, do not try to fix it yourself. Immediately contact Robin Goodman, Collections Manager & Registrar at The Gund, at goodmanr@kenyon.edu or 740-427-5971. A Gund employee will schedule a site visit to assess the damage. If the frame is unstable, remove the work from the wall and lay it flat on a table where it will be undisturbed.
I don’t like the artwork I borrowed. Can I return it and borrow another one? Do I get a refund?
You may return an artwork, but not borrow a new one. Loan fees are non-refundable.
I have moved to another room on campus. Do I need to update anyone about this?
Yes, please inform Robin Goodman, Collections Manager & Registrar at The Gund, at goodmanr@kenyon.edu or 740-427-5971 to coordinate either the movement of the artwork to your new room or its return to the gallery.
Can I return an artwork prior to the return period?
Yes. Please contact Robin Goodman, Collections Manager & Registrar at The Gund, at goodmanr@kenyon.edu or 740-427-5971 to make arrangements.
What happens to the artwork once it is returned?
The condition of each work in the Art Loan Collection is assessed and compared to the condition reports taken prior to its loan. If there is new damage to the work, the borrower will be charged for the cost of repairs.
Can I buy the artwork that I borrowed?
No, the works included in the Art Loan Collection are not for sale.
