Participant Code of Conduct

NNA-CO Team Commitment

The NNA-CO Team is committed to providing safe, respectful, and welcoming in-person and virtual meeting spaces to support collaborative discussion and professional engagement. To help promote these conditions, all meeting participants are expected to adhere to the meeting Code of Conduct. The purpose of this Code of Conduct is to communicate that harassment, intimidation, or discrimination in any form will not be tolerated, and every meeting participant is expected to conduct themselves in a professional, respectful, and responsible manner at all times. This Code of Conduct applies to all affiliated people and events relating to the 2022 NNA Annual Community Meeting.


Expected behavior for all meeting attendees:

  • Be considerate, respectful, and collaborative

  • Commit to respect for self, respect for others, and respect for the meeting space, both virtual and in-person

  • Treat all participants with respect and consideration, valuing a diversity of views and opinions

  • Communicate openly with respect for others, critiquing ideas rather than individuals and gracefully accepting criticism

  • Acknowledge the contributions of others

  • Avoid personal attacks directed toward other participants

  • Be mindful of your surroundings and of your fellow participants

  • Alert members of the NNA-CO Team if you notice a harmful situation or someone in distress


Unacceptable behavior includes, but is not limited to:

  • Conduct which could reasonably be considered inappropriate in a professional setting

  • Harassment, intimidation, or discrimination in any form

  • Physical or verbal abuse by anyone to anyone, including repeated use of pronouns other than those requested

  • Unwelcome sexual attention or advances

  • Personal attacks directed at other guests, members, participants, etc.

  • Publishing others’ private information, such as a physical or electronic address, without explicit permission

  • Alarming, intimidating, threatening, or hostile comments or conduct

  • Threatening or stalking anyone

  • Inappropriate use of sexual language, nudity, or sexual imagery including within sessions, breakout groups, social or networking gatherings, Twitter, and other online media

  • Participants should not copy or take screenshots of Q&A or any chat room activity that takes place in the virtual space.

  • Do not take or distribute pictures of or copy research posters/presentation materials unless explicit permission is granted.


Consequences

  • Anyone requested to stop unacceptable behavior is expected to comply immediately. The NNA-CO Team (or their designee) may take action deemed necessary and appropriate, including immediate removal from the meeting.

  • The NNA-CO Team reserves the right to prohibit attendance at future events, conferences, workshops, or field projects.

  • In cases where there has been a potentially serious policy or code of conduct violation, the NNA-CO will notify the offender’s home institution, pursuant to policies and procedures.


Reporting unacceptable behavior

If you or someone you know is subject to unacceptable and/or unwelcome behavior, or have any other concerns, please contact the points of contact for this meeting as identified below.

The team will monitor the in-person and virtual meeting spaces in order to create a safe and respectful discussion space and respond to concerns in an appropriate manner.


Meeting organizers will consult privately with the individual filing the complaint prior to taking any action. To address complaints of inappropriate conduct, meeting organizers will take actions deemed necessary and appropriate, including verbal warnings, immediate removal from the meeting, and the notification of appropriate authorities (e.g., employers or police). Anyone requested to stop unacceptable behavior is expected to comply immediately. Retaliation toward complainants of inappropriate conduct will not be tolerated.

We developed this code of conduct based on reviewing and partially adapting codes of conduct from other organizations, including the Arctic Research Consortium of the U.S. (ARCUS), Interagency Arctic Research Policy Committee (IARPC), National Center for Atmospheric Research (NCAR), and others.
