Chaosium Con NZ Terms & Conditions

These Terms & Conditions apply to Chaosium Con NZ 2026 (“the Event”), organised by Chaosium Inc. (“Chaosium”, “we”, “us” or “our”).
By purchasing, holding or using a ticket, registering for an Event activity, or attending Chaosium Con NZ, you agree to these Terms & Conditions.
1. The Event
Chaosium Con NZ 2026 will take place on 21–22 November 2026 at:

Wellington, New Zealand
The Event is a celebration of Chaosium's games, creators, players and community, featuring tabletop roleplaying games, board games, live plays, talks, workshops, competitions, guests, exhibitors and other activities.
The programme, activities, speakers, guests, exhibitors, locations and timings may change. We will make reasonable efforts to communicate significant changes through the Event website or official Event channels.
The inclusion of an activity, speaker, guest or session in the programme does not guarantee that it will take place or that a particular individual will be available.
2. Tickets & Registration
Tickets and Event registration are provided through our ticketing partner, Tabletop.Events.
Your ticket is subject to the terms and conditions, registration requirements and policies displayed on the Chaosium Con NZ registration page:

Ticket availability, pricing, age requirements, refunds and ticket transfers are governed by the applicable registration information and policies provided through Tabletop.Events.
A valid ticket is required to enter the Event.
Tickets must not be duplicated, altered or fraudulently reproduced.
Chaosium reserves the right to refuse entry or remove a person from the Event where they breach these Terms & Conditions, the Event Code of Conduct, venue requirements or applicable law.
3. Changes, Cancellation & Refunds
Chaosium may make reasonable changes to the Event, including changes to the programme, speakers, guests, activities, timetable or venue arrangements.
If the Event is cancelled, postponed or materially changed, Chaosium will communicate relevant information and available options to registered attendees as soon as reasonably practicable.
Refunds and ticket transfers are subject to the policies applicable to your registration through Tabletop.Events.
Nothing in these Terms & Conditions limits or excludes any rights you may have under applicable New Zealand law, including rights under the Consumer Guarantees Act 1993 and Fair Trading Act 1986 where applicable.
Except where required by law, Chaosium is not responsible for additional costs incurred by attendees in connection with the Event, including travel, accommodation, meals or other personal expenses.
4. Code of Conduct
Chaosium Con NZ is a convention for people who love games, stories, strange worlds and the communities built around them.
We want everyone to have a great time.
Attendees are expected to follow the Chaosium Con NZ Code of Conduct, which forms part of these Terms & Conditions.
The Code of Conduct applies to attendees, guests, speakers, Game Masters, exhibitors, volunteers, staff and anyone else participating in the Event.
Chaosium may take appropriate action where behaviour breaches the Code of Conduct or creates a safety or wellbeing concern. This may include asking someone to leave an activity or the Event.
Where someone is removed from the Event because of their behaviour, they may not be entitled to a refund.
5. Venue Rules & Safety
Chaosium Con NZ takes place within Museum of New Zealand Te Papa Tongarewa.
All attendees must comply with reasonable instructions from Chaosium staff, Event volunteers, venue staff, security and emergency personnel.
This includes following:
venue rules
health and safety requirements
emergency and evacuation procedures
reasonable instructions relating to Event activities.
Chaosium may refuse entry to, or remove from the Event, anyone whose behaviour presents a reasonable safety risk to themselves or others.
6. Alcohol, Smoking & Drugs
Alcohol may only be consumed in areas where it is permitted by the venue and applicable New Zealand law.
Attendees must comply with all applicable age restrictions and venue requirements relating to alcohol.
Illegal drugs and prohibited substances are not permitted at the Event.
Smoking and vaping are only permitted where legally and expressly allowed by the venue.
Anyone who is intoxicated or under the influence of drugs to a degree that creates a safety or behavioural concern may be refused entry or removed from the Event.
7. Prohibited Items
Attendees must not bring items prohibited by New Zealand law or the Event venue.
This includes items that may reasonably present a safety risk to attendees, staff or the venue.
Props, costumes, replica weapons and similar items may be subject to additional venue or Event requirements.
Chaosium and venue security may take reasonable steps to address safety concerns in accordance with applicable law.
8. Children & Young People
Chaosium Con NZ welcomes attendees of different ages, subject to the age requirements applying to the Event and individual activities.
Age requirements are as specified on the Chaosium Con NZ registration page on Tabletop.Events.
Parents and legal guardians are responsible for the supervision and wellbeing of children and young people in their care, unless Chaosium has expressly agreed otherwise.
Individual games, talks, workshops or other activities may have their own age recommendations or restrictions.
9. Photography, Video & Recording
Photography, video and other recording may take place during Chaosium Con NZ.
By attending the Event, you acknowledge that you may appear incidentally in photographs, video or other recordings of the Event.
