Attend a Host Site training with Strive Scan - group and 1:1 sessions will be offered.
Promotional materials will be sent to you prior to the start of the fair circuit from the fair committee.
Promote your event in school announcements/bulletin boars, news releases, parent/guardian communications, student portals, and social media.
Connect with homeroom/seminar/advisory teachers to let them know about the fair and encourage students to sign up in advance to generate a Strive Scan barcode before the fair.
Colleges/universities will have access to an app as part of their registration so that students can more easily connect with reps following the fair.
Identify support staff for the college fair and prepare them to be engaging during the fair, encouraging studnets to visit a variety of schools.

If reps need to register their vehicles with school security, consider supporting this ahead of time to ease check in.
Visitors passes
If reps need to check in and acquire a visitors badge, consider working with your administration and security staff to collect required information ahead of time to print badges before reps arrive.

In the event of a cancellation or school closure, please connect with attending reps as soon as possible and include the fair committee for additional support.
Prepare students to come with their barcode.
Barcodes will be emailed and texted to students for easy access.
For schools with cell phone bans, please consider an exception for the day/night fair or help students with printing barcodes in advance.
Allow adequate time to set up your site on the day of the program including tables for the colleges
College reps will begin arriving about 30 minutes prior to the fair to set up their table.
If you have student guides, arrange a time ahead of the fair start to provide instruction and guidance about how they will be supporting
Examples: helping reps with their materials/bags, directing reps from check in to the fair location, providing refreshments
Provide clear signage directing reps to allocated parking areas, appropriate entrances, and to the fair location.
It's helpful to place one of the posters that will be shared at the entrance of the fair location for students to register for a Strive Scan barcode if they haven't already.
If you feel i is necessary, please arrange to have security personnel or school resource officers on site.
If you are assigning reps to tables, place table tents or signs with the name of the assigned institution on the table where it is clearly visible.
If you would like reps to bring a pennant for your future center or college office, please let them know ahead of time.
If able, provide reps with water bottles or clear navigation to water bottle fill stations.
Providing refreshments such as snacks and water bottles is not required but is certainly appreciated :)
Fairs must start and end at the assigned time. Reps are most likely traveling between multiple events in a day and also would like to respect your academic schedule. Please help us with timing announcements and ensuring students arrive on time and leave as scheduled.
Host site staff should plan to circulate during the fair to assist in monitoring for behavior concerns and providing support to reps and/or students as needed.
1 table and char per representative - no more than 2 reps per table
No military recruiters (military academies ok)
No swag other than pens and informational materials
Do not show favoritism to particulr schools (ex: pushing students to only a handful of schools instead of encouraging variety and circulation)
Try to mix up 2-year and 4-year institutions
Reps should not be in front of their tables at any time but should remain behind their assigned table.
The choice to cancel due to weather or safety concerns is up to the host site. If you decide to cancel your fair, please email faircommittee@coloradocouncil.org right away and send an email to all registered colleges to inform them of the schedule change.
Cancellation for reasons unrelated to weather and safety concerns should be determined no less than one week prior to the scheduled fair date.
Last minute cancellation may result in an ineligibility to host future fairs.
