Welcome to We Always Care LLC. By accessing or using our website or transportation services, you agree to be bound by the following Terms and Conditions. Please read them carefully.
1. Services Provided
We Always Care LLC (“Company”, “we”, “our”, or “us”) provides Non-Emergency Medical Transportation (NEMT) services to eligible individuals, including private pay clients and Medicaid beneficiaries. Services may include:
Ambulatory, wheelchair, or stretcher transport
Door-to-door and curb-to-curb service
Optional escort assistance (by request and availability)
Pre-scheduled and recurring ride options
All services must be scheduled in advance, and same-day transport is subject to availability.
2. Eligibility and Scheduling
Private Pay Clients: Full payment is due at the time of booking or as otherwise agreed in writing.
Appointment Times: Passengers must be ready 15 minutes before scheduled pickup and understand that drivers may arrive up to 15 minutes before or after the scheduled time.
No-Show or Late Cancellations: A fee may be charged for cancellations made less than 24 hours in advance or in cases of no-show.
3. Payment and Fees
Private Pay: All pricing will be discussed and agreed upon prior to service. Trip costs may include a base fare, mileage, wait time, and escort service fees.
Accepted Payment Methods: We accept credit/debit cards, electronic transfers, and pre-approved billing arrangements.
4. Client Responsibilities
By using our services, you agree to:
Provide accurate information about your transportation needs (e.g., mobility aids, escort assistance, pickup/drop-off addresses).
Be respectful and cooperative with drivers and staff.
Wear seatbelts and follow safety protocols at all times.
Refrain from using abusive language or engaging in disruptive behavior.
We reserve the right to refuse or terminate service if the safety of our staff or other passengers is at risk.
5. Medical Emergencies
Although our drivers are CPR and PASS certified, We Always Care LLC does not provide emergency medical transportation. If you are experiencing a medical emergency, please dial 911.
6. Limitation of Liability
While we make every effort to ensure safe and timely transportation, We Always Care LLC shall not be liable for:
Delays caused by traffic, weather, mechanical failure, or other events beyond our control.
-Personal items lost or left in the vehicle.
Any indirect or consequential damages related to transportation delays or service interruptions.
7. Privacy and Confidentiality
We are committed to protecting your personal and medical information in accordance with HIPAA and state privacy laws. Information collected during the scheduling and transportation process will be used solely to provide and coordinate services.
8. Modifications to Terms
We reserve the right to update these Terms and Conditions at any time. Any changes will be posted on this page, and continued use of our services after such changes constitutes acceptance.
9. Governing Law
These Terms are governed by the laws of the Commonwealth of Virginia. Any disputes shall be resolved under Virginia state jurisdiction.
