My normal working days are Monday to Wednesday during term time, however I will endeavour to answer emails outside of these times.
You will be sent a Hire Agreement (via Adobe Sign) which sets out the details of what you have booked, and the terms and conditions of hire, which must be signed by a given date. Please check your junk folder if you have not received it.
For all Hirers, these include reading, understanding, agreeing to and communicating, the following information:

Payment: Invoices are normally issued monthly and must be paid for within 14 days, or before the start of the hire period, whichever is earlier (as per your Hire Agreement terms and conditions), to avoid interest charges*, or suspension / cancellation of the facility.
*at the rate of 4% above the Bank of England base lending rate
Provide your current Public Liability (minimum £5 Million) and Employers Liability Insurance if you have staff / volunteers. We may also ask for Indemnity.

Send us your Risk Assessment for the activity:
Hirers must ensure their activity is fully risk assessed and provide their Health and Safety + Evacuations Procedures. Your Risk Assessment must be comprehensive and include:
Activity & Facility Risks: Specific hazards related to your activity and the use of the CHS facilities.
Safeguarding Risks: Explicit measures for the protection of children and vulnerable adults (where applicable).
Emergency Planning: Detailed fire safety and evacuation plans to respond effectively to an incident at the venue.
National Body Guidelines: Hirers must follow and communicate the National Governing Body (NGB) guidelines for their sport/activity to all participants.
For Music/Large Events: You must include detailed plans for crowd control, noise management, and external contractor vetting (e.g., DJs, catering, security).
Alcohol, Music & Licensing:
PPL/PRS: If music is performed, you must provide evidence of valid PPL/PRS licensing.
Alcohol & TENs: Cheadle Hulme School is a non-licensed venue. The sale/consumption of alcohol and the application for any Temporary Event Notice (TEN) is strictly prohibited unless prior written approval is granted by the Management Company.
Pay the requested deposit (including Damage)
Complete the Safeguarding Compliance section in your Hire Agreement and agree to the conditions on the CHSE Safeguarding Page
AND send us your policies and procedures. You may be asked to show any DBS documentation and provide details of who is on site which must be readily available upon request.

Guidance Note: Insurance Requirements *
To complete your booking, we require evidence of Public Liability Insurance with a minimum limit of £5million (as per our terms and conditions of hire).
Note on "Indemnity to Principals": Our Terms and Conditions (Clause 4.3) require your policy to include an Indemnity to Principals clause.
What is this? It is a standard feature in almost all UK sports, charity, and business insurance policies (including those from the FA / Sportsguard, Aviva, Hiscox, and AXA). It simply ensures the venue is protected if a claim arises from your activity.
How to comply: You do not usually need to ask your broker for a new document. By providing your standard Summary of Cover/Certificate and signing our Hire Agreement, you are confirming that this standard protection is in place.
Action: Please send your current Certificate of Insurance. We will only contact you for the full "Policy Wording" if your certificate is from a non-UK or specialist insurer, or the activity requires further cover.
