The Bachelor of Science in Office Administration (BSOA) was authorized to operate under BOT Resolution No. 37, series of 2001. The Program started to run in the Academic Year 2001-2002. Likewise, it was granted a Certificate of Program Compliance (COPC) through COPC No. 43 series of 2018, effective Academic Year 2018-2019. Moreover, it passed the AACCUP Level 2 Re-accreditation effective July 1, 2018-June 30, 2022.
The Bachelor of Science in Office Administration program is a four-year course that prepares the students for a career in an outcome-focused, technology rich, professional environment. Courses in the curriculum are those that will thoroughly familiarize the students with current techniques in office practice and procedures, developments in office systems and technology, good team-working and management skills, and application of the principles of good human relations and communications to prepare them to be key players in day-to-day office operations. Lessons in writing routine reports and correspondence and speaking effectively to employers, employees, and the general public are provided in selected courses. The BSOA program also trains the students to work independently, without need for on-site supervision.
The teaching and learning processes of the program are outcomes-based and uses modern means of curriculum delivery that will expose the students to the real world of administrative professionals’ tasks like simulation and cooperative education internship in office systems are used.
Bachelor of Science in Office Administration graduates are expected within two to five years to become:
1. Qualify for a career in office administration specifically in various general and specialized administrative support, supervisory, and managerial positions.
2. Acquire the competencies, skills, knowledge, and work values necessary for self-employment.
The graduates of Bachelor of Science in Office Administration of Carlos Hilado Memorial State University shall be able to have:
1.) Provide general administrative and clerical support to high-level executives guided by the Code of Ethics for Office Professionals.
2.) Coordinate office management activities.
3.) Manage office communications.
4.) Organize files, information, and office supplies effectively.
5.) Exhibit acceptable human relations skills in a diverse environment.
6.) Engage in lifelong learning to keep abreast with the development in the international employment market.
7.) Conduct business research.
The curriculum for BSOA is designed to support aspiring office professionals to develop the appropriate entry-level technical competence, professional skills, values, ethics, and attitudes to complete their studies with successful practical experience, and pass the Civil Service Commission (CSC) Professional Examination. It covers all major areas required for an Office Administration professional course. (CMO NO. 19, s. 2017)
At present, the BS in Office Administration of CHMSU offers 36 units for General Education courses, 6 units for National Service Training, 8 units for Physical Education, 12 units for Core Business and Management, 90 units for Core Accounting Education, 45 units for Major Courses and 21 units for Cognate/Elective. For a total of 131 units which is the minimum requirements as per CMO 19, s. 2017.
The curriculum map is a tool to validate if a match exists between core program outcomes (competencies) and content of a curricular program (on a per course or subject basis). All courses of the BSOA have been mapped in accordance with the program outcomes.
A course syllabus is part of delivering quality education. The faculty under BSOA Program prepare their syllabus as an academic document that communicates information about a specific course and explains the rules, responsibilities and expectations associated with it. Also, a course syllabus outlines connections between learning outcomes and content, as well as pedagogical practice to guide students in their learning.
Review and Revision of Course Syllabus (RRCS) is important in the program because it’s an opportunity for structured inquiry and reflection, providing a safe space to assess aspects of teaching as reflected in syllabi, for example, course goals, class norms and rules, expectations for and evaluations of student learning, and forms of assistance and support. Last August 28 and September 1, 2, 2021 the BSOA program conducted the course syllabus review on the following subjects for first semester 2021-2022 and one of the subject was Personal and Professional Development.
The materials an instructor provides are important vehicles for student learning. Effective instructional materials complement and enhance the work that students do both during and outside of class. The BSOA Program conducted the review of instructional materials last June 18, 2021. The subjects Event Management and Personal and Professional Development was presented by one of the core faculty who is teaching the said subjects.
As part of the BSOA Curriculum the subjects offered are Basic Research and Internet Research. A thesis defense is part of the things needed to accomplish before the students graduate. The thesis defense comes at the end of the graduate program. It is used to determine or define your education milestone while in the university.
