Lactation Room Inquiries:
While what was once considered the lactation room is no longer available (it is now Ashley's office) persons can book an appointment to use the Relaxation Room for this purpose. Feel free to help them book an appointment accordingly and follow the Relaxation Room policies. You can also point out to them that if they are interested there's a new lactation room on the 1st floor of the CORE building that might be more comfortable and/or accommodating. There is also one in the Student Administration (SA) building 2300A .
Sponsored Guest Membership Updates:
As of right now their sponsor does not have to be with them for their visits - full time staff will revisit this at the end of the term.
There is now a limit of "dependants" that can be listed under a household, which is 4. That will also be revisited shortly. If someone wants to go over that limit, you can ask them what person in their 'family' they would like to remove. A person should however, not have more than 4 ACTIVE sponsored guests as a sponsor. Please let us know if you have any questions.
Fac/Staff Memberships:
Please let us know if any additional fac/staff members request their purchases to be 'charged to their account' or through automatic monthly payroll deduction. We used to offer this but discontinued it and are just tracking requests while we explore the possibility of bringing it back.
EQR AED Update:
A new AED bag has arrived! The AED for EQR however, is still out of commision. The batteries should be replaced by the end of the week.
Fusion Troubleshooting:
Fusion errors with the waiver button not popping up - are there any additional instances of this? Fusion is looking into it. Their paper waivers are on file. They could also sign their waiver on their Portal just so the issue is cleared, if possible.
Please note on your End of Shift Report for any more Fusion errors. Thanks all for your detailed EOS reports!
Studio A/B Doors:
The doors to the Studios should remain closed as this helps regulate the internal temperature of the studios. During walkthroughs, we should still be entering the rooms to make sure everything is going according to guidelines.
Massage Chairs:
Both massage chairs are working now! Yay! :)

Get Fit Stay Fit Program (GFSF):
A faculty/staff member called in asking about the Get Fit, Stay Fit program and how our memberships work with that. GFSF is part of the Kinesiology department and not a RAW related service. You can provide members with info on our own programs and services and also inform them that they want to reach out to Kin for inquiries related to GFSF.
Scooters in the RAW Reminder:
Bicycles, electric scooters, and segways are not permitted in the RAW. Bicycle racks are available outside of the entrance to the RAW. Members are encouraged to lock up their bikes etc. there. Skateboards, hoverboards, and folding scooters are permitted provided they are not ridden while in the RAW, and that they are stored properly in a locker or cubby. RAW employees are prohibited to store bikes/scooters/skateboards etc. on behalf of a RAW member. We are also working with Parking and Transportation to explore the possibility of installing an additional bike rack outfront of the RAW.
The California Great Shakeout:
We will participate in the California Great Shakeout on Thursday Oct. 20th at 10:20a along with many other buildings on campus. At 10:20a we will duck, cover, and hold for 30-60 seconds and then commence a full building evacuation. We will be scheduling all staff who are available at this time so we can all experience the evacuation procedures. If you can flex your schedule that day to prioritize this, that would be ideal.

Linda will be teaching an Adult CPR/AED and First Aid Class on campus on Friday, September 16th from 9am-1pm (4 hours). The shift is posted on Humanity.
Please note that while this time is unpaid, the RAW will cover the certification costs which are typically around $90 in the local community. The certification is through the American Red Cross (ARC) and it is valid for 2 years.
Being CPR/AED and First Aid certified is not a condition of employment but it is highly recommended that you take advantage of this opportunity so that you are prepared in the event of an emergency.
If you are already CPR/AED Certified please send Linda a photo of your certification card so that she can document it accordingly.

Usage of Back Office Behind Front Desk:
Use of the back office should only be limited to the following:
When assigned a special project
Quick snackies or stowing your personal belongings
Or anything quick that does not take your attention away from the front desk
Staff should not be using that computer/desk in the back office unless they have been asked to do so (or if there are more than 2 people at the front desk)
Example of improper usage of Back Office:
There is only one Ops at the front desk and the other Ops is using the back office as a workstation
Two Ops should always be stationed at the front desk (unless one of the Ops is tasked with a walkthrough, special project, etc etc.)
AED (EQR) Bag:
Thank you everyone for your observations regarding the condition of the AED backpack. We are in the process of purchasing a new one.
Wellness Lounge:
The lights in the Wellness Lounge should be on at all times. Members are not allowed to turn the lights off and use it as a private space. If members would like to have a quiet space, please encourage them to book an appointment for the Relaxation Room.
Boxing Area:
Shoes are not required in the boxing/heavy bag area (but socks will be required).
However, shoes will be required if the member is doing any dynamic full body exercises such as plyo box jumps, jump ropes, etc etc. Please use your best judgment to ensure that members are engaging in safe activities.
Group Fitness Classes:
Tickets for Group Fitness classes:
Suleima (our Zumba Group Fitness Instructor) also verifies/checks-in registered members through her RAW Mobile App. In the event that we run out of tickets at the front desk, we can prompt members to check in with Suleima.
Due to instructor availability we need to pause a certain number of group ex classes for the foreseeable future. Classes that will be paused include:
STRIKE (Strength + Bike): Tuesdays, 12:30p - 1:15p
Yoga: Tuesdays, 5p - 5:45p & Wednesdays, 12:15p -1p
Body Sculpt: Wednesdays, 3p - 3:45p

Jamba Juice:
Jamba Juice can put their rolling inventory cart in the closet on the gym courts. It rolls so we should be able to get what we need in and out of there as well as keep their things for them. I'm not sure when they will bring it by and how often they will need to access it but we can key them in. Do not pass your keys off to Jamba Juice staff.

Please note that Court #1 will be closed Wednesday-Friday (8/3-8/5) from 12:45p-3:00p due to an event.
We can take the badminton net down on Court #2 so that folks can use the basket there from 12:45p-3:00p on those days (and put the badminton net back up when/if prompted).

Alumni Memberships:
Fusion is only set to pull alumni data (names, netids etc) for alums that are less than 5 years graduated. That said, anyone who graduated prior to 2017 as of now, will not show up in Fusion at all if they provide their name or netid. We want to still accommodate them and offer them an alumni membership by taking the following steps.
Prompt the member to set up their account via the RAW Portal (like you would a community member). In fact, when they set up their account online it will automatically default to community eligibility.
After they say their account is set up, we can look it up in Fusion on our end and open their account and edit their eligibility changing it to Alumni.
Prompt them to go back into their RAW Portal (refresh/logout and back in) and then they should have access to purchase an alumni membership.
We are not going to ask people for a copy of their transcript or any kind of proof that they are in fact an alum, but we will want to fill out a member error form and just bring it to a full time staff member's attention that an alumni membership was set up in this manner so that it's on our radar.
Community members with guests:
As of current, if community members want to bring guests, the guest would have to create a profile (if it is their first time visiting the RAW) on the RAWportal and purchase a community membership (we are currently offering either 30 days or 6 months for community members).
If the guest has never accessed the RAW before, they can apply their once in a lifetime Community Try Before You Buy Pass.

Hygiene supplies/feminine products:
We have temporarily paused this service as ASI was the ‘owner’ of the toiletries dispenser in the lobby. However, feel free to continue to put out the remaining tampons we have in the restrooms, but we will not have any more pads to resupply those for the foreseeable future.
There’s a state of CA bill that recently passed that now requires all CSU/UC/State schools to have hygiene dispensers and supplies free of charge in at least one bathroom per building.
A dispenser will be installed in the women’s locker room in the near future. Stay tuned for more information on this.

