Friends of Baldwin Officer Role Descriptions
Friends of Baldwin Officer Role Descriptions
Co-Presidents - Provide strategic oversight and leadership of all Friends of Baldwin programming and budgeting. Facilitate monthly board meetings. Recruit and support board members and other volunteers. Act as liaison between Friends Of Baldwin volunteers and the Principal. Meet regularly with the Principal and/or Parent Liaison. Write annual appeal fundraising letter.
Treasurer - Responsible for Friends of Baldwin finances including accounting, vendor invoicing/payment, reimbursements, tax preparation, updates to the board, and budget support.
Assistant Treasurer - Assist and support Treasurer as needed, including depositing checks and making reimbursements and payments. Distribute fundraising letters and send thank you letters to donors. Will ideally take on Treasurer Role following year (but not a necessity).
Clerk - Responsible for all corporate maintenance duties, including recording of meeting minutes from Friends Of Baldwin board meetings. Prepare and file annual reports and other corporate documentation. Help develop written Friends Of Baldwin communications as needed, supporting the President and Vice President. Coordinates with Website and Graphics/Advertising to ensure content is created and distributed when necessary.

Volunteer Leader & Position Role Descriptions
Social Media - Share the Baldwin story! Post school updates, event highlights, and thank local business sponsors. Easy, flexible role using pre-made templates and scheduling tools—work on your own time! ~1–2hrs month
Fall Family Fun Day - Help bring the Baldwin community together for one of our favorite annual traditions! coordinate activities and entertainment, and recruit and coordinate volunteers for setup, activities, food, and cleanup.
Teacher Appreciation Day - Help us show our amazing teachers how much we appreciate all they do! This volunteer will coordinate two simple acts of kindness for our teachers during the spring—such as a special treat, surprise, breakfast, or other thoughtful gesture.
Spirit Wear Coordinator - Help Baldwin families gear up with school merch! Choose products, place orders, and organize easy family pickup days. Full playbooks and supplier lists ready. No experience needed! ~2 hrs/mo.
Winter Open Gym - Looking for a super easy volunteer role? Host a winter weekend Open Gym! All you do is open the gym closet, set out balls & toys, and let kids burn off energy. Zero planning required—just show up! ~2–3 hrs total.
Grades 1-2-3 Dance - Help bring our school dance to life! Full event blueprints, supply lists, and volunteer templates are ready—just grab the playbook! ~5 hrs total. Co-leads welcome!
Election Day Bake Sale - Coordinate treats & volunteers! Proceeds benefit the 5th grade trip (or Friends). Includes hosting our Nov Election Day table outside the school polling site. Full templates & support provided! ~10 hrs total. Lead solo or with a buddy!
Bread Sales Co Lead - Existing 4th-grade parent volunteer Zoey has been running the bread sale for years and would love a partner to share the responsibility. As co-lead you will help pick up donated bread from Iggy's each Wednesday, set up a table to sell the bread.
5th Grade Trip Fundraising Team - Calling 5th grade caregivers! Help run easy student fundraisers (movie night, raffles, cocoa) to cut overnight trip costs. Playbook & guidance ready. ~5 hrs/mo. Take one task, run an event, or team up!
Math Games Night - Help organize a fun evening math night for our students! Everything is pre-planned: game lists, templates, and support from our Math Coach are ready—just grab the checklist and go! ~4 hrs total. Co-leads welcome!
Winter Family Fest - Create a fun winter weekend afternoon of crafts and games for our students! Bring your own creative ideas, or use our pre-made supply lists, templates, and checklists—just grab the playbook & go! ~5 hrs total. Co-leads welcome!
STEM Day - Help bring science, technology, engineering, and math to life for Baldwin students! STEMFest is a well-established event that gives students the opportunity to explore STEM through fun, hands-on activities and experiences. The event has strong support.
Ice Cream Social for Baldwin Blooms Kick Off - The Ice Cream Social is a fun, low-key opportunity for students, families, and teachers to come together, enjoy some ice cream, and connect with one another. The volunteer will help plan and coordinate the event, request and pick up donated ice cream.
Baldwin Blooms Auction Team - Help gather & list items for our fun Online Auction! Great remote role: send templated donation requests to local spots and upload item photos. Full support & past lists provided. ~2 hrs/mth. Take a task or the lead. All are welcome!
Baldwin Art Day - Creative Crew - Help us work with Art Teacher Lily to bring a full day of creativity to life! We need a few volunteers to help plan the day. No art experience needed—no reinventing the wheel, just fun!
Most of these positions are very well documented thanks to past coordinators so you won’t need to remake the wheel- just plug and play!
