An equipment order is only as good as the logistics behind it. The right items arriving at the wrong time, or at a loading bay that is already booked, can push back the whole event. Settle these details with both the supplier and the venue before the week of the event.
Is delivery, setup and collection part of the order, or arranged separately?
Will a technician stay on site during the event, or only for setup?
Who is the contact person on the day, and how do you reach them?
What happens if an item fails: is there a spare on site?
Is the equipment from the supplier's own stock, or sourced from elsewhere?
What are the load-in and load-out windows?
Which loading bay and service lift should the crew use, and how big are they?
Are there rules on floor protection, wall fixings or noise during setup?
Does the venue need insurance documents or a list of crew names?
Work backwards from the time guests arrive. Allow time for heavy items such as staging and truss first, then AV, then furniture and decor, then a technical check. Leave a buffer for traffic, lift queues and small fixes. Share the timeline with every supplier so they know who goes first.
Tents, generators and inflatables add weight and complexity. Plan for rain covers on equipment, cable protection on wet ground, and shade for crew and guests. Agree who decides when to pause activities in bad weather.
Check items off against the delivery list during load-out. Note anything damaged or missing while the crew is still on site. Keep the final list for next year, since your next event will likely need something similar.
