Judge any tracking option by the whole journey, not by one clean scan in a sales meeting. The workflow below is the sequence to test with your shortlisted tools and your own operating team.
Prepare the source list. Consolidate approved registrations, remove unintended duplicates and flag incomplete records well before event day.
Send usable instructions. Tell guests what to bring, where to go and whether they need a code, a device or an app download. State access expectations early so nobody is installing software at the door.
Verify at arrival. Give staff one fast primary method plus a controlled way to search, correct or escalate a record.
Complete connected tasks. If check-in triggers badge collection, table directions or access decisions, name the owner of each handoff.
Reconcile afterwards. Clear unresolved entries, duplicate activity and manual notes before treating the export as final.
Total headcount matters less than how concentrated arrivals are. A crowd that trickles in over an hour behaves very differently from the same crowd arriving in a short rush before a keynote. Plan devices, counters and queue layout around the busiest expected moment, and check venue connectivity, power points, lighting and floor space with the venue.
Set a cut-off for routine list updates and agree how urgent changes reach the team on site. Walk-ins, substitutions and assistants registering on behalf of executives should each have a defined route rather than a generic override.
For conferences that track attendance by session, decide whether guests scan in at each room or whether staff record entry. Either way, brief room hosts on what to do when a guest is not on the list.