Everyone is doing a great job in being well-informed and assisting RAW members with memberships, selling locks, etc. Along with providing a great member experience, please also make sure that when selling a membership/lock/etc. to a member, the transaction is made out to the intended recipient (example: confirm a valid form of ID)

Scenario:
If your scheduled shift starts at 11:00AM, the earliest time you should be clocking in is at 10:55AM.
If your scheduled shift ends at 3:00PM, the latest time you should be clocking out is at 3:05PM.
Fusion Appointments for the Wii:
For any members inquiring about booking an appointment for the Wii, please note that the wii can be checked out to play only in the wellness lounge.
The wii must remain in the wellness lounge and cannot be taken off site.
Student Health and Counseling is open this Summer :)

Just a reminder that Student Health and Counseling is fully open to support students this summer. Although some of our services are only available to students who pay the summer health fee, any continuing student can come by or call our front desk to see if they qualify to pay.
There are also resources available to students who have not paid the summer health fee:
- Counseling groups over Zoom - Mindful Mondays (Mondays 3pm) and Wellness Wednesdays (Wednesdays 12pm) are open to any continuing student. These groups provide tips on managing stress and creating healthy coping strategies, as well as providing some community and connection over the summer months. Students can call (510) 885-3735, email shcscounseling@csueastbay.edu, or come by SHCS to register.
- Online wellness resources on our website, including videos recorded by our counselors and links to a variety of websites, podcasts, and other resources by topic and for specific communities. We're proud to now have added resources in Spanish for students who prefer videos in their first language. Check out our SHCS Quicklinks for a list of all the resources.
- After hours support - phone counseling is available by calling (510) 885-3735, option 2 when the center is closed evenings and weekends.

Reinstatement of Facial Covering Requirement:
As you may have seen from the announcement email, masks will be required in indoor public settings starting on Friday, June 3, 2022.
The RAW will also align with this public health requirement and will require that facial coverings be worn indoors, regardless of vaccination status.
Taking photos for Fusion profiles:
When members come to check in, if they do not have a photo, in addition to verifying their emergency contact info we should be taking their picture.
If you have any questions about how to take a member photo, please feel free to reach out to one of your peers.
As more sponsored guests/community members/alumni members begin coming into the RAW, we will need to make sure to take pictures of the members and save it to their profile.
Similarly, if any students/faculty/staff do not have a picture in their profile, we’ll take their photo and save it to their profile.

To check out with you after their appointment so the space can be cleaned accordingly
After checking the student in, let PAW know (if around) that there is a student in the Relaxation Room.
Place the “In Use” sign on the wall to the right of the door.
At the end of appointment

Community/Alumni/Sponsored Guest Memberships are now back online! Please watch this video and read the bullet points below so you/we are prepared to help our current and prospective members out.

The fact remains that only students can purchase memberships at the front desk. All other memberships need to be purchased online via the RAW Portal or the RAW Member App.
Community members who have never visited us before will need to go onto the RAW Portal and create an account.
If they have visited us before try to look them up in Fusion so they do not create multiple accounts.
RawPortal Login Troubleshooting:
If they cannot remember their username/email address they used to create their account, you can look it up and give it to them accordingly.
If they cannot remember their password, they can use the link to retrieve their password.
Remember, on the RAW Portal login screen, ALL students/fac/staff will use "login with NET ID" other folks who do not have net ids (alums/community members/sponsored guests) will sign in with their email addresses. This is usually one of the first place members need help because the cursor on that screen defaults to the email address field.
In regards to the temperature in the studios or the fitness center, we are unable to adjust the thermostat. However, we can turn the fans on.
Please note that the doors to all of these areas (studios/fitness centers) should remain shut as this is how the area regulates the temperature.
On warmer days, we can be proactive by making sure we keep the blinds down.
If the temps are too warm, please take note of the temperature and submit a service request.
Starting this week, reservations will resume for the relaxation room and lactation room. Please review the Relaxation Room Procedures.

We are only able to sell memberships to students because the charge is put on their finance account. Brief description: Stretch, Flow and Go. This class is mellow but still challenging as it starts off slow and builds heat through various sequenced poses. This particular yoga class is GREAT for beginners and all levels. A great way to limber, strengthen and de-stress and consider sustaining yourself inwardly.

Brief description: Students can participate through Zoom or in person at the UU Bayview Room. Trivia night is a 30 minute Kahoot game that consists of three rounds of trivia. There is a grand prize winner but all CSUEB student participants get a prize for participating. This Trivia Night will have an Earth Day round giving fun facts about Earth Day as well as resources on how to get involved.

We are experiencing some technical issues with folks trying to register for the IMS Tournaments we are hosting starting tomorrow eve. The issue is stemming from a data import error that is not capturing gender. That said, what we can do is as follows.
If someone calls. Tell them a version of the blurb below. Please be mindful of the nature in which you ask someone to tell you their asserted gender. Use language like in the blurb below. If/when the member responds with their asserted gender, you can click on the pencil in their member account profile, and then click on edit and then use the drop down menu to set their gender accordingly. "Hello! Thanks for your interest in participating in our Intramural Sports Tournament this fall. Our apologies. There is a computer glitch that is preventing many members from registering. We are working to get it resolved. The error stems from missing data on our end related to asserted gender. If you would like I can set your account to your asserted gender and that should rectify the problem so you can register. If you would like me to do so, please tell me how you identify and we can update your account accordingly."
Unfortunately, Fusion only allows for members binary choices (male/female). If someone's asserted gender response is neither of those options, please capture their contact info and email it to me and I will follow up with them to get them registered accordingly.

Member in Crisis/Panic Attack/Students in Distress
On Friday David and Val worked with a student in distress. Below is a narrative of their accounts of the occurrence. They handled it really well and we want to share it with you all as an example as to how to get students connected to resources and the like since finals are coming up and the close of term can at times be stressful and may lead to additional and similar occurrences.
On Friday Val and David had a situation arise on their shift with a member having an anxiety/panic attack conveying to them that they needed crisis counseling. David escorted the member to a nearby bench and talked to them while Val looked up the number for Student Health and Counseling Services. They provided the member with the number and encouraged him to make the call while they offered their support and engaged in active listening. They offered to sit with the member while he made the call and he eventually got into contact with the SHCS for an immediate counseling appointment.

As there has been some questions regarding Court Limits/Capacity, we dont have any physical distancing / court capacity guidelines anymore so people can play full gamed, with no limits to the number of people that can be on the court/benches

The barcode readers at the front desk & EQR now all work! They however work as a search up method, so the member’s information will pop up on the left hand side of Fusion and you will need to hit allow to check them in, much like you do when you search up a member with their ID.

Week of 3/14 : You vs. The Claw Machine
Members who use the in-app barcode to access the RAW and will be given a chance to beat the claw machine in the RAW lobby.
With the Show Us Your App event happening this week and next, there will be extra shifts posted Monday - Thursday 5-10PM all one hour shifts during those times. If you would like to pick up any of those shifts please let us know! Great chance to get more hour$ before our week off for Spring Break!!
Please make sure you are getting those towels runs done every 45 minutes and when BSS staff walkie us to. Make sure that we are all doing at least 1-2 towel runs and those walk throughs done during your shift, work with your on duty Ops to alternate so it’s not just all on one of you. Teamwork makes the dream work!

With this new transition it will require a lot of communication within departments to make sure we always have clean red towels available along with having our green solution bottles filled. Please let me know if you have any clarifying questions :)
With this it will require opening staff to double check that there are red towels and filled green solution bottles on both FCs during your walk through of the building, along with closing staff to make sure closing BSS staff fills up these bottles before clocking out. Gentle reminder to fill up all sanitation stands in the locker rooms and restrooms as well as the sanitation station in the lobby. All extra supplies are in the back office, if running low or out please include that in your EOS :)

Wellness Center updates:
Massage Chairs
During Wellness Center Hours of Operation, individuals will have 30 minutes to use the massage chair. Individuals cannot reserve back to back times slots in advance and must also be present to sign up for a time slot. If they want to continue using the massage chair after the conclusion of 30 minutes, they may until another individual requests to use the massage chair. They will then receive a 5-minute notice to wrap up their time so that the next individual can use the massage chair.
This will be in effect Thursday March 10. There will be a sign up sheet which will be managed by the Wellness Center Attendant. Make sure to pass the sign up sheet to the next Wellness Center Attendant and do not leave it in the room unattended.
Relaxation Room
Individuals can make a 45 minute appointment for the Relaxation Room. Appointment times start on the hour and there is a 15 minute time period in between appointments for cleaning to be done by the Wellness Center Attendant.
Individuals cannot reserve back to back times slots in advance.
If an individual wants to continue using the Relaxation Room after the conclusion of 45 minutes, they may do so by making an appointment no earlier than the start of the next appointment time. (For example, if an individual has a 10am appointment and wants to make an 11am appointment, they must wait until 11am before they can make the appointment to be fair to other members.) In the meantime, they must leave the Relaxation Room so that it can be cleaned by the Wellness Center Attendant in case another individual makes an appointment for the space.

