This is a district wide initiative.

QUICK INFO:

DUO is a two-factor authentication software that allows users to authenticate who is logging into their Microsoft and Google accounts. The sole purpose of DUO is to secure email log ins and prevent hackers from sending out phishing and other malicious emails using staff accounts. TWO-FACTOR AUTHENTICATION requires a verification that it is you trying to log in. You accept it, it logs you in, and that’s it. Not So Fun Fact: Education is one of hackers biggest targets right now. We get over a million attempted hacks a week in our district.

TIPS:

  1. Make sure you already downloaded the DUO app on your phone.

At this point that is all you will need to do. You don’t need to set anything up through your phone (yet). Once you log in tomorrow morning, DUO will automatically launch on your computer when you try to log into your Google account or SSO. You will follow those prompts on your computer to set it up with the QR code, so you will choose that option on the cell phone app.

2. The easiest and quickest option to verify, is “Send me a push”. Duo will send you a decline/approve straight to your phone, and you select ‘Approve’ and you’re done

Whichever option you use, be sure to click on the “remember this” button. This will prevent you from having to verify every day for 2 weeks.




After you click send a push, you will see a notification on your phone like the second image:




Click that notification and it will take you to the deny/approve screen:

Once you click approve it will automatically log you in, similar to authenticating an TV cable app, your bank app, etc.


3. If you have an older phone and cannot download the app, or simply do not wish to download the app on your phone, there is a selection for you to be called instead. If you choose to receive a call, use your personal cell phone (NOT recommended: desk phone) as this is the number that will receive the code. You will have to use this when signing into your chromebooks, laptops, and/or iPads at home as well along with any additional district computers you sign into regardless of physical location, so if you choose your desk phone you will only be able to authenticate at your desk.

4. After setting up the duo authentication, make sure notifications are turned on. This will prevent you from having to open the app and manually pushing the approval or code.

FAQ’s:

Do I have to use DUO TWO-FACTOR AUTHENTICATION?

Yes, you will have to authenticate your log in to the SSO, Google, and Office 365, or any Chromebook device. You can choose to not install the DUO mobile app for convenient authentication, but you may not opt out of using the authentication feature

Why are we using this?

To prevent hackers. Two-factor authentication is a necessary security tool that will ensure no one else is logging into your email accounts. You must allow access, so if you were to receive the notice when you haven’t prompted a verification, you would be able to deny a hacker access to your account.

Do I have to use my personal cell phone to install the app?

No, it is not mandatory that you use your cell phone to install the app, however this is the most convenient way to quickly authenticate your log in. You may opt instead of to have it Duo call a designated phone number to provide a verification code. If you choose this option, it is still highly recommended that you use your cell phone number rather than your desk phone as you must be able to answer that call to receive the code and you will be asked to authenticate you log in anytime you time log into the SSO, Google, Office 365 or any Chromebook, regardless of physical location or device used (yes you will need to authenticate even if trying to log into your district Office 365 on your personal computer)

If I want an iPad or token to use for authentication app is technology providing that to me?

No, this would be a campus based purchase so you would need to speak with your administrator.

Lastly, I want to assure you, this is not technology or the district trying to track anything. The sole purpose is cyber security and data protection. DUO is a safe and secure application, part of the CISCO network, a company we use for many of our security features, such as security on our physical network, as well as at home VPN services for admin staff. The Technology Division has been using DUO since July and I assure you, I’ve received no additional spam, no increase in scam calls. Neither the district nor DUO nor CISCO is not tracking any phone activity or data.