An internship program is a course requirement providing an opportunity for students to acquire practical knowledge, skills, and desirable attitudes and values in reputable establishments/industries in our country, enhance the student’s work competencies and discipline as they relate to people in the workplace, promote students’ competitiveness through training, strengthen the program offerings in the Higher Educational Institution (HEI), provide opportunities to learn from and network with experienced professionals, handle challenges and complex task or problems, and identify future career directions and become candidates for future job opening (CHED Memorandum Order No. 104, 2017). The internship program should be dynamic and skills-centered for the students to effectively grasp practical learning in the workplace (CBMA Internship Program Manual 2022).
GENERAL REQUIREMENTS
The internship courses are taken by students enrolled in the internship course in the 1st and 2nd semester during their 4th year. The Bachelor of Science in Office Administration students are required to render 300 hours of office administration and another 300 hours for legal office internships (Excerpt from CBMA Internship Program Manual 2022).
Before the student is deployed to the sites, he or she must meet the following requirements:
Is enrolled in the College during the semester;
Is at least 18 years old;
Is at least in 3rd-year level;
Had passed the pre-internship requirements;
In good academic standing and have completed all the pre-requisite subjects;
Is physically, mentally, and emotionally fit, as contained in the physical and psychological examination certified by DOH accredited clinics and hospitals;
Articulate in the language used by the Host Training Establishment (HTE).
Has consent from parents/guardians; and
Has finished at least 90% of his/her academic requirements or has passed and taken all his/her major (professional) subjects.
PRE-DEPLOYMENT REQUIREMENTS (FACE-TO-FACE)
There should be a Memorandum of Understanding between the school and the industry partner specifically outlining the role and responsibilities of all concerned parties, training plan, learning objectives, and method of evaluation between the school and the partner institution/company/office.
The student intern should submit a letter of endorsement from the school’s authorized personnel confirming that he/she is indeed qualified to complete the internship program.
The student intern should submit to the partner institution/company/office a copy of the waiver of consent duly signed by his/her parent/guardian/spouse, pledge of good conduct, bio-data and course syllabus.
FLEXIBLE LEARNING REQUIREMENTS
On circumstances that a face-to-face internship experience is not feasible by reason of an “occurrence or imminent threat of an illness or health condition, caused by bio terrorism, epidemic or pandemic disease or novel and highly fata infectious agent or biological toxin that poses a substantial risk of a significant number of human facilities” (CMO no. 05, series of 2020, p3), the internship coordinator designs learning interventions which address the unique needs of the learners through various activities such as but not limited to lectures, webinars, actual taking of minutes of meetings, undergoing job interviews, conduct of web talks (short discussion points by resource speakers with active interaction from the students), bookkeeping assignments, online training, and others.
The Carlos Hilado Memorial State College adopts the Adaptive and Flexible Learning Experience (AFLEx). It is a type of learning that takes place off-campus or in the confines of homes with or without internet technology. The transition to AFLEx involved tweaking of the syllabus into a course blue print for flexibility, conducting training on the creation of modules, course guides, course schedule and assessment guides. Furthermore, it entailed designing of modules and instructional materials for flexible learning, adopting of revised grading system, and drafting of on-the-job training guidelines and evaluation for the in-campus activities.
There are policies on intellectual property rights (IPR), OER plagiarism, attendance, reporting and updating, teaching complement adopted by the institution such as evaluation and approval of faculty modules by Curriculum and Instructional Materials Development (CIMD) before distribution to students. Additionally, the Council of Deans has provided the guidelines of faculty and student monitoring of attendance, assessment and other related guidelines.
Moreover, the institution has adopted mechanisms for continuous quality improvement of the AFLEx such as continuous guiding done to faculty members in the creation or construction of their online class platform and reviewing of instructional materials by the the program chairs
Quality assured documents are part of quality education that why review forms are generally used in conducting an examination review, syllabus review and instructional materials review.
COMPUTER LABORATORIES
The laboratories provide computing resources and assistance to the students of CHMSC Fortune Towne. Computers are connected to a windows network and internet . There are four (4) usable computer laboratories which are internet ready. It has a networked printer on each laboratory and is ready for use by the students with the maximum class size of 35. The computer laboratory is open from 7:30 AM - 8:30 PM. The computer laboratory is monitored and maintained by a Laboratory Personnel. Each lab composed of 35 computers and 1 for the faculty. Each lab room has two exit doors that open outward. There is also a laboratory for specific requirements of the subjects.