Our sign-up sheet that was used before the new Court Schedule should still be used when it comes to people requesting/checking out equipment. General Info/ Updates / Reminders:
Basketball is back online here at the RAW! James and Justin pumped up balls last week and readied them for check out at EQR come Monday.
Please reference the calendar on our website for the most up-to-date Drop-In (Informal) Recreation schedule.
Court #2 is available for Drop-In (Informal) Recreation. RAW members will be able to participate in the activity scheduled on the calendar at that specific time. If no one requests to participate in the scheduled activity, the court will default to first come, first-served. If at any time a group wishes to play the activity scheduled during the posted Drop-In Recreation hours for that activity, that activity/request will have priority.
Additionally:
Requests for equipment set up must be made at least an hour prior to closing.
Calendars have been posted on both courts. You can reference these as you explain to members what the process is.
If you need to lower or raise the hoops, you can do so by using the corresponding turn knob in the court closet (to the right when you walk in)
During scheduled activity time, groups who are participating in the scheduled activity (i.e. badminton) have 45 minutes to play. If they want to keep playing after the conclusion of 45 minutes, they may, until another group requests to use the space to also play badminton. They will then receive a 10 minute notice to wrap up their game so that the next group can play.
If you are asked to set up the courts for volleyball during scheduled drop in hours for basketball, be sure to tell the folks that are requesting vball, they will need to vacate the space if anyone comes in and wants to play basketball, and vice versa. Communication will be very important as we roll this out.
The performance zone on Court #1 has been condensed now that we are not engaging in physical distancing requirements. All equipment is still available, its just a bit more compact. The half court that is now open on Court #1 is open only for table tennis requests and/or a single badminton court to free up more time/space for full court activity on Court #2 (vball/bball). Please do not lower the hoop on that side at this time.
A lot of people are still experiencing RAW Portal login issues. If a member comes to the front desk or calls the facility to ask for help, most of the time they are trying to enter their emails in the email/user name field on the raw Portal instead of clicking on the red "Sign in with Net Id" button. Please prompt them to the click on the one that says sign in with Net ID
On Friday, March 11th, the facilities moving teams on campus will be bringing over moving blankets and wraps and the like to run through our laundry machines. Please guide them to the laundry room if needed and assist them on how to start a load and how to dry a load, if there is not an EQR attendant there. We have no set time as to when they will be stopping by, Linda did inform them they could come in as early as 7AM so please just keep an eye out for them :)
When using computer number 1 please do not plug in the heater to the extension outlet there, the heater burns out the circut and you will need to reset the outlet and computer. If you would like to use the heater please plug it in to the outlet on the wall in the office behind the front desk.

As you may be aware the face covering requirement for the campus changes tomorrow, Tuesday, March 1, 2022. If you have any questions please let full time staff or myself know. Just a gentle reminder that we can not ask members about their vaccination status.
A few reminders as the campus & the RAW policy changes:
Anyone can choose to continue to wear a face covering whenever they choose to do so based upon their personal preference.
No one is allowed to inquire about the vaccination status of another employee nor RAW member.
Masks are available at the RAW Front Desk should an employee, member, or individual from the campus community request one.
Although the mask requirements have changed, we will still be ongoing with our door screening protocol. Please continue to ask members our three door screening questions when they are checking in. :)
Court “Reservation” Requests: Per the discussion at our meeting, the intent of the sign up sheet is to track first come first served participants for vball, badminton and table tennis. The intent of the sign up sheet is not to accommodate reservation requests for future times/dates or to allow for members to hold future time slots for their activity. That said, please communicate that to members who ask to hold a timeslot in the future. Convey to them that they need to be present to add their name to the sheet and that the sheet is to accommodate and track walk up requests for same time/day occurrences.
There has been a small addition to our hourly walkthroughs, now including whether or not the massage chairs are in use during your walkthrough.

R-A-W Member Experience Model Revisit: Role Model, Authentic, Well-Informed
For the past semester we have asked everyone to comment on how they have reinforced or demonstrated being a Role Model based on our Member Experience Model. The new prompt will replace Role Model with Authentic.
Remember when we are talking about being Authentic we are talking about the following attributes and actions (for example)
First impressions, relationship building, being genuine, transparent, honest, being mindful of our body language, taking responsibility, being committed to equity, making conversation with members or staff, complimenting their consistency, asking how their workout was and saying goodbye to them
In addition to the adjustment to the EOS Report, through collective brainstorming, we also arrived at 3 SMART Goals for you to choose from for the month of March to further develop authentic relationships among our staff and members and to help us all “Make Meaningful Connections.”
The 3 suggested goals are listed below.
The EOS Report will prompt you to use a check box to indicate that you have met your goal for the day and to elaborate in the open ended space.
In that open ended space you might include the name of the PAW staff member you met, or the name of the BSS member you chatted with during your walkthrough and what you discussed, or what you discussed with the member on their way in or out of the door.
For the month of March I will introduce myself to 1 new PAW staff member each week.
For the month of March I will check in with a different staff member and ask how they are doing on one of my daily walkthroughs.
For the month of March I will ask 3 members per shift how they are doing, what they’re working on, how their workout was.

The Wellness Lounge is able to be open during our hours of operation, if the PAW is closed for the day please keep an eye on the new massage chairs and make sure to help assist members as needed & that they are being wiped down after use, there is a bin of wipes in between both chairs for members to be able to wipes down after :)
There is now more wipes in the men’s locker room storage closet and there is also extra KN95 mask in the back of EQR able to be grabbed when needed to be restocked,
There has been some confusion as to how to sign up for the Open Recreations on Court #2 and how long each group has. Requests are on a first come, first served basis, how requests are made are to be through the sign up sheet, where the member put down the designated person in charge of their group to be able to reach out to in case that group needs to be followed up with. Each group has 45 minutes to play + a 10 minute warning to wrap up their game, unless there is nobody else requesting a different set up, in order to better know how long each group has been playing, Ops needs to make sure to note down the time a request was set up, so please make sure you are going back to EQR and writing down the time they started their activity. This will help you better know if they have reached their time limit and who is next. Please also ensure that signs are made one per group, there can not be a group of 4 signing up 4 times back to back, signs up are one per group. If members come in to meet with their friends who are already playing and just jump in with them, that is fine, but once the members who originally signed up time is up, all their time is up, they can not just switch out if there is a list of people waiting for their turn already. I know this is a lot of information so if you have any questions please let me know so I can help better explain this! :)

Please remind members who are signing up that as long as there is no other request for set ups by another group they can play on the court as long as they like or until we have another request. Try to please monitor they are not signing up on the sheet with each member from their group, so all members have time to participate as well. I will work with Justin & James to find a solution for this during the week to make sure groups are not doing this!

