School Management of Additional Enrolment Forms for Preference and Dues
Two key documents need to be completed as part of the enrolment process in Catholic Integrated schools.
1. The Preference Certificate, which determines the status and type of preference (or non-preference) the applicant is applying for enrolment under.
2. The Attendance Dues Agreement, which is a binding contract with the caregivers or a bill payer to pay attendance dues.
As the enrolling body, the school must ensure that these two documents are fully completed and returned to the school before the enrolment process is finally ratified. The integrated four A3 form can be downloaded from the folder at the bottom of this page. (When you print it, set the printer paper to A3 and double side on the short length, otherwise the forms will be upside down.) This keeps everything in one place. Schools are free to integrate the process into their own system, as long as the final scanned documents are in the same format.
Recommended steps in the process:
Step 1
Whānau enquire at the school about making an enrolment. An application pack is given for each student. The pack contains the school enrolment papers as well as the Preference and Dues Agreement booklet.
Whānau are instructed how to make an appointment with their local Parish Priest to have him complete the Preference Certificate part of the form.
Step 2
Whānau meet with their Parish Priest and complete the Preference Certificate part of the booklet. If the student is being Sponsored under 5.4, the sponsor needs to have already completed their section of the document. The Parish Priest will then sign the Preference Certificate. He will advise whānau to meet with the Principal if there is financial hardship as the principal can have a discussion and support whānau with a rebate.
Step 3
Whānau complete the Dues Agreement part of the booklet. If there is another person who is the bill payer, they also need to sign the agreement.
When the form is complete, the paperwork is taken to the school and the enrolment may progress, following the school’s procedures. If there is genuine hardship, the Principal will determine how much the whānau can pay and add their name to the rebate sheet.
Step 4
If the student is accepted for enrolment, the School Office will add the student’s National Student Number (NSN) to the form and scan the document to the school's portal “shared drive” with in file name format " Surname, First Name, NSN number. Place it in the "Files" folder in your school portal shared-drive. The Office will then move the student from pre-enrolled to enrolled status in the student management system (SMS).
Step 5
The SMS will synchronise data the following evening and an enrolment will be recorded in CathConnect. The Dues team will verify the Preference Certificate and Attendance Dues is complete and complete their process for enrolment which involves confirming the bill payer.
An invoice is then generated and whānau receive an email detailing payment procedure.
Annually the school may choose to be reimbursed from Dues collected, for scanning and sharing the completed form at the agreed rate.
