Dear BHS,
The email below is from our Financial Services Dept., about Donor’s Choose fundraiser and their expectations. As a rule, you should contact our office as soon as you have an idea for any type of fundraiser. This must be done prior to posting or doing anything at all. We will guide you on how it can be implemented and the steps you need to take. We want you to be successful in your endeavor but you must follow RISD’s protocols.
Good afternoon all,
Just a quick reminder about Donor’s Choose. Before teachers sign up for Donor’s Choose (or any crowd sourcing company with the exception of Amazon Wish Lists) they must get approval from our principal via the fundraiser application form. Any club/school-wide fundraising must fill out the approval form prior to posting and/or publishing anything. See more specific information below regarding Donor’s Choose specifically.
Principal should approve any wording for the actual posting on the website. Make sure that the teacher that signs up understands that anything that they send does not belong to them, but to the school and if they change schools, the donor’s choose items stay at the school. Teacher also needs to fill out fundraising application form to go with your paperwork. This is strictly for your records but have on file with your copy of the gift acceptance form for the auditor to see when they go through everything.
After your campus receives the donation - you (or the teacher) will need to go to the website and printout the campaign information with the pricing for each item, fill out the gift acceptance form, principal sign then send gift form and copies of print outs to the Budget Office.
I would caution about asking for items that can/could be purchased through your operating budget such as pencils, paper, pens etc. Caution is also suggested when asking for items that can be purchased on the new bond that was passed (specifically technology items).
Feel Free to share information from this email with your staff.