All issues with transfer status and memberships have been resolved on Fusion, so all members who pay the UU Rec fee should now be reflected on their Fusion account, if there are still members who are not sure if the program they do or do not pay the Rec fee, please take down their information and include that in you EOS so their account could be checked out & if they are non-fee paying students please prompt them to ways for them to purchase a membership.
There has now been an issue with Fusion glitching out and not including the members picture when they swipe/check in along with some issues with computer #1 not allowing us to accept waivers for members, if you come across these issues, please screenshots of any error messages and/or also to write down the time and details of each occurrence. This will help ITS and Fusion determine what the issue is.
If a member comes in and is wanting to bounce their bball on Court #2 that is ok as long as no other member is playing either of the approved activities and or if anyone requests to use the space for a current approved activity we would have to honor that request. However we can't lower the hoops for them. We need to be very clear with them that they aren't able to use it with other people (start a loose game of 1v1 or something, since basketball is considered a close proximity activity and we do not have approval for it right now. Additionally all other equipment on the half court they are using would need to be removed. Please let members know that as long as no other members request any of the three approved activities they are allowed to bounce their ball around alone, since everything is evaluated day by day with COVID regulations because it is approved one day, it might not be the next and lastly RAW Staff may elect to discontinue the activity at any moment.
We are aware that we are out of Gym Wipes, full time staff is currently looking into purchasing more as the orginal supplier is no longer carrying that product for the time please just swift around the locations of wipes as needed. For instance it is necessary for wipes to be in the FC than out at the boxing area
Just a refresher since we have been gone for over a month, when filling out cut lock forms, please keep them inside the Ops binder if the member comes back for it to either claim their belongings and have then sign the form on the member signature portion. Also when they are claiming their items please make to they are able to identify it before handing it off to them and get their name and Net ID to have that documented on the form, it is important to verify that the items truly belong to them. If the items found in the locker are of high value, as we would with lost and found items of high value take it to UPD during the hours of operation and make sure to include that it was taken to UPD in the form.
For incident reports make to to fill out the form and give as much detail as possible, follow all the promopts on the front and back side of the form, it is very easy to follow but if you have any questions let me (Emiily) know so I can walk through with you on how to fill it out properly. Once completed please scan and email it to Linda & Jen from the upstairs printer, if you don't know how to do that please let me know & I will show you. Once scanned and emailed place the form inside Linda mailbox in the conference room upstairs. If there is ever a situation where you had to call 911 for someone, notify Jen and Linda right away if they are not on site.
Lastly for any confiscated baycards place them in the electronics cabniet in EQR, and fill out the form accordingly if someone if using anothers baycard to have access to the facility and remind them that if they are not a student, facility or staff they do not have access right now due to COVID and can not enter using someone else's baycard.
All theres forms can be found in the Ops Binder at the Front Desk, if you have any questions or are not sure what to do and need me to go over these with you please let me know so I can find a time for us to go over this! :)

Equipment Set-Up Updates:
There is now a sign-up sheet to help keep track of requests for equipment set-ups on Court B! This sheet is now located in the EQR and the Front Desk (for when EQR is closed) , where members could sign up to request set ups, they will include their names, net ID, and the time they put the request to help assist which request came first when there is a heavy traffic flow of equipment set-up requests and there is also a section where you (Ops) will put in the time you set-up their request to keep track of the time limit, now 45 minutes per group, so we are aware of what time their reservation “began” so if there is a long wait-list, there isn’t any confusion of how long they have been playing and all members are able to all play either of the three options in their respected “turn”, please do continue to give them their 15 minute warning when their “turn” is coming to an end if there is additional request and of course if there is no other request they are more than welcomed to play as long as they like. :)
In other news the pennant system is up and running, Justin & James have now instructed EQR/BSS staff to start to 'check out' the vball, badminton and table tennis nets. As we would now to as well when the EQR cart is at the front desk, when a person asks for the system to be set up, please make sure the pennant is checked out to them and that they know when they are done, they need to return the pennet to the front desk or EQR. This should help us manage that space a bit more and provide us with some names and people to follow up with if and as needed. The pennant can be found on the bulletin board located in EQR where there are instructions for you and members to see how this system works. If you have any questions please feel free to ask myself, Justin or James!

Updates as of 2/1/22:
We are no longer requiring appointments, so all members would just need to swipe their BayCard, show you an ID and be checked in, there is no longer the prompt to check them in for the facility as we would last semester!
There has been some issues with members not being able to login to their RAW Portal, there has been an update but if someone calls or comes in stating they are having issues please prompt them to click onto the Student/Facility/Staff icon and they should be able to sign in with their Net ID and be able to access the RAW Portal
As discussed in the ALL RAW meeting, bandanas and neck gators are not allowed in the RAW, if members do come in with them please do give them a KN95 mask and ask that they wear that one while in the building.

We are no longer requiring that members make appointments to access the RAW. Simply swipe them in and walk them through signing their waivers and/or purchasing memberships as needed. There are no additional steps after swiping a member in unless they are here for a program like group ex class, or ask the trainer, or relaxation room etc. etc.
Free Week has now been renamed to Preview Period accordingly on Fusion, in light that in the recent past the free week has lasted longer than a week. Preview Period will begin starting Jan. 31stand end on Feb 5th.
Fac/staff who wish to purchase a semester membership should and can still just go ahead and do so on Jan 31st since it's based on set semester dates and is not prorated. There's no money savings for them to wait until Feb 5th to purchase their semester membership. If fac/staff are interested in purchasing monthly memberships they would of course perhaps want it wait until Tuesday Feb 7th to purchase their next membership.
Pls remind any fac/staff who ask that we no longer offer automatic monthly payroll deduction, but that they can purchase their memberships online on a monthly basis

This semester we will be working with EQR staff to 'check out' the vball, badminton and table tennis net systems. Each of these items is available for check out in Fusion, under Equipment and Net Systems.
In EQR you will find there are RAW pennants that each have one of these items attached. When a person asks for the system to be set up, please make sure the pennant is checked out to them and that they know when they are done, they need to return the pennant to the front desk or EQR. This should help us manage that space a bit more and provide us with some names and people to follow up with if and as needed.
As we get the Spring semester finalized, there are some shifts for BSS that are open. *If you can not work the entire shift duration as listed, Erika said she would be able to make the adjustments that do fit within your availability!* Please let me know if you are interested in picking up any of these shifts.

As a reminder the final steps you take to resolve and/or communicate the situation when there is a call out should be to call other Building Support Staff and or sending a message on GroupMe to try to find coverage for any call outs. JL/LC suspended Mr. Rajveer Singh's RAW account indefinitely as of Tuesday, Nov 16. If Mr. Singh attempts to access the RAW you can politely direct him to the email that Linda sent on 11/16 with instructions on how to proceed accordingly and the steps he will need to take to potentially regain access
Many of you have received requests as to when we may resume community/alumni/day pass member passes and memberships. Those memberships are still on hold and we don't have a definitive timeline or ETA for their return. We can continue to convey to the person inquiring that it will be reviewed on a semester by semester basis but that we currently do not have a projected timeline - This response is similar to one that you might provide for IM Sports or drop in basketball and folks curious about those programs/activities, that we are reviewing them semester by semester and will resume when we are able to safely do so.
We have placed a small stack of disposable cups downstairs in the office behind the front desk in the medicine cabinet. These cups are for you to use if someone who is feeling dizzy/faint/parched etc. needs assistance with water/hydration and does not have a water bottle. Great idea/suggestion Kristiana/Fabiola.
Be advised/remember however, that we are not able to provide members with anything else/our own items (no snacks, advil, etc. etc.) but that we can offer to help them grab their bag if they have those personal items with them and would like to use their own snacks/medications when and if they need to.
Red Padding Panels on Gym Courts: may be installed as early as Monday morning (11/15). The contractor will be here to hang them and finish the project. Like we did last time, please use stanchions and/or A Frames to section off areas that should not be used due to member/contractor safety etc. etc. while they are on site for the installation.
As a reminder we need to keep careful attention to the emergency exit doors closest to EQR, they tend to stay open a bit unless they are pulled closed. We have added this to our hourly walk through form, please assure that the doors are closed during your walkthroughs and during any open and closing shifts. The battery in the door panel alarm has been replaced as well such that it should be armed at this point too. Feel free to check the blinking red button.
Please continue to refrain from exiting out the Lot D door most of us come in through at opening or to start our shifts….Pls exit through the EQR or Front Doors and make sure all other student staff do as well. Ops are allowed and able to enter through that door, like Linda/Jen/Janice/Erika ONLY if you are coming in to work to start your shift in the immediate future. If you are not here to work, but here as a general RAW member, use the front doors.
As a reminder, while we are not enforcing social or physical distancing per se, we have arrived at capacity limits for certain spaces/activities, including a “Court Capacity/Limit'' of 12 ppl on each court at any given time. This involves all people on the court, whether they be playing/working out, sitting on benches, milling about etc.
Use good judgment when communicating this guideline. If there is one person sitting solo on a bench watching 12 people play, that is probably okay. If it creeps upwards beyond that one person, revisit the situation. Similarly, if it seems like 12+ people are in the middle of a changeup of players and participants cycling in and out of play for a brief moment, come back in a minute or 2 to reassess.
Concerning the Relaxation Room please also note that it is fine for the door to be closed/shut if there is a reservation and someone is using it. Since it is single use now, it is fine for it to remain shut while folks are using it. This reminder has been added to the walkthrough checklist.
Ops Training
Its fire extinguisher training week! Here’s the link to the training module that proceeds hands on training with the simulator. Watch the video, read the doc and complete the quiz during your 1st shift this week so we can complete the simulator training this week as well. Email Emily when you have completed your quiz so she knows you are ready to practice with the simulator. This training has also been activated in the Ops training log/spreadsheet. :)

Table Tennis Table Updates
A new net was placed on one of the tables. Its a bit higher so it may need to be removed in order to properly collapse/stow the table.