SIMULATION ROOM
The simulation room at Fortune Towne campus is located at the RH Building. It has a floor area of 63 sqm. The business simulation room has an atmosphere of an office where it houses a conference room and is equipped with desk tops with internet connection, telephone, photo copying machines, cubicles, office tables, and chairs. It provides BSOA students access to it where they can engage with hands-on learning experience through actual office machines and equipment used in a typical business office. Additionally, the Business Simulation Room provides a venue for students' pre-deployment orientation for their internship program and the proposal and final defense of their thesis. It is under the joint supervision of the BSOA Program Chairpersons who report to the Dean of the College of Business Management & Accountancy.
MODULES AND POWERPOINT PRESENTATION
The Faculty under BSOA Program prepares a Module and PowerPoint Presentation for their subject/s. Module/PowerPoint Presentation learning is effective and beneficial for students for many reasons. It can allow students to plan ahead, as they will be fully aware of what topics will be covered in each module, as opposed to just guessing what will be taught next.
The institution has provided BSOA faculty/students members with the opportunity to coordinate and participate in any major project/activities as part of Professional Development so that they can be better equipped, enhanced, and updated in any teaching approaches.
CHMSUyanihan is a portmanteau of the words “CHMSU” and “bayanihan. It is an invitation and a challenge to all members of the Carlos Hilado Memorial State University community to respond proactively to the challenges brought about by the global pandemic especially to individuals, families, and communities who are highly disadvantaged and in distress. CHMSUyanihan demonstrates the collaborative actions and initiatives undertaken by our faculty, staff, students, alumni, partners, and friends.
CHMSU Messenger is published by the Center for External Affairs. This is intended to keep members of the CHMSU community across all campuses informed and updated of all the announcement, news, and updates. CHMSU Messenger is printed and distributed, or emailed every Friday afternoon and used as reference for all announcements during the flag ceremony every Monday.
The RIPPLES leadership camp started in April 2017, by the late SUC President, Renato M. Sorolla, PhD and Office of Student Affairs and Services in collaboration of Center for External Affairs. RIPPLES stands for Responsive, Innovative, Proactive, Passionate Leaders by Example and for Social Change. RIPPLES Training Camp is participated in by student leaders of various student organizations in a 7-day in-house training. It aims to empower the CHMSU Student leaders to respond positively to the signs and challenges of time, teach them to think of innovative ways to synergize and to collaborate with others in addressing problems and issues in school and the community, become a leader by example who serves as a living witness to positive human and sacred values, and to become actively involved and engaged in the personal transformation and the transformation of the school and society.
The 1st Seniors Aim High Week kicked off last Academic Year 2017–2018. The annual event is being organized by the Alumni Affairs Office, Career and Job Placement Office, Office of Student Affairs and Services, and the Center for External Affairs. Seniors Aim High Week is a week-long simultaneous event for all graduating students which includes Career and Job Fiesta, Alumni Orientation, Seniors-Alumni Night, a series of Career and Enhancement Talks, and other activities such as Tree Planting, Natures Appreciation, and others. Seniors Aim High Week aims to provide a platform for graduating students, alumni, and partners to interact, connect, and engage pertinently about career possibilities. Individuals who participate in career-related workshops are inspired, empowered, and educated about different choices, as well as the challenges that exist in their chosen fields. Job fairs, on the other hand, allow job seekers to meet recruiters and prospective employers awhile assisting them in forming a collaborative network.
Effective last March 8, 2021, the school implemented the school’s Ecological Waste Management System as a concrete response to one of the critical issues and challenges to address the waste management of the university. The Ecological Waste Management System is a result of a series of system-wide workshops with inputs from external experts conducted by the Greening CHMSU Taskforce since AY 2019 – 2020. As part of the core values of environmentalism, the EWMS encourages each member of the CHMSU Community to make waste management a personal commitment and responsibility. Among the activities and initiatives conducted were the creation of EWMS Team composed of 4 job order personnel under the supervision of the Greening CHMSU Taskforce, together with the JPA Personnel as front liners in implementing the system, massive information and education campaign to all office staff and faculty, and mandatory waste segregation.
To attain the goal and objective of the BSOA program. One of the best practices, BSOA Faculty initiated to execute the required students course requirement in collaboration of different subjects like Event Management, Customer Relations, On-the-job training and the like. At the end of the course, students be able to demonstrate satisfactorily the actual execution of event management which aligned to the course outcomes and program outcomes.
