After the reveal, guests want to touch the product. Demo stations turn interest into understanding, and for dealers and buyers they are often the most valuable part of the evening.
Place demo stations around the edge of the reception space so guests can move between them while holding a drink. Leave enough room at each station for a small group to gather without blocking the walkway. Put the most important feature at the station nearest the stage exit, because that is where most guests arrive first.
Tech failures on launch day damage reputations and are usually preventable. Test every demo unit at the venue the day before, on the same power and network you will use on the night. Check chargers, accounts, logins and screen settings. Keep spare units and a written reset procedure at each station.
Use product specialists who can answer detailed questions, not only brand ambassadors.
Give each station a short demo script so every guest hears the same key points.
Agree how to record interest from buyers, whether on a tablet, a card or a scanned badge.
Rotate staff so nobody is on their feet for the whole evening.
Food and drink should support conversation, not compete with the product. Choose canapés that are easy to eat standing up and keep liquids away from devices. Ask the venue about service flow so waiters can move without crossing demo areas.
Plan the end as carefully as the start. A short closing announcement, a take-home item or a follow-up message that night keeps the product in guests' minds. Ask the venue about noise guidelines and pack-down access, and build the finish of your run sheet around what they confirm.