I (Linda) will also be extending monthly memberships for Fac/Staff/Post Bacc/ALP who have valid memberships that will be impacted by our closure the week of Fall Recess. If you sell a membership at the FD please let me know in your EOS report so that I can extend the membership accordingly.

Based on everyone’s feedback we will not be having an Ops Team Meeting Friday, Nov. 19th.
However, there is still an opportunity to pick up a virtual shift on Monday Nov. 15th 10am - 11am for our Pioneer Wellness Challenge. As mentioned this will be a virtual shift so there will be no need for you to come in person as long as you have stable and reliable WiFi connection. In other sad news… we will no longer be having an All RAW End of the Year Celebration as mentioned during our last Ops Team meeting, that being said we will be having an Ops Team Meeting Dec. 3rd 3pm-4:30pm. General Info/ Updates / Reminders:
Members using the Paramount Functional Trainer located downstairs should be and must be using an attachment when performing any exercise and never grab the cable/ball end directly by hand as this can cause damage to the cable over time and could potentially break and members could get hurt. If you see any members using this equipment incorrectly during your shifts, please inform them why we can not use the machine without any attachment for their safety and to prevent any damages to the equipment. During Philip’s (Precor Rep) last visit (10/29/21) he noticed members using the machine without any attachments and asked them to please use an attachment when using this machine.
If an Ops team member were to leave their keys here at the RAW, we ask that you please place them in the safe box located in the conference room upstairs where we keep the Ops keys. Please do not take them down to UPD or place them in the lost & found. Inform the team on our Ops GroupMe that you found some keys and the person who they belong to could inform us the keys belong to them and will get them from the safe during their next shift! :)

November 19 - Last meeting it was mentioned that it could possibly be our last meeting of the semester with the all RAW meeting taking this week's meeting time however, being that there has been a lot of things come up we highly encourage meeting once more before the semester as a team. The meeting would still be on Zoom 3-4:30. We'd like your feelings on having a meeting on the 19th if you could please include your stance on meeting the 19th in your EOS under the general notes for Linda/Emily! This is also a great way to get a couple more hour$ for the week we will be closed and before winter break!
Thank you for signing up to attend CPR/AED Training this Saturday Nov 6th from 10a-4p. The training will take place here on campus, in UU room 311. Be sure to arrive by 9:50a so that we can start on time. We will take a 30 mins lunch break at some point so be sure to also bring some food with you. You probably also want to bring a water bottle of course. We will also all need to have masks, per usual. Note again that this is not a paid training, but the cert is worth $85 and is good for 2 years. That said there's no need to clock in remotely or anything. Just arrive by 9:50a so we are all assembled and ready to start on time. If you signed up for December 13th and would like to come this Saturday instead please feel free to let Linda know so we can switch that for you!

Just a reminder screenshots of digital BayCards are not an authentic form identification. Everyone is doing a great job upholding this policy when checking in members and we appreciate your work enforcing this policy. We have noticed it is hard to distinguish a screenshot from the digital version. If you guys have found a way to distinguish the two please feel free to include that in your end of shift report so we can relay that information to our team! However due to there not being a real definit to distinguish between the two, we ask that if it is apparent to you that it is a screenshot you inform the member we can not take a screenshot of their Baycard and we must ask them for the actual digital Baycard on Touch Net ID and example to them why we can not accept screenshots as a valid form of identification.
Being that we have not found a concrete way to distinguish between the two, please feel free to brainstorm on some ideas to help us with this issue along with ways that have helped you distinguish the two! :)
The RAW is offering you all an opportunity to get CPR/AED and First Aid certified for FREE. Complete the below form by Tuesday October, 26th to secure your space in an upcoming CPR/AED Training offered by the RAW. This is not a paid training, but the RAW will cover the cost of the certification ($85) which is good for 2 years. The training covers Adult CPR/ AED/ First Aid. The Ops Keys should not be passed off/handed off. Your own Ops' key should also not be handed off to someone other than perhaps another Ops you are on shift with at that time. If someone requests a door to be opened etc. etc. an Ops should go open the door. If someone has to wait 5 minutes for you to be able to leave the desk so they can get their things or the door can be opened, that's okay. It's super important that we are not passing our keys off to other people outside the Ops team.
NEW Equipment: All our Performance Carts are all now on the floor! We have two in Studio A, one in Studio B, one on the Track closer to Studio B and two on Court #1. Here is a picture for reference on how these carts should be. This will now allow us to be able to check during opening and closing if all equipment on the cart is where it should be :)
Concerning the Transfer Student Scavenger Hunt and QR code poster on the bulletin board and taped to the front desk.....Transfer students were prompted to go in the RAW (among other places on campus) and inquire about the programs and services we offer and/or to check out the website and then complete a google form (linked to the QR Code). The QR codes are location-specific so students will have to go to other buildings if they are interested in filling out the forms to be eligible for a prize (hat/shirt).

Lost and Found Log: Pls add follow up notes to the lost and found log when an item is collected/returned to its owner or taken to UPD. This helps us track the items. These updates can be placed in Column I (Misc./Follow Up)
I (Linda) have asked Emily to make sure that all staff are not scheduled for more than 19.5 hrs/week so we can have flexibility with clock in and clock out times (5 mins prior and 5 mins after your shifts) and still not go over 20hrs a week and risk violations of HR policies. If you want to pick up a shift or are asked to clock in early or stay later such that you could go over 19.5 hrs pls get prior approval from myself or Emily.
How comfortable are you approaching members regarding mask policies? We have been doing a very good job with this, IMO with our Remind, Inform, Ask process. We are sometimes hit or miss with collecting info to identify people that may need follow up reminders. Please feel free at any point during your Remind, Inform, Ask procedure to ask members to show you their ID cards. It's not an unreasonable ask and you can frame it as making sure we keep accurate records of the way we are communicating information and our campus guidelines and keeping the building safe and open for all to enjoy. If a member is non compliant with this request you can remind them you have access to account swipes but this way is easiest for everyone and doesn't require escalation of the occurrence to your managers. You aren't required to ask for IDs but if you do ask someone more than once to put their mask on please, or if you ever ask anyone to leave the building, be sure you can identify them so we can ensure we are following up with members accordingly and treating everyone equitably.

HalloweenFest Updates
Hour long shifts for Halloweenfest have been added to Humanity - pls pick them up and help out accordingly and join in and deliver the fun!
The event will include activities such as DIY Cookie Decorating, Ghost Grams, Harvest Coloring Contest, Guess that Squash, Candy Corn Countdown, Pounds of Pumpkin, Apple "Variety" Picking, Witch Hat Toss, Bat Bean Bag Toss, a DJ, the ASI Photo booth, a speed painter, and meal swipes for 100 commuter students who attend.
Participants will have passports to collect stamps at each activity station - Each stamp enters them into a drawing for instapots, air fryers, blankets, bullet blenders, electric kettles and more!

