Every conference email should have a reason to exist. Before writing anything, define each message by its audience, purpose, trigger, owner and the action the reader should take next.
Invitation: who the conference is for, why it matters and how to register.
Registration confirmation: sent when a delegate signs up, confirming details and next steps.
Programme update: released once speakers and sessions are confirmed.
Know before you go: venue directions, arrival times, check-in instructions and what to bring.
Day-of message: a short note with essentials, such as the registration location and any late change.
Post-event follow-up: thanks, slides or recordings if agreed, and a feedback request.
Speakers need rehearsal times, technical requirements and a contact for the AV team. Sponsors need build access and branding deadlines. VIPs may need an escort or a separate entrance. Each group should receive its own messages rather than reading delegate instructions and guessing which parts apply.
The schedule should show what information must be final before each message can go out. A know-before-you-go email cannot be sent until the venue confirms room names and arrival arrangements. A programme email waits for speaker sign-off. Mark these dependencies clearly so a delay in one place does not produce a rushed, inaccurate send later.
Conferences change. Sessions move, speakers withdraw and rooms are swapped. Decide in advance how a change triggers a correction, who approves it and which audience segments receive it. A short, clear update is better than a reissued full programme.
Email timing should match RSVP and registration status. Invitees who have already registered should not receive another invitation. Delegates who have cancelled should not receive joining instructions. Agree these suppression rules before the first send.
Get Out! Events connects email planning with RSVP, registration and check-in work, as outlined in its conference email planning guide.
