PTA Meeting Minutes 11/24/2025 (Subject to approval at the next meeting)

Quorum was achieved.
Call to order: Courtney Ody called the meeting to order at 6:30 PM.
President’s Report: Courtney welcomed everyone to the meeting and thanked those in attendance for making time to attend. Each officer took a moment to introduce themselves. Courtney talked about the goals for the PTA and highlighted some of our early successes, as well as things that have been a struggle, most of which can be attributed to the PTA being brand new last school year. Overall the outlook is very positive. Courtney also spoke about the need for volunteers to sit on and chair various committees.
Secretary’s Report: David Hood reported there were about 60 members in the PTA. He noted that signing up has been a little bit challenging, and there are probably people who think they have joined the PTA but have not actually paid and fully registered yet. This process should get much easier once our Givebacks account is fully online. He mentioned that Givebacks is the portal we are able to use through the NCPTA and will ultimately make communication, registration, and commerce much easier for the PTA and those who work with the PTA. Givebacks integrates with Stripe, and David believes that will be fully connected before the end of the week, allowing people to pay and register for the PTA online. David also reported that he had exchanged emails with Kaitlyn Gibson who is a 3rd Grade Teacher and the Social Committee Chair for staff. The social committee has been managing the Spirit Night fundraisers at local restaurants as well as the class parent program. These are things that could be turned over to the PTA in the future.
Treasurer’s Report: Karlee Miller reported that the PTA has a current balance in its bank account of 1937.50. In October, we received $40 in PTA dues and were reimbursed 2 months of administrative fees on our account, giving us an additional $24. In order to avoid administrative fees, we have to maintain a balance of $1500. The subject of a fundraising committee was raised. The planned fundraising through the Winter Wonderland event through pictures was brought up. Karlee also presented the planned budget for 2025-26 (see appendix A).
Vice President’s Report: Erin McGaughnea talked at length about the planned Wolfpack Winter Wonderland event planned for the evening of 12/10 (overlapping with the bookfair). A call for volunteers to cover the various stations (hot chocolate, stocking decorations, pictures with Santa or as a family). Seth Wright noted that he knows two “professional Santas” and said he would ask, but noted that the rates for a Santa are surprisingly high. There was also a request for one more person to volunteer to take pictures and if anyone has a connection to a food truck who might be available that night. Aside from the Wolfpack Winter Wonderland, it was also discussed to send out a “favorite things” questionnaire to teachers ahead of the holidays.
For simplicity, all items requiring a vote were held until new business. President Ody relinquished the chair to Secretary Hood to lead the parliamentary duties.
The minutes for the October meeting were published online and sent out before the meeting. Hood called for any additions or edits. Hearing none, he requested a motion. It was moved to approve the minutes by Erin McGaughnea and seconded by Courtney Ody. A vote was held by voice. The minutes were approved unanimously.
Principal Kira Michaw moved to pass the budget for 2025-26 as presented. Callalily Schnider-Hood gave a second. Secretary Hood asked if there was any additional discussion. Hearing none, a vote was held by voice. The budget passed unanimously.
President Courtney Ody resumed the chair and opened the floor for any comments, questions, or announcements. Sandra Strickland asked about the “Christmas Tree Money”. This is money owed to the PTA for having volunteers work at the Snowflake Village tree farm at the corner of Choate and S Tryon last year. Erin and Karlee said they would try to follow up again. Kira Michaw thanked the board and offered praise for the work they have done thus far.
The meeting was adjourned at 7:06 PM.
