Ambiguous ownership is one of the most common reasons conference emails go out late or with wrong details. A supplier can plan and execute, but organisers still need named owners for accuracy, branding, data and urgent decisions.
Communication owner: maintains the master schedule and tracks dependencies.
Content owners: verify programme, venue, speaker and sponsor information.
Data owner: confirms audience sources, fields, permissions and list rules.
Approvers: named reviewers with realistic turnaround times and a clear cut-off.
Escalation contact: the person who decides on cancellations, major changes or corrections.
The organiser normally provides authorised audience data and confirms how it may be used, approves factual, brand and programme content, supplies final venue, speaker and agenda information, and makes decisions when details change. Privacy or legal advice, where needed, should be obtained by the organiser for the actual project.
A partner may be scoped to build and maintain the schedule, draft or format agreed messages, coordinate test sends and approvals, apply audience rules to registration data, track issues and route delegate questions, and align email timing with registration and check-in.
Decide whether the partner writes from scratch, edits copy your team supplies or only formats approved text. Confirm who checks subject lines, links, agenda changes, speaker details, venue directions and how the email looks on a phone.
If records move between a registration platform and a CRM or mailing tool, ask how fields, status changes and exceptions will be handled. Document who can access the data, how long it is kept and how it is removed afterwards. Compatibility depends on the systems chosen, so treat any integration as something to be tested, not assumed.
A short written ownership table, agreed at the start, saves many late-night messages before the conference.
