The organiser usually owns programme decisions and approved copy. Speakers and track leads supply material but someone must chase it. The venue confirms room names and timings. The supplier may handle configuration, content loading, testing and live operation. Write down each party's tasks, including exclusions, and name an owner for every hand-off to another vendor.
Include conference dates, venue arrangement, programme scale in words, the attendee journey, publishing channels, approval structure and a representative agenda sample. Flag the changes you expect, such as late speaker confirmations.
