Timesheets and Payroll :
All staff working in extended learning programs are required to keep a daily timesheet. Staff are not allowed to work more than the hours determined by the site coordinator. Timesheets submitted by all staff must be signed by the employee and must be verified and signed by the site coordinator. All site coordinators must have their timesheet signed and verified by the appointed administrator for extended learning program. Timesheets must be filled out in their entirety, including students served per day and employee MUNIS ID number. Incomplete timesheets will not be processed and will be returned to the site coordinator for correction.
Classified staff are paid $16 per hour for working in extended learning programs. Certified staff are paid $30 per hour for working in the programs.
For extended learning stipend activities:
1. Utilize timesheet for individuals, then collect the timesheets, making sure the forms are completely filled out. Keep a record for your files.
2. Please give employees a copy of this template; this will help with ensuring all employees are aware of when timesheets need to be turned in and the subsequent pay dates.
3. If a Classified employee has at least 48 college credits or an Associate's degree or higher, please submit transcript or copy of degree to extendedlearning@cmcss.net as soon as possible so they can receive the correct rate of pay at the start of your programs.
4. If you choose to hire a college tutor, please ensure out to Dr. Kimi and myself to ensure they are hired and in the system before they start work.
5. Insure name (as in your CMCSS name/no nicknames), MUNIS ID, signatures on timesheets are appropriate and legible.
6. Submit timesheets AND Cover Sheet scanned by email to Sheanette "Nicole" Spencer and Dr. Kimmie Sucharski at extendedlearning@cmcss.net by the due dates identified. Also, please send the Excel cover sheet file in case we need to make corrections to timesheets.
7. Please do not place in courier, as they may not arrive in time. We acknowledge timesheets when we have received them.
8. ALL CLASSIFIED STAFF MUST USE THE KRONOS CLOCKS TO CLOCK IN AND OUT FOR EXTENDED LEARNING PROGRAMS.
Payroll additional Guidance
Use only the forms provided for the programs since they are standardized [please do not manipulate the timesheets in any way].
There are individual timesheets for all positions [except Classified, as they use the Kronos clocks].
Use a separate payroll cover sheet for each pay group at your site. [admin, substitute, tutor, certified, variable]. This means there will be a collection of timesheets with a payroll cover sheet on top.
On timesheets, make sure everything is legible, and the employee name is the name as it appears in payroll, MUNIS ID is included, and it has a handwritten signature from employee AND Site Coordinator.
Make sure dates of hours worked are included, no ditto marks and arrows.
Display the time worked in hour format to the closest 15-minute mark. [i.e. 2:30pm - 4:30pm].
If the individual works 4 hours and 15 minutes you record 4.25. [remember 15 minutes = .25, 30 minutes = .50, and 45 minutes = .75]
Make sure columns are totaled for hours worked, pay per hour, and amount to be paid and these numbers match what is entered in the payroll cover sheet for each pay group.
Please submit only once, you will receive a notification that the payroll has been received.

Below is a timeline of when timesheets are due and processed for the school year:
Classified Staff:
Due every 2 weeks in accordance with normal classified pay schedule. Classified staff are required to provide their weekly Kronos report with their timesheet. Timesheet must be signed by the employee.
Certified Staff:
December Pay- Timesheets are due no later than second Tuesday of November of each program year. Timesheets must be signed by the employee and the Site Coordinator. The Site Coordinator’s timesheet must be signed by the employee and the ELP Director.
February Pay – Timesheets are due no later than the first Wednesday of January of each program year. Timesheets must be signed by the employee and the Site Coordinator. The Site Coordinator’s timesheet must be signed by the employee and the ELP Director.
May Pay- Timesheets are due no later than the first Wednesday of April of each program year. Timesheets must be signed by the employee and the Site Coordinator.
❖ Any timesheets submitted after the above deadlines will not be sent to Payroll for a miscellaneous check run; late timesheets will be paid on the next available pay date.
