End of the Year Tech Checklist

Staff should clean up files and then sync their computers. Files that are personal and not school-related should be deleted from the computers (ie. pictures, music, movies, documents, etc.). After cleaning up files, be sure to SYNC your computer with the network or manually backup to Google Drive folder.

If you are not returning next school year, important digital files should be transferred to another staff member (ie. curriculum, standards work, assessment, ordering, materials, etc.

JDragonmail accounts will be deactivated on ​July 1.

□ 1. Clean Up Email

  • Delete unneeded messages out of Inbox

  • Delete unneeded messages out of Sent

  • Empty Deleted Items (Trash)

  • Archive mail you want to save:

Mac: Open Microsoft Outlook. Drag messages out of Outlook to a folder on your desktop, then backup the folder to external media (hard drive, flash drive) or cloud storage (Google Drive).

Windows: Open Microsoft Outlook. Open a message in Outlook, then choose File > Save As. Save the file as a text file, then backup the file to external media (hard drive, flash drive) or cloud storage (Google Drive).

□ 2. Export Internet Browser Bookmarks/Favorites

Export from Internet Explorer, Microsoft Edge, Safari, Google Chrome, and/or Firefox to a backup file; use the step guides at this link for instructions.

□ 3. Archive Files

If there are files that you no longer need on your computer, but do need to keep, organize them in a folder, then save the folder to a personal flash drive, hard drive, or to your Google Drive account. After saving the archived files to another location, delete them from your computer.

□ 4. Clean Up Your Home Folder

Mac: These folders are stored in your user home folder on the hard drive (with Finder open, click on Go in the top menu, then select Home).

Windows: These folders are stored in the My Documents folder on the hard drive.

  • Desktop

  • Documents/My Documents

  • Downloads folder - delete all items in this folder and empty the Trash

  • Movies/My Videos

  • Pictures/My Pictures

□ 5. Clean Up Music

Launch Music and delete songs that are not owned by district iTunes accounts or are not copyright-free songs. Click on the song to highlight it, then press the delete key.

□ 6. Clean Up Photos

Launch Photos and delete any pictures that are personal and not school-related. After deleting photos, empty the Photos trash (Photos > Erase Deleted Items).
