There are many moving parts to operating concessions for athletic events, and we rely on volunteers to fill various roles and responsibilities. No prior concessions or customer service experience is necessary, and all “training” will be provided. We are always looking for crew leads to run concessions for all of our events and we try incorporating some succession planning to fill roles as our kids graduate.
1. Lead Coordinator – Draft schedule of events and number of volunteers needed; Work with Scioto DMB Volunteer Coordinator to setup Signup Genius and keep it updated; Ensure slots are filled; Send correspondence seeking volunteers; Notify Athletic Office the volunteers’ names prior to each event; Assist with ordering and bank transactions; Troubleshoot problems.
2. Crew Chief – Oversee concessions operations for the designated event/stand; Train all concessions volunteers on how to set up, run & clean equipment.
3. Inventory Coordinator – Order product for each concessions event; Talk to vendors about pricing; Put delivered product away; Shop at GFS or Sam’s Club for some supplies; Manage ordering and payment of hot food vendors; Ensure soda lines are blown out after each season (fall or spring) concludes; Manage sell-by dates.
4. Treasurer – Pass a Dublin Schools-administered background check; Have accounting or similar background managing money; Pay concessions bills; Obtain bank to open each concessions event; Count and record revenue; Deposit money at end of each event; Provide a monthly report to the DMB Treasurer.
5. Volunteer – Help as a cashier or with food service for events; assist with set up and cleaning concessions area
Each team member will work with and shadow current concessions leadership to ensure adequate transition training. Team members will coordinate with other team members to ensure adequate coverage for each event.
Chaperone’s Responsibilities:
The bus chaperone coordinator will assign you to a bus, generally a chaperone may not ride the same bus as his/her children.
Be at the high school ten (10) minutes before your scheduled time, and check in with the chaperone coordinator.
Locate the bus that you are assigned to and introduce yourself to the bus driver. Find out if there are any special rules for your bus.
There should be two (2) chaperones on each bus along with a staff member.
There needs to be a chaperone in the back of the bus, the middle of the bus and in the front of the bus.
Every chaperone must make a head count before the bus leaves the school and the count must match the count of the other chaperones on the bus.
The chaperones are responsible for keeping general control of the students to and from events and must enforce any special requirements of the bus driver.
When arriving at the event, keep all students on the bus until released by Mr. Doherty, Ms. Aubihl, or the Field Commander. The only exception to this is the pit and color guard, who may leave to unload the trucks as soon as we arrive at the event.
Once students have been released from the bus they become the responsibility of Mr. Doherty, Ms. Aubihl, and the other directors. Go and enjoy the game/show.
After the game/show, return to your bus as quickly as possible. Count the students as they get back on the bus. Your number must match the number you had when you left the school. Report any shortages to the chaperone coordinator, who will then report to Mr. Doherty or Ms. Aubihl.
Ride back to the school with the students.
When we return to the school, remind the students to remove all belongings and trash from the bus. Inspect the bus. Students are responsible for cleaning up any messes left on their bus. (If there is a problem, report it to Mr. Doherty or Ms. Aubihl.)
It is very important both band members and parents help care for their uniforms to avoid unnecessary costs, so we’re providing some details about the uniforms and how to properly care for them.
The complete uniform consists of the following:
Black bib pants
Jacket
2 Gauntlets (one black / one green)
Hat in hatbox
Black shoes
Black socks – student purchased
Black gloves – available for purchase at uniform issue
Garment Bag – provided at uniform issue
Raincoat – provided at uniform issue
Adjustment
Pants – All you need to do is turn the pants inside out, have your student try them on along with their band shoes, adjust the shoulder straps, then snap them at the correct level while the student is standing at attention. As you look at your student from the front, the pants should touch the top of the shoes, but should not break. You should press the new crease with a WARM (NOT HOT) iron. NO CUTTING OR USE OF FUSIBLE PRODUCTS ARE TO BE USED TO HEM THE PANTS – THESE WILL CAUSE DAMAGE TO THE PANTS AND WILL RESULT IN A HEFTY DAMAGE FEE.
Jacket – The sleeves should fall just below the wrist while the student stands with their hands at their sides. Adjusting the length is discussed in the attachment that you and your student already have or should be receiving (Freshmen).
Wearing
Students should not wear anything bulky underneath the uniforms. Jeans are NOT to be worn under the uniforms. Besides being too bulky, they will make the material wear out too quickly. Students should wear at least a short sleeved shirt under the uniform to help keep the jackets cleaner.
Socks – Purchase black Men’s crew socks. For girls, if the Men’s or Boys’ socks are too big, Wal-Mart carries Women’s black No Nonsense socks that are fairly thick and comfortable. Please make sure that the socks are a true black, and not a charcoal gray.
Storage
The Uniform Care Instructions attached talk about a color setting process for newly purchased uniform parts ONLY. If your student received their uniform from the existing stock then this most likely was already done. Depending on the temperature and the field conditions, the uniforms should only need to be washed every 2 weeks or so. Be sure to air them out after wearing them. Especially if the weather is particularly warm or damp! Uniforms should never be put away for next time if they are damp or sweaty. Let them dry and air properly before enclosing them in them up in the non-breathable plastic garment bag.
