The check-in desk is where all the planning becomes visible. Guests arrive in waves, often in the final minutes before the programme starts, and every delay at the counter pushes back the opening. A well-planned arrival zone keeps queues short and the mood positive.
Decide how many counters you need based on arrival peaks, not total guests.
Lay out the queue so it does not block lifts, doors or walkways.
Put clear signage at the entrance and at each counter.
Confirm power and connectivity for devices and printers.
Create a separate lane for VIPs, speakers and guests needing help.
Alphabetical counters work for large lists. Separate counters for walk-ins and problem cases stop one complicated guest from holding up everyone else. A help desk slightly apart from the main line is useful for name changes, lost confirmations and badge reprints.
QR-assisted check-in can speed up lookup for suitable events. Always keep a manual fallback, such as a printed list or an offline copy, because the desk must keep working if a guest has no code, a device fails or the connection drops.
Decide in advance what to do when someone arrives who is not on the list, or whose name is spelt differently. Who approves walk-ins? Where do they wait? Do they get a handwritten badge? Clear rules let counter staff act quickly without calling the committee each time.
Run a short briefing with everyone on the desk. Walk through the check-in steps, the exception rules and how to escalate. A quick rehearsal with a few test guests reveals problems with devices or workflow before real guests arrive.
Open the desk before the published arrival time. Early guests appreciate it, and it spreads the peak across a longer window.
A calm arrival zone sets the tone for the rest of the event.
