•  Upon arrival, check-in with production staff at the registration table just inside the door.

•  The backstage entrance loop is a TOW-ZONE and is to be used for ACTIVE LOADING ONLY.
•  DO NOT LEAVE YOUR CAR IN THE LOOP.

ARRIVAL

•  Please plan for all members of your ensemble to arrive and register no less than 60 minutes BEFORE YOUR SOUNDCHECK.
•  Upon arrival, check-in with production staff (Amy Schaffer) at the registration table just inside the door. 

*If you have not registered 30 minutes before your soundcheck, we will assume you have forfeited your performance slot.*

PERFORMER'S LOUNGE + DRESSING ROOMS

•  Please be available in the Performer's Lounge, behind the Herbst, prior to your performance time slot.

•  The Lounge will be secured and accessible only to SFMD participants and staff for the duration of the festival.

•  There are dressing rooms behind the Herbst with day-use lockers.
•  Kerry and her staff will escort you to your assigned performance stage.
•  There is an artist lounge on the 2nd floor and there are dressing rooms on the 4th floor (please see floorplans below for details).
*If you would like to go to the stage area early, please coordinate with Amy, who will be stationed at the registration table.*

WARMING UP

•  There are small dressing rooms behind the Herbst where you can warm up.
•  Please CLOSE DOORS when making sound in these spaces.
•  There is only one upright piano behind the Herbst Theatre available for warming up.

REFRESHMENTS

•  InterMusic SF will provide coffee, tea, water, and light snacks in the Performer's Lounge.
•  If you're scheduled to perform BEFORE 5PM, you are invited to the Horn Bar (underneath the Herbst Theatre), following your performance, for wine and hors d'oeuvres for a post-performance reception between 3PM - 5PM. (Promo below).

TIME SLOT

•  You have been notified of your SOUNDCHECK time and your PERFORMANCE time slot on a separate email from Crystal Pascucci-Clifford.
•  PLEASE, DO NOT exceed your time allotment. It is critical for the flow of this event that your performance time slot does not exceed the agreed upon duration. We have scheduled buffers between sets of varying times, but these performance breaks must account for both the prior group’s strike and your set-up. If you go over, it has a lasting effect on the rest of the day's schedule.
•  Performers should be backstage 5 minutes prior to your performance time slot.
•  Please set-up and strike as efficiently as possible.
•  If fans want to chat – and we certainly hope they do! Please encourage them to meet you in the lobby once you’re off stage. 

SOUNDCHECK

•  For those groups who will soundcheck after 12pm (noon), there may be people in the audience during your soundcheck.
•  We do not clear the rooms between each act. 

ARTIST PAY

•  Checks will be issued by Mark Clifford, InterMusic SF, Program Director, from the artists lounge and/or at in the Marketplace and can be picked up before or after your performance.
•  As a reminder, one check is made out to the contracted ensemble lead (to the name listed on the W9), and they are responsible for issuing payment to ensemble musicians.

ATTIRE

•  Please wear all-black (what we call, "Show Black") + comfortable shoes.
•  You will pick up a staff lanyard at the InterMusic SF table upon check-in.
•  There are dressing rooms behind the Herbst with day-use lockers for jackets, purses, etc.

MEALS

•  InterMusic SF will provide meals for any volunteer that  is commiting to 4+ hours of volunteer service.
Currently, two positions are in this category, but if you decide you want to stay longer, we will be sure you have a meal.
•  Please let us know if you have any dietary restrictions.

ROLES

•  MARKETPLACE + INTERMUSIC SF TABLE (1st Floor Lobby)
•   Set-up Marketplace (9AM-12PM shift only): Fashion Marketplace tables with tablecloths and banners; assemble vertical signs; arrange merchandise
•   Hand-out programs; answer questions; sell merchandise
•  Tear down Marketplace (5:15-5:45PM)

•  ATTENDEE REGISTRATION (1st Floor Lobby)
•   Check-in audience members who have already purchased tickets
•   Send guests who have not purchased in advance to the BOX OFFICE to purchase tickets and get wristbands

•  HORN BAR RECEPTION
•   Guest check-in + tear down (post-event clean-up)

ENTRANCE + LOAD-IN

•  Participants can begin load-in at 10 AM.
•  Front-door load-in is suggested. There is an area for loading directly in front of the building.
•  Upon arrival, check-in with Jacob Ellgass. He is your liaison.

