Sustainability Plan for this Google Site

The City of Santa Monica currently has a contract with Google for all city officials and departments, including the Santa Monica Public Library, to use “G Suite” for their email, calendar, and general communication needs. Included in all employees’ City of Santa Monica Google accounts is a certain amount of Google Cloud Storage on Google Drive. As such, the below resources relating to the National Superhero Day Google Site were created using and are currently stored upon the SMPL Web Service Librarian’s Google account in a folder titled “2019_national_superhero_day” at no additional cost:

    • Google Site or SMPL’s National Superhero Day Celebration
    • Google Spreadsheets, pivot tables, charts
    • Google Map
    • Google Form
    • Google Photos (upon which the images used on the Google Site have been saved)

From now until the National Superhero Day Celebration occurs on 4/28/2019, this Web Services Librarian will plan to keep the Google Site published online. Once the event is over on 4/29/2019, the SMPL Web Services Librarian will unpublish the Google Site, which means that the website is no longer live but is still accessible to make edits and/or republish at a later date. The Web Services Librarian will keep the Google Site on the Google Drive along with the Google spreadsheets, pivot tables, charts, map, form, and photos created for the event. This Google Site and some of the other Google visualization tools may be used as a template in the future to create promotional websites for other upcoming SMPL events and/or for future National Superhero Day Celebrations in the coming years.

Regarding upkeep and maintenance of the website while the website is live, there shouldn't be much upkeep or maintenance required as the information on the Google Site should not change. However, the Web Services Librarian should check the website once a week to confirm that the event details are still correct. If they are not, the Web Services Librarian should make the appropriate changes in the respective Google files. Once the National Superhero Day Celebration event has passed and the website is no longer live, no maintenance will be necessary. Moreover, if the Web Services Librarian would like to use this Google Site as a template for other events, he/she can make a "Duplicate" of this Google Site and change the Site as needed without changing the original Google Site for the National Superhero Day event.

In regards to platform obsolescence, it seems unlikely that Google, G Suite, and Google Sites will be disappearing anytime soon. However, as a backup, the Web Services Librarian will plan to download and perform the below tasks to create backup files:

    • Download the Google Spreadsheets (which contain the pivot tables) as Open Document Formats, as PDFs and as Excel files.
    • Print the Google Form as a PDF file.
    • Download the charts as PDF files and as SVG files.
    • Print the Google Map as a PDF, and also export the map to KML/KMZ.
    • Download and save the images as jpg's.

The Web Services Librarian would then save all of these files on the SMPL server in a folder titled “2019_national_superhero_day_backup”. Thus, if Google were to ever dissolve, the Web Services Librarian would have the information from this website saved in other digital formats that are more preservation-friendly.

Regarding the cost of this website, as long as the City of Santa Monica still has a contract with Google for G Suite, the Google Site and its Google features (such as spreadsheets, charts, maps, etc) can be stored on the Google Drive and hosted online at no additional cost. If this changes, the Web Services Librarian should consult with their supervisor regarding what to do.