Screenshots of digital BayCards are not a valid form of ID when members are attempting to enter the facility. We need members to show us their actual digital BayCard when checking in since it is the verifiable and authenticated version of the card. Screenshots of digital baycards and/or photos of physical BayCards are still not valid forms of ID as neither are verified or authenticated.
When facilities need to access a space (i.e. facilities men accessing the women's locker room for repairs, accessing a studio with a ladder to change our light bulbs, accessing the Universal lockerroom to fix plumbing etc.) we highly encourage Ops to use good judgement and take steps to close off areas with signs and stanchions (from EQR) as needed
Thank you all for your detailed end of shift reports regarding the technical issues concerning Computer #1 and Fusion freezing. We sent in a help desk ticket based on the feedback that Fusion freezes on Computer #1 frequently when checking in high volumes of members and toggling back and forth between the access, search, and registration/check in screens. It seems as if this has not been happening on Computers #2 and #3. ITS on campus came by on Tuesday and couldn't diagnose an issue so they asked us that anytime Fusion freezes ,and there is no error report generated that you could screen capture, please attempt to open a browser window or different program to see if it is just Fusion that is unresponsive or the entire computer itself. If you can open up a browser window or another program it may tell us the issue is with Fusion and provide more info to help with diagnosis.

Staff “Scope of Work” Reminder
Team problem solving and helping out are so super important and should be nurtured and encouraged. While encouraging BSS and other staff who are not Ops (PAW etc. etc.) to help out, we also need to be mindful of scope of practice and role clarification. Please do not ask BSS or other non Ops employees to come behind the front desk to check people in or perform other duties. Your Ops Fusion accounts are set up such that you all have clearance to more member sensitive data/personal information and the Ops position is the only position that goes through the background check process accordingly. If you need assistance because a member is asking for badminton to be set up or a towel run to happen, or a tour, or you feel a walkthrough is critical at the moment, the BSS team member can do any of those things to help out so Ops can remain at Front Desk.
Door Screening Questions Check In
It's been brought to our attention that some staff who are asking door screening questions may be remaining more diligent than others, who might not be taking it as seriously at this point and/or not seeing value in them. Pls connect with Emily or Linda about any instances where you think we are not being as diligent as we need to be so that one of us, or Erika and Justin can follow up with the BSS or the Ops that might need a reminder on the value/importance of the screening process and questions. You are also of course welcome to have that conversation and remind the staff member that we have had two instances of members responding yes, that Covid is still present on campus and in the community, and that while the screening questions, may feel tedious they are critical in our efforts to keep the building open and operating accordingly. Pioneer Wellness Challenge is upon us!
This week, various General Studies classes, in total upwards of 450 freshmen, will be visiting the RAW for 30 minute increments, doing a scavenger hunt and learning about our 4 Key Messages.
Each session time slot will involve between 15-35 students.
They will queue up outside and be asked the screening questions prior to entering the building
Many should have signed their waivers already but they can do that here if needed.
We will check them into the building, per usual, using an id and then add them to the corresponding Pioneer Wellness Challenge appointment time slot that has been set up. (update 10/5/21) I have updated the check in timing factors to provide a longer window.
They will get into pairs/triads to complete their hunts
The scheduled BSS can stand over towards the benches (away from Jamba Juice side) and use the Ops iPad to check in general population members so they do not have to wait in line.
Signs are up on Court #2 alerting members that Court #2 will be closed periodically this week due to a Special Event. Members can view the court calendar online to see when it is open and closed.
There are (1:15 min) shifts for Pioneer Wellness Challenge posted to Humanity under Special Events if anyone can pick one up here or there.
There is also a physical schedule which Janice gave us so we are aware of when there will be a session. It is tapped above the gloves at the front desk!
Extra Supplies Update
Per the pics that Adrien shared on Friday, extra/additional padlocks are in the lower EQR red cabinet second from the fridge. The key to open that cabinet is in the safe marked EQR/Outdoor Adventures Cabinets. Make sure you are putting out black plated ones for sale and not the blue plated ones that we rent. Both are in the cabinet as excess inventory.
Extra Lysol spray is in the laundry room cabinets as well as hand sanitizer replacement bags, and hand sanitizer liquid. Some of the wall mount hand sanitizers get liquid and some get bags. For the liquid refills you’ll want to use the white “u” key that has been added to the Ops key ring.
Extra Gym Wipes are in the closet in the men’s locker room
General Updates / Reminders
We’d like to officially welcome our newest team member, Alex! Alex has now moved into the role of Operations Leads and will be starting this week. Please welcome him to our team!
We've noticed a couple times now that the crank handle has been left out with the volleyball net, please put this back in the equipment closet with the other vball gear when not in use so that it does not get lost/go missing.
(New as of 10/5/21) - Justin and team has had to revisit how to manage Fitness Center Equipment Orientations such that for the time being we will not be scheduling those via Fusion. Justin is scheduling them on a case by case basis and tending to a backlog list from earlier this semester. He is scheduling them to take place during times when a trained BSS team member is on shift. If someone comes to the front desk and says they have a FCO, please ask them if they know who it is scheduled with and if they do not, ask them to wait in one of the chairs and radio for the FCA on duty and locate the BSS member who is trained on how to provide FCOs and able to lead it.
Concerning larger volumes of people on courts/studios etc. etc. at times we have arrived at a “Court Capacity/Limit'' of 12 ppl on each court at any given time. I just added this to our website in two places as well. We will also put up signage that speaks to this.

Pat and Kristiana had a moment last night when two groups were trying to use Court #2 around the same time with one group claiming they had a "reservation" etc. etc. They handled it super well and referred to the policy/process we arrived at earlier this semester. For the fall 2021 semester, Court #2 will be available for Open Recreation. RAW members will be able to request that table tennis, volleyball, or badminton be set up on a first come, first served basis.

With the recent power outage Monday morning, we became aware that some flashlights were dead and or misplaced. Linda headed over to Depot this morning and restocked us with new flashlights, batteries, glow sticks, etc. There are now three big flashlights at the front desk. One on each Fitness Center floor in the same location as the first aid kit, and extra flashlights and batteries at the front desk right where our first aid fanny packs are! :)

Erik will be hosting TRX Small Group Workshops. These workshops are for eligible members who are interested in learning the basics of suspension training and how to use the TRX at the RAW. There will be two workshops held this Fall semester, the first next week on Tuesday, Sept 28th and Tuesday, Oct 26th from 4 - 4:45 PM. Members will be able to make their reservation on the RAW Portal.
It is with mixed feelings I would like to share with you all that Arsh has submitted her two weeks notice, and her last shift will be this coming Saturday, Sept 25th. Arsh has made a solid impact on the team and the RAW in the relatively short period of time she has been with us. We will miss her! She is moving on to other things/has taken an internship in the financial/business sector that more closely aligns with her career goals and interests. Pls join me in wishing her luck!

RE: Latex Free Bandages
Jen and I did a deep dive on this because we thought we had ordered the bandages we have with latex free in mind. We looked on the box and it says “made with no latex from natural rubber” - Apparently in 2014 the FDA ruled that manufacturers could not say their bandages were latex free as there is currently no way to confirm and/or definitively say that bandages are latex free, due to cross contamination etc. etc. Adriana confirmed that the bandates that are in our fanny packs all come from our McKesson boxes that state “made with no latex from natural rubber.” That said, the workaround that Pat and others arrived at this past week is a proper solution if someone is still concerned about the bandages we have. Please use gauze and tape. See note below….
We also ordered some athletic tape. When that arrives we will put a roll of tape in each Ops Lead fanny pack. Please use this for injuries only and not to wrap ankles, wrists, use an alternative to lifting gloves and/or boxing hand wraps etc. etc.

Opening and Closing Checklists have been adjusted and updated to account for changes in Wellness Center operations this year.
Hygiene products have been replenished in the areas in which they are currently located (EQR and Women’s Locker Room). We have ordered additional baskets that we will affix to the walls in 3 additional sites - Emily has added a checklist item to the opening staff checklist to confirm that that are all restocked daily/as needed. Additional stock products are in the women’s locker room closet.