ARRIVAL + TABLE ASSIGNMENT

•  Please find your table assignment above.
•  If your table is covered with a tablecloth and dressed with a branded banner, you can begin setting up your merchandise, literature, and other materials. If your table is not yet ready, please ask Jacob for instruction.
•  Your 6’ table will have two chairs. You are permitted to put a narrow stand behind you to display materials. You cannot have any items block entry ways between pillars. This area must remain free of all things.
•  The War Memorial will have two lobby attendants. Please comply with their requests and consult with Jacob if there are any concerns with their requests.

MERCHANDISE SALES + WIFI 

•  We encourage you to sell merchandise at the Marketplace!

•  WiFi - NETWORK: #CCSF_GUEST (no password needed)

•  If you are selling merch, you will need to:

• Reply to this email to let me know you are selling items.

• Be aware that the War Memorial will collect 10% on any sold items + 8.63% sales tax (they submit sales tax on our behalf).

• Prepare to settle with the War Memorial by cash or company check the day-of the event. 

‘PERFORMER'S LOUNGE’ 

•  We will have light concessions in the Performer’s Lounge, located behind the Herbst Theatre as well as   coffee, tea, and water.
•  The Lounge will be secured and accessible only to SFMD participants and staff for the duration of the festival. Jacob can provide you with the code to get in, upon your arrival.
•  There are dressing rooms behind the Herbst with day-use lockers to store personal belongings.

LOBBY PERFORMANCES

There is one performance scheduled for the Lobby, and will occur concurrently with the Marketplace. While music is happening, we ask that you be mindful of the performer and those listening by keeping a low-level talking voice. 

BREAK-DOWN

War Memorial staff will begin breaking-down the lobby at 5:30 PM.  We ask that your break-down be swift. WAR Memorial team will look to clear all tables by 5:45 PM.

•  10 AM - Load-in (after load-in, please re-park) and table set-up

•  11:45 AM - Guest arrival

•  12 PM - Performance starts

•  5:30 PM - 5:45 PM   -Marketplace Break-down

San Francisco, CA – InterMusic SF proudly announces the 18th edition of SF Music Day, returning on Sunday, October 19, 2025, to the San Francisco War Memorial & Performing Arts Center. This year’s festival, themed Deeply Rooted, brings together more than 85 artists across 20 ensembles for over six hours of continuous live music, highlighting the creativity and cultural breadth of the Bay Area.

Artists include the 2025 Tiny Desk Concert Winner Ruby Ibarra, alongside acclaimed artists such as Kala Ramnath & Abhijit Banerjee, Ensemble San Francisco, Liberty Ellman Trio, and Vân-Ánh Vanessa Võ & Blood Moon Orchestra. From Brazilian choro and chamber-folk to hip-hop, Indian classical, jazz, and experimental, the program reflects the Bay Area’s vibrant and evolving soundscape.

New in 2025: Ticketed Admission

After 17 years as a free festival, SF Music Day will now be ticketed, with [modest? I.e. ,Possibly a modifier here to signal it’s a thoughtful pricing strategy?] prices ranging from $10–$20. To ensure accessibility, discounts are available for families, students, military personnel, and community members with financial need, with a no-one-turned-away-for-lack-of-funds policy.

This transition comes as InterMusic SF addresses a nearly $100,000 funding gap due to changing federal and foundation support. Ticketing helps sustain the festival while keeping it welcoming and affordable for all.

Marketplace & Family Activities

Beyond the concert halls, the Marketplace in the Herbst Theatre lobby hosts 12–15 Bay Area arts and culture organizations (12PM–5 PM), creating opportunities for audiences to connect with the region’s cultural landscape.

New this year, Classical California KDFC introduces The Glissando Listening Experience — a kid-friendly, interactive listening lounge with a rotating playlist every 20 minutes, presented via silent disco headphones [maybe say what these are? Why is it relevant that the headphones are “silent disco?” … is that a brand, a type?]. Families can enjoy music alongside creative coloring, and puzzles, making SF Music Day a multigenerational celebration.
