A registration form is only useful when the communication around it is clear. Guests need to know what the event is, whether they are invited, how to respond, and what happens next. Each message should do one job well.
Collect only the fields you need for access, operations, catering, accessibility, accreditation or reporting. Every extra field lowers completion and adds data you then have to protect. Common essentials include name as it should appear on a badge, organisation, email, dietary needs and accessibility requirements.
A simple branded form for internal events.
An invitation-only RSVP page for VIP or partner events.
A landing page with event details for seminars and launches.
A fuller event microsite for conferences with agendas and speaker profiles.
Invitation: what, when, where and how to respond.
Confirmation: sent immediately after registration, with calendar details.
Reminder: closer to the date, with any changes.
Joining instructions: directions, parking, dress code and arrival time.
Final note: a short message the day before, with the check-in method.
Confirmed guests, pending invitees, speakers, VIPs and internal staff need different messages. Sending speaker instructions to all guests, or forgetting to send joining details to VIPs, is a common slip. Tag each group and check the list before every send.
Submit test registrations on mobile and desktop. Try unusual names, long company names, duplicate entries and changes after submission. Check that confirmation emails arrive and look right. Confirm privacy wording matches your organisation's requirements.
Agree a date when registration closes and a process for late requests. This gives the venue and caterer final numbers and lets the team prepare badges and seating.
