What is GDPR and why do you need to know about it?

The General Data Protection Regulation (GDPR) is a new data protection law, which comes into force on 25 May 2018. The aim of GDPR Is to strengthening laws on data protection, thereby giving EU citizens more control over their personal data.

In other words, it makes sure anyone collecting information has to:

  • Be honest about why they want it,

  • Be clear about what they will do with it.

This page tells you about why we need your information and what we do with it.

Why Fulneck School needs your information and what we do with it?

Fulneck School gets information about you from many sources, including:

  • Your parents/guardians

  • County councils

  • Other schools

We collect information relating to you such as your name, your address, your date of birth and the names of your parents and/or carers.

We also collected information such as how many students are in school, attendance records, exams/test results, what you want to do in key stage 4 or 5.

This information helps people know who you are and what you need.

What information do we get?

Fulneck School is given information from other schools, our county council and other public bodies.

We get the vast amount of information from your parents and/or carers when they register you and provide us with personal and contact details.

We also share this information with other people.

Some information we have about you are:

  • Personal details like your name, address and date of birth

  • Your attendance records and any actions taken to deal with your problems

  • Your behavior records and any actions taken

  • Your protected information such as gender, language, nationality, country or birth, immigration status.

  • Your medical information

  • Your academic courses information such as what you study in Key Stage 4

  • Any extra support you get to help you learn

  • Any help you get from social services

  • Your school test and exam results

Why do we need your information?

Well, we need this information to give you a good education! As a school, we also have some legal obligations and processes we have to comply with.

Some other reason are:

  • To support learning

  • To monitor and provide reports to parents

  • To provide appropriate pastoral care

  • To assess the quality of our service

  • To comply with legal processes

  • To complete our annual census to the UK Government

Are we allowed to do this?

Yes! As we are a public authority we are subject to some legal guidelines and processes that we must follow. Some of the processes allow us to collect and use your information.

Some of these legal processes come from the Education Act 1996 or the Protection of Freedom Act 2012.

For the times we cannot rely on the law or if we are not carrying out a task relating to our status as a public authority, we have to get you or your parent/guardian permission.

Who do we share your information with?

Some of the people/organisations we share your information with are:

  • Any school or college you move to

  • Our local authority

  • The office of national statistics

  • The NHS

  • Learning Records Service

  • Press and the media

  • The police and the courts

  • Counselling services

We also share your information (anonymously) with people who are conducting research into educational achievements.

When we share your information with others, we make sure that it’s kept really safe and secure and we follow rules set out in law.

We share information with lots of people/organisations because it helps them to provide you with a better service.

How long do we keep the information?

We keep information with your personal details until your 25th birthday.

We keep other information without your personal details to study for as long as we need to.

When we keep it, we make sure it is kept safe and secure.

What are your rights regarding your information?

The new law gives you some new rights relating to your information.

You have the right to:

  • See any personal information we have about you

  • Ask us to change any information that you think is wrong

  • Ask us to remove your information

  • Ask us to stop sharing your information.

Some of these rights depend on how we hold your infomration. For example, if you wanted us to stop sharing your information with the UK government we would have to say no because we legally obliged to share it with them.

You can complain if you think we are not respecting your rights. There is an Information Commissioner who can help you.
