The 13th ASTHRDP Graduate Scholars' Conference Guidelines

General Guidelines of the Conference

The DOST-Science Education Institute, in collaboration with the ASTHRDP-National Science Consortium will be holding the 13th ASTHRDP Graduate Scholars’ Conference on 18-19 September 2025 at the Limketkai Luxe Hotel, Cagayan De Oro City, Misamis Oriental with the theme “Advancing Climate Action and Environmental Stewardship for the Well-being of Every Filipino”.

All conference official participants must be aware of the guidelines on the per diem that will be provided to out-of-town participants and the requirements for its liquidation, the program flow, dress code, and conference house rules. 

1. Per diem of out-of-town participants: Per diem will be provided to the official participants to be disbursed by their respective Universities through reimbursement. This covers land transportation, meals and incidental expenses (for project staff only). Based on Executive Order No. 077. S, 2019, the per diem at Region X is P1,800.00.

The allowable per diem for travel beyond the 50-kilometer radius from the permanent official station shall be based on the following apportionment:

2. Transportation of out-of-town participants: This will cover one (1) actual round-trip fare from the school/hometown to Cagayan De Oro City, Misamis Oriental and vice versa.

For scholars who already graduated, point of origin will be based on their residence.

For the booking of plane tickets, participants may either have it booked by the project staff from their respective universities or purchase their own, subject to reimbursement. Book ASAP!

Requirements are as follows:

3. Accommodation: Official participants of the conference will be provided with accommodation at the Limketkai Luxe Hotel. Room assignments will be given at the front desk. Check-in is on September 17, 2025, from 2:00 PM onwards, and check-out is on September 20, 2025, at 12:00 PM.

4. Program: A digital copy of the program will be provided.

5. Dress Code: All participants of the conference are encouraged to follow the dress codes below.

6. Website: The link to the official website of the conference will be provided. 

7. Parking: There is a PHP 50.00 parking fee in the venue.

8. Conference Rules:

a. Arrive at the venue on September 18, 2025, and September 19, 2025, at 7:00AM for the daily registration at the Registration Booth.

b. Observe proper decorum in all of the proceedings of the conference.

c. Wear your conference IDs at all times to gain access to the session halls.

d. Be prompt in your attendance. Arrive at the plenary and break-out session halls ten (10) minutes before the specified time.

e. Put your phone on silent mode while attending the sessions. 

f. Participate actively in the fora. Ask questions and learn something new. 

g. Be responsible for your personal belongings at all times. 

h. The scholars are not allowed to leave the premises of the conference while the program is ongoing. 

i. To be entitled to a Certificate of Attendance/Participation, you must attend all sessions and submit your accomplished Evaluation Form which will be accomplished online through a Google form that will be provided to the participants on the last day of the conference.

j. An official participant who has already received the per diem but failed to attend the Conference must refund the complete amount to SEI/University within two (2) weeks after the Conference.
