In a large convention building, the guest journey needs more thought than in a hotel ballroom. Guests can arrive from the MRT, the mall, a taxi stand or the car park, and each route should lead them confidently to your registration desk.
Share clear directions in the invitation, naming the nearest MRT exit and the hall or level.
Place branded signage along the main approach routes, subject to the venue's signage rules.
Station a greeter at key junctions during the arrival window.
Give drivers and VIPs a separate drop-off instruction if needed.
Registration sets the tone. A pre-registered list with quick check-in keeps queues short. Separate lanes for media, VIPs and general guests help each group reach the right place. Have name badges or wristbands ready that show which zones each guest can access.
Map a natural flow: registration, a pre-show holding area, the reveal, then demos, media and reception. Avoid making guests walk back through registration to reach the next zone. Use lighting and music changes to signal when it is time to move.
Convention centres run several events at once. Confirm loading bays, setup windows, power supply, rigging points and any restrictions with the venue's event team early. Check current details with the venue, as these can differ between halls and change over time.
End with a reason to remember the product: a sample, a digital brochure sent by message, or a booking link for a follow-up demo. Thank guests at the exit and make the route back to the MRT or taxi stand obvious.