Chaosium may use photographs and recordings taken at the Event for reasonable editorial, promotional and marketing purposes relating to Chaosium Con NZ, Chaosium and its games. This may include use on websites, social media, promotional materials and other official channels.
Where an individual is the primary subject of an interview, promotional feature or similar recording, we may seek additional permission.
Please also be considerate when photographing or recording other attendees. Ask before taking close-up photographs of people, particularly when they are in costume or participating in a game.
10. Games & Event Activities
Participation in games, workshops, demonstrations, live plays and other Event activities is subject to the rules established for that activity.
Some activities may have limited capacity and may require separate registration.
A valid Event ticket does not necessarily guarantee a place in every individual activity.
Participants are expected to respect the Game Master, organisers and other players and to follow the rules of the relevant game or activity.
Chaosium may modify, cancel or replace an activity where reasonably necessary.
11. Personal Belongings
Attendees are responsible for their own personal belongings.
Chaosium is not responsible for lost, stolen or unattended property, except where liability cannot legally be excluded.
Lost property should be reported to Event staff.
12. Exhibitors & Third-Party Sellers
Only exhibitors, vendors, creators or other parties authorised by Chaosium may conduct commercial activities at the Event.
Attendees must not conduct unauthorised sales, advertising, solicitation or promotional activities at the Event.
Third-party exhibitors and sellers are responsible for their own products, transactions and legal obligations.
Chaosium is not responsible for disputes between attendees and third-party sellers, although Event staff may assist in directing concerns to the appropriate party.
13. Intellectual Property
Chaosium Con NZ and its associated branding, artwork, logos and promotional materials are protected by applicable intellectual property laws.
Chaosium's intellectual property and the intellectual property of its licensors, creators, publishers, exhibitors and other third parties remains the property of its respective owners.
Nothing in these Terms & Conditions gives attendees permission to reproduce, distribute or commercially exploit intellectual property belonging to Chaosium or another rights holder.
Attendees must not make or distribute unauthorised copies of copyrighted materials presented, displayed or sold at the Event.
14. Speakers, Guests & Programme Content
Views expressed by speakers, guests, Game Masters, exhibitors or other participants are their own and do not necessarily represent the views of Chaosium.
Speakers, guests and programme content may change due to circumstances outside Chaosium's reasonable control.
15. Website
The Chaosium Con NZ website provides information about the Event, including tickets, the programme, guests, activities and venue information.
We aim to keep the website accurate and up to date, but Event information may change.
Chaosium does not guarantee that the website will always be available, uninterrupted or free from errors.
You must not use the website for unlawful purposes or attempt to interfere with its operation or security.
The website may contain links to third-party websites, including our ticketing provider. Chaosium is not responsible for the content, availability, privacy practices or terms of third-party websites.
16. Privacy
Chaosium's handling of personal information is covered by our separate Privacy Statement.
Information submitted through third-party services, including ticket registration, may also be subject to the privacy policies of those services.
17. Liability
Nothing in these Terms & Conditions excludes, restricts or modifies any liability or consumer right that cannot legally be excluded under New Zealand law.
To the extent permitted by law, Chaosium is not responsible for loss or damage arising from circumstances outside our reasonable control.
Chaosium is not responsible for loss arising from the acts or omissions of third parties, including transport providers, accommodation providers, exhibitors or other independent service providers, except where required by law.
\Attendees remain responsible for their own actions and for complying with applicable laws and venue requirements.
18. Circumstances Beyond Our Control
Chaosium will not be responsible for failure or delay in performing its obligations where this results from circumstances reasonably beyond our control.
This may include natural disasters, severe weather, fire, epidemic or pandemic, government restrictions, industrial action, infrastructure failure, venue closure, public emergency or other circumstances beyond our reasonable control.
If such circumstances affect the Event, Chaosium will communicate relevant changes and available options to attendees as soon as reasonably practicable.
19. Complaints & Concerns
If you have a concern about the Event, please contact: andrew@chaosium.com
If your concern relates to harassment, safety or the Code of Conduct, please report it to Event staff as soon as possible.
We will endeavour to respond to complaints and concerns within a reasonable timeframe.
20. Governing Law
These Terms & Conditions are governed by the laws of New Zealand.
Any dispute relating to these Terms & Conditions or the Event will be subject to the applicable laws and courts of New Zealand.
21. Changes to These Terms
Chaosium may update these Terms & Conditions where reasonably necessary, including to reflect changes to the Event, venue requirements or applicable law.
The latest version will be published on the Chaosium Con NZ website.