As a follow up to our meeting, concerning shoes/sandals in the WL/Relaxation Room, we can start to enforce the 'shoes on/proper footwear' guidelines at the location where a potential injury could happen. Some people come into the RAW not wearing shoes. This happens a lot when people are playing bball. They come in in crocs or sandals and change into their bball shoes when they get to the courts. And as was mentioned in the meeting some people might wear crocs or something else if they are just going to the RR or even sandals if they are going to a yoga class, where bare feet are permitted. You're welcome to ask the person as they come in, and depending on the location and activity they plan to engage in, they can proceed and change footwear accordingly or return with proper footwear.
General Updates
If you are using the microphone at the front desk, especially to help with building closing, please be sure that the mic is back on MUTE ALL when you are done using it. We have received a few EOS reports from BSS who are saying they can hear us in the FC....I know I was at the FD once when a BSS member came and told us he could hear us....so please double check that during your shifts we are on MUTE :)
Self Plan prompts were sent out to everyone last week. Please complete yours by Friday. I will be reviewing and setting up one on ones in the near future to discuss and set goals accordingly.
Jen has followed up with member Rajveer Singh (netID gu3582) and has suspended his account/access for a week. He has been notified and in Fusion his account now reflects a suspension. Linda had a long discussion with him in person on 9/13 and he followed up with Jen on 9/14 and confirmed the suspension will remain in place. In the meantime, if he comes in please uphold the suspension and as you would in any instance that necessitates, call UPD if you need help escorting someone from the building.

Jackie joined the team officially this week. YAY! Welcome Jackie! She also got her key in like light speed :) Sorry to those of you who had to wait for a long time. I think everyone is all keyed up at this point.
BSS will be having their meetings bi-weekly at 3p on the Fridays we will not be meeting. That said, Friday staff, we will need to help cover the FC floors from 3-4p on those Fridays.
Fusion Log In and Out: We need to get into the habit of signing out of Fusion when we clock out so the next Ops on duty can log in. Pls be sure to pay attention to this.
Andres, Adriana, Pat, Fabiola and Kristiana stocked new first aid kits/fanny bags. There are two at front desk now for Ops to wear/use and two new ones on both floors of the FCs.
The Add/Drop Period ended on Wed, Sept 1st. That said you may see some student accounts who used to have access/a green bar with fees paid eligibility come up red now. You can click on the pencil and look at their general info and see that their membership ended on Sept 1st. That is an indication that they are no longer enrolled after add/drop. If they are insistent something is awry with their account you can issue them a student gratuity pass. But please please make a note in their account, and be sure to fill out the member error log form on this website under our tab so Jen can look into their account accordingly.
As a reminder people in the studios can workout without their shoes on if they are practicing yoga or engaged in a similar activity. If they are riding spin bikes or using equipment, they should have their shoes on.
I updated the hotkeys for sales so there are no more Gratuity/Try Before You Buy passes for community or alumni members to keep things simple and minimize any confusion. The only buttons for sales now are padlocks, member error pass, student gratuity (TBYB) pass, and fac/staff gratuity (TBYB) pass
Ops Training
Pls go through the Training Log and update it accordingly. Make it a priority to get any trainings you have not completed as of yet completed by the end of the week. If you cannot do a training (i.e. you do not have access to CSU Learn, pls highlight that cell).
Concerning the Knowledge Check cells, pls highlight any that you need training on or have questions about so we can run through that info :)
Electric Cart Training: I think everyone is working on photocopying their ID, filling out their forms, and completing the CSU Learn training that should have been assigned as well. I added two checkboxes to your training log for these items.
Infection Prevention Training: Some of you still need this training. I have scheduled a handful of you to attend on Friday Sept 10 at 2p prior to our Ops Team meeting at 3p.
Red Alert Drills: As mentioned in our staff meeting on Friday Aug 27th, we will start to go through some Red Alert drills/exercises so we are all trained up and prepared for various first aid situations. We will start off with the Fainting training module which is live on your training log. Please review the doc, watch the videos etc. and take your quiz during your first shift this week as I will most likely be running everyone through their hands on skill checks during one of your subsequent shifts this week or next.
Court #2 Updates and Happenings:
I have removed a Table Tennis Table from the closet on the gym floor so you all should be able to come and go and move equipment around a bit more easily
Fernando (Marketing AC) has updated the Drop In Rec Flyer. It prompts people to request sports to be set up at EQR. Adrien posted them up and took down the old ones.
Madi updated the calendar for the gym courts so that it no longer rotates, it just says "Open Rec :Badminton, Table Tennis, Volleyball by Request."
Per our discussions, people can request the sport, it is set up, and they have one hour to play. If another group asks for a new sport after the hour concludes, the group playing has 10 minutes to wrap up their activity.
Group Ex Updates
Pls be sure to swipe people into the building itself and then also check members into Group Ex Classes. Pls also be sure to issue them a ticket to attend the class.
On Tuesdays for Zumba, Erick will work with staff to have the room set up for Zumba after his class concludes at 6p. For Thursday, since Erick does not teach classes prior to Zumba, we will need to work with BSS to help Suleima with that. Please have that on your radars.
Unfortunately Fusion does not have a Waitlist opportunity for Group Fitness classes, such that people cannot add themselves to a waitlist when the class is full. They can still register to attend via Zoom by registering through the links on our Group Fitness webpage (not the RAW Portal). I did enable the standby registration option for Group Ex classes though such that when class start time hits, if people have not shown up and checked in yet, you can add people to the appointment timeslot/class up to the 10 person capacity.
This week we'll start to issue notices (via email) to people who have registered for a class and not shown up so as to prompt them to cancel their appointment or risk losing privileges cause they are taking a spot away from someone else.
Wellness Center Updates
Appointments for the Relaxation Room, Lactation Room, and Wii in the Wellness Lounge have all gone live on Fusion. While the 60min appointments for the lactation room will be available at all times the building is open, the RR and Wii will only be open and available when PAW staff members are on site to manage the processes.
For the RR members can hold up to 1 appt per day. PAW staff will be checking people in for their appointments in the PAW room. You can walk the person back and pass them off to the PAW team member.
For RR appointments, since they are for a single person, we are allowing the person to shut the door. So while the RR is on the walkthrough form on the ipad, there's no need for you to enter the room if the door is closed.
Regarding the lactation room however, we will check members in for their appointment and walk them back and key them in, flip the sign, and prompt them accordingly to let us know when they are done.
Dress Code/Safety/Fitness Center
We made some changes to our dress code/safety policies such that while everyone still needs to have a covering of some sort on, we will no longer require individuals to have their midsections covered (i.e. sports bras, crop tops etc. are fine now). We will ask all members however, to be sure to use a sweat towel as a barrier between themselves and any shared equipment (benches, strength equipment, stretching mats etc. etc.).
Masks and shoes and shirts oh my: We would like to empower you all to ask people to leave at this point if you have delivered multiple warnings regarding masks. Many other gyms/rec centers are doing this and we are happy to support you all in doing so. What we would like to encourage you to do is: Remind, Inform, Ask.
So first is offering a gentle reminder. Maybe even tugging on your own mask while walking towards someone as a cue, or just simply saying, please put your mask back on sir.
Second is building upon that to say "Pls wear your mask properly while in the RAW. This is the guideline we are currently following to keep you and others around you safe during this time. If I need to ask you to put your mask back on/wear it properly again, it will be followed by a prompt to leave the building."
And finally, asking a person to leave the building, conveying to them that you've issued multiple reminders and explained the guidelines and that they will receive an email from management on processes to follow in order to be allowed back into the RAW.
If you have already, on multiple occasions across multiple days, reminded and informed you can skip the remind part and go straight to informing that you will be asking them to leave upon any subsequent improper masking. Notices have been sent to: Pardeev Reedy Maramreddy (ej2920), Ganaareddy Nachu (kt6301) Manikanta Kodali (nv6200) as they are three individuals that have come up multiple times as folks who have needed constant reminders etc.
Spotting/Workout Groups: Pls remain committed to and focused on informing members of our masking guidelines as that preventative measure does seem to be the most effective against Covid 19. Please do not feel as if you need to focus as much energy enforcing social distancing as it relates to spotters and people working out together etc. etc. People still should not be stacked on top of one another in the Wellness Lounge and/or eating in there or being unmasked in there, but people can spot one another and they can workout together and share equipment at this point.
Door Screening Positive Response Protocol: On Friday we had a member come in who answered yes to one of our door screening questions such that we denied them access to the RAW. This is the first time that has happened and we subsequently realized that we had not set up a process or protocol for any such occurrence. If this happens again, please relay to the member something of the following "We appreciate your honesty and you letting us know about the potential exposure incident and/or your symptoms and we will relay that information to our Director. Her name is Jennifer Luna, and she will be reaching out to you regarding next steps and information regarding future access to the RAW. For today however, we need to ask you to refrain from entering the building, but she will reach out within the next 24 hours, if not sooner, with steps on how to proceed given your responses to our screening questions."
Pls refrain from asking them about their vaccine status or test result status and/or posting any details of your interaction with them in their Fusion account since it is all considered health protected information. After emailing Jen and I the details of the interaction you can place a generic note in their account stating "Member Access on HOLD. Jen is looking into account and reaching out to member accordingly - LC 9/3/21)"

