A tracking setup earns trust in rehearsal, not on the day. Test with realistic data, examine the operational risks and build a fallback that staff can use without debating it in front of guests.
A tidy demonstration list proves very little. Include similar names, changed email addresses, group bookings, missing codes, walk-ins and late substitutions where your rules allow them. The aim is to see how staff recognise and resolve ambiguity.
Connectivity: what still works if Wi-Fi or mobile coverage drops, since offline behaviour varies by tool and setup.
Devices: flat batteries, damaged scanners, locked accounts and devices wandering from their posts.
Bad or late data: duplicates, wrong identifiers and guests added after the list was finalised.
Privacy exposure: screens showing more personal information than necessary.
Uncontrolled exceptions: a fast queue that produces a poor record because every query was waved through.
Decide when the team switches methods, who authorises the switch, and how paper or offline records will be reconciled later. Keep escalation contacts to hand, and if badges are involved, track any replacements issued manually. A short rehearsal makes the switch feel routine.
