Every extra feature in an agenda platform creates more content to collect, check and maintain. The right scope is the one your programme genuinely needs. Settle these choices before you ask suppliers for proposals, so you compare like with like.
Define the number of days, venues, rooms, tracks and session types. Decide whether delegates need search, filters, favourites or a personalised schedule. Consider accessibility, mobile use and how readable the agenda is in a noisy foyer with poor lighting.
A listing might need only a title, time and room. Or it might need a full synopsis, speaker biography, learning outcomes and downloadable slides. Richer listings help delegates choose, but each field must be gathered from someone, so be realistic about what speakers will actually send on time.
Event website and registration pages.
An attendee app or mobile web view.
Screens and digital signage at the venue.
Email reminders and joining instructions.
A printable or downloadable programme.
For each channel, note whether it pulls live data from the platform or needs a separate update. That list becomes your checklist for every change.
Agendas often sit next to a conference registration system, polling, session check-in or engagement tools. Do not assume these will connect automatically. Document the information you expect to flow between them and ask suppliers to confirm what is feasible with the products you have chosen.
If delegates build personal schedules or log in, the platform will hold attendee information. Ask what data is collected, where it is stored and who is responsible for it, and take appropriate professional advice on data protection questions.
A demo with a handful of sessions hides the hard problems. Ask suppliers to load a sample that resembles your real programme, with parallel tracks and a few awkward session titles, before you decide.