Prompting group has an hour to play. If they want to keep playing after that that is fine, until another group comes in and then they will have 10 minutes notice to wrap up their activity.
Set up 1, 2, or 3 courts or tables. You can have a mix of 2 tables and one badminton court out safety. When vball is out, that should be the sole thing.

Preview Week will take place from 8/18-8/28. Fac/Staff and non fees paying students are eligible for free access at this time. Those memberships can all be sold at the front desk provided the person has activated their account/signed their waiver.
The Relaxation Room will reopen on Aug 30th with 1 person per hour at the half hour starting at 9:30am. It'll be 45 min appointments with 15 min in between each appt to clean - members can book appointments through Fusion just like RAW Access timeslots.
Group Exercise classes and Ask the Trainer (both offered by Erick) will resume THIS week, Aug 23rd as well. Members can book appointments through Fusion just like RAW Access timeslots .
Operations/Team Specific
You all should be on the Ops Lead Group Me by now. This is our informal way of communicating, mainly about shift coverage. Please engage with it accordingly and respond as able when your team members request a shift change or support due to a lateness/call out/etc. etc. You have all also been added to the RAW All Staff Group Me that is used for all staff messages.
I have placed an Updated Contact List in the Operations Binder at the Front Desk. There are also copies of Cut Lock Reports, Injury Reports etc. etc. and then some in that binder.
Review your Ops Lead Training Checklist - Use down time during your shifts to complete and work through items you have not yet completed. Later this week I will be adding some "continuing education" items to this so we can all keep learning.

Closing shifts have 3 ppl on, starting at 6p to help with that process.
We need help with opening on Wed AMs from around 9a-11a - can anyone help out with that? I am happy to make the shift longer if it makes it more appealing :)

Laundry and towel runs - everyone is slowly getting trained up on laundry. We are also not going through that many towels so the need to do laundry as of right now is pretty low. That said, we should be doing at least 1 towel run per shift, and deff one just prior to closing. Please make sure this is happening.
We had a professor emeritus stop by the other day and he was told he could not purchase a membership, which was accurate given what we had told you all. We later found out that professor/retire eligible accounts retain full and similar rights upon retiring as if they were still faculty. If this happens again, please give them Jen's card and tell them to email her and she will be in touch with them as to how to purchase a membership and the like. On the other hand, Non-matriculated students are not current students so they do not currently have access rights.
It is fine to open the Wellness Lounge when we open the remainder of the building. Please leave all other rooms in the Wellness Center locked at this time unless prompted by/asked by a PAW team member to open something for them.
Ask the Trainer and Equipment Orientations start this week. Members can register for both of these online through their Portal just as they do access timeslots. You can check them in at the front desk as well, and make sure to hand them off to Erick/point Erick out to them for Ask the Trainer. He may be in the office in the Fitness Center. Pass members off to a Fitness Center Attendant for Equipment Orientations. Both Erick and FCs are aware of their appointments.
General / Miscellaneous
The Shuttle Bus Drivers typically come in to use the restroom by Jamba Juice. That is okay :)

Fusion
Log on and appointment issues should be resolved. We reduced the number of available appointment time slots that were showing on the screen from 15 days in advance to 5. We have been told that this should help/work. ITS is also looking into the "slow" internet in Housing to see if that might be the case for residential students....
iPad holders are a pain to open. We are looking into alternatives. We have 4 ipads we can use/in rotation so if you leave the ones in at night. We can pull them out in the AM and replace them accordingly. You can also use the iPad in their cases and set them up as 'wavier listening stations' and small hand it off to the person and then wipe it down when they hand it back.

The schedule for next week, week of Aug 23rd is posted on Humanity. For those of you who still do not have access to Humanity, you can view it here on the Fall Availability Spreadsheet. I have modified this sheet and access rights such that if you need to make adjustments to your schedule from here on out, please make sure to inform me and I will make them for you.
For this week we do have one shift that I wasn't able to fill, on Thursday (8/19) from 11a-3p. Pls let me know if you have flexibility in your schedule for this week to pick that up or help during any duration of that shift.
I will attempt to have the schedule for the week of Aug 30th ready by Friday. I am hopeful that we'll have a concrete/static schedule for the remainder of the semester by Sept 7th.
If people have questions about Jamba Juice you can just tell them that we are not aware of any plans to reopen soon and point them in the direction of other food outlets on campus.

ResLife staff will be doing a Scavenger Hunt on Wed, 8/4. They may come to the front doors to ask questions on their list or to take pics of something etc. etc.
Mask mandates are back in effect for Alameda County as of midnight 8/3. Good thing we never stopped enforcing them :)

Operations
The door on hydraulics for Studio B is heavy due to a recent repair of the hydraulic hinge. Locksmiths are looking into opportunities to ease it.
The RAW will be closed next week (Aug 9th) for cleaning in prep for Fall Semester. Staff should still plan to work according to the schedule that has been posted. We will be assisting with getting the building better set up for access/reopening and also doing some additional Ops specific training.

Operations
Well done on continuing to communicate and enforce the mask guidelines. Due to the nature of the activities taking place in the building (heavy exertion) and the volume of use the RAW, like Starbucks and other venues/buildings on campus, falls outside of the general statement allowing vaccinated individuals to remove their masks. At this time masks are still required to use the RAW.
Pls continue to back up and support the door screener in this effort. Continue to make notes in member accounts as needed.
Dress Code: In addition to communicating guidelines regarding mask use, please also continue to communicate information regarding our dress code. Closed toe shoes and shifts covering the midriff are required as part of our commitment to member safety and reducing the potential spread of bacteria etc. etc. Our policies are for member safety.
Additional Ops (David, Lay, Madison) will be starting next week either virtually or in person and will join us fully on the floor, along with Adriana, starting on Tuesday, Aug 10th. Your AC for Ops Daniella will be starting up on Thursday, Aug 11th.
Classes start on Wed Aug 18th but we will be open for Early Access for students living on campus that Mon/Tues the 16th and 17th from 12p-4p.
Person of the Week: Lastly, a fond a heartfelt thank you and best wishes to April Reyes who will be working her last shift here at the RAW on Tuesday the 27th. April has been an integral member of the RAW staff for 3+ years and providing an amazing amount of support during our virtual work last year, and when we returned to in person services. Well done April! Best of luck as you start your new job! You will be missed.

Welcome New Ops Staff! We are happy to have you on board - please let us know if you have any questions or need support as you start your new role.
You all should have received an email from Terry Highstreet or Matt in Facilities/Locksmith office. When you are here on site for your first shift, please walk over to FM to retrieve your keys. April/Emily/Kristiana can point you in the right direction and you'll need to bring an ID with you.
Ill be working with Fabiola, Val, and Adriana over the course of the next day or two to set a schedule for you all for the remainder of the Month of July.
As a reminder, please do not clock in more than 5 min. before your scheduled time nor clock out more than 5 min. after your scheduled time.
End of Shift Reports - complete your report at the end of your shift. You may do this at your work station prior to coming upstairs to clock out. There are also computers in the office you can use as well.
