Purpose

Ensuring that sensitive information recorded in the logbook, such as student disciplinary actions or health-related incidents, is handled in accordance with privacy laws and school policies. Access to the logbook should be restricted to authorized personnel only.

Dispatch Book
Definition
This is a record of each piece official correspondence that is dispatched by the school.
Purpose
To show and keep records of all items dispatched /give out by the school.

Teachers code of conduct
Definition
Teacher’s Code of Conduct is a statement of principles, rules and values that establishes a set of expectations and standards for how individuals in a school will behave in an ethical way, including minimal levels of compliance and disciplinary actions.
A teacher’s Conduct of Code (COC) should always be contextualized to local situation.
Purpose
Serve as an indicator for teachers to be aware of and obliged to follow school rules ensuring student and teacher participation and safety.
Regulations
The teacher speaks to and acts towards pupils in a respectful and dignified manner. The teacher does not discriminate against students on the basis of class, colour, and creed, and status, religious or political belief.

Definition-
This is a national timetable or also known as whole school or master timetable that reflects the activities/ subjects to be taught at a specific time. This should be displayed promptly to gather the attention of staff members.
Purpose-
Serve as a guide for easy and smooth flow of all events daily that must carry out by the school at a particular time.
Regulation-
The school has no authority to make any changes to the master timetable unless approval has been granted by the CEO.
Teaching must be done exact with the national timetable.
Minutes Book

A Minutes Book, also known as a minute book or minutes of meetings book, is a formal record that documents the proceedings, discussions, decisions, and resolutions of meetings held by an organization or group. Purpose

Organizational chart
Definition
An organizational chart is a document that depicts the span of control and hierarchy, as well as the internal structure, staff position, and ranking in relation to other members of the school's staff. It accounts for entitlements and reflects the year groups/divisions/departments.
Purpose
The organizational chart's goal is to depict the internal structure of the school by outlining the functions of each member, beginning with the headmistress/headmaster.
Regulation
An organizational chart must be posted in the school building.

This paper should be packed with cardboard and covered with plastic to prevent it from becoming wet.
Circular file
Definition
A circular is essentially a letter with critical information that is mailed to a large number of recipients.
Purpose
A circular letter is intended to notify a large number of individuals of a significant change or event that will occur soon.
Regulations
A circular letter must be read and signed by each employee.
Misdemeanor Book
Definition
The Misdemeanor Book is used for recording student’s behavior and performance in school. If he/she misbehaves in school that information is record in the misdemeanor book.
Purpose
To keep record to show what took place during the incident.
Maintenance
The misdemeanor book must be maintained to show proof of any fighting or incident happened in the school.
Curriculum Guide
Definition this form of document is a termly document and must always be used when planning and teaching a lesson, the guide form as sample to differentiate and break down the way teaching must be done.
Purpose- the guides are used to plan a lesson to deliver to the students. The guides have broad topics which must be broken down by teachers to facilitate learning.
Maintenance- the guides must always be neatly presented throughout the school, when visitors approach the schools the guides must be presented. The guides are very important class records and cannot be misplaced, if misplaced they must be returned or replace.
