How to Create an Email Filter

Email filter rules allow you to move, flag, and respond to email messages automatically. You can also use rules to play sounds, move messages to folders, or display new item alerts. Before you start setting up rules, you'll want to create any locations that your emails will be sorted into. As an example, I created a folder called "High School" to collect all of my JHS-related emails.

Outlook (Mac)

From the top menu bar in Outlook, click on the dropdown arrow next to the Rules icon, then select Create Rule...

In this window, give your rule a name, then select the conditions and action you want to take upon receiving certain email messages.

In this case, I wanted all emails sent to the group "*High School" to go to the "High School" folder I created earlier.

When you're done, click OK.

Now, all emails I receive that are sent to the "*High School" mailing list will automatically be sorted into the "High School" folder.

Outlook (PC)

From the top menu bar in Outlook, click on the dropdown arrow below the Rules icon, then select Create Rule...

In this window, select the conditions and action you want to take upon receiving certain email messages.

In this case, I wanted all emails sent to the group "*High School" to go to the "High School" folder I created earlier.

When you're done, click OK.

Now, all emails I receive that are sent to the "*High School" mailing list will automatically be sorted into the "High School" folder.

Gmail (JDragonmail account)

In your JDragonmail inbox, check the box next to an email of the type you want to start filtering.

Then, click on the three vertical dots in the top menu to open the More dropdown menu. Click on Filter messages like these.

In this window, select the conditions and action you want to take upon receiving certain email messages.

In this case, Gmail has automatically detected that I want to filter all emails tagged with the mailing list "list:(<highschool.jdragonmail.us>)".

When you're done setting your conditions, click Create filter.

In this window, select the action you want to take when you receive an email matching the conditions previously stated.

When you're done, click Create filter.

Webmail (https://mail.johnston.k12.ia.us)

In the upper right corner, click the gear icon to open the Settings menu.

From the dropdown, select Options.

On the left, go to Options > Mail > Automatic processing > Inbox and sweep rules.

In the Inbox rules window, click on the + icon to create a new rule.

In the New inbox rule window, name your new rule, then set the conditions and actions you want to follow upon receiving certain email messages.

In this case, I wanted all emails sent to the group "*High School" to go to the "High School" folder I created earlier.

When you're done, click 💾 OK.

Now, all emails I receive that are sent to the "*High School" mailing list will automatically be sorted into the "High School" folder.
