Transfer Window Opening Soon!
2025-2026 Transfer Window Info and Dates:
What: The Priority Transfer Application Window for resident families and students currently on transfer opens soons!
When: Priority Transfer window will be from December 1st through Jan. 15th. Once the window closes principals will process these applications. The DPP office at Bullitt County Schools will notify families of approval status beginning in February.
Important Info:
The Early Kindergarten Registration and Non-Resident Transfer Application Window for new non-resident transfers will open on March 10, 2025.
Students must be in AND remain in good standing with grades, attendance and behavior throughout duration of their transfer to be considered for approval and to remain.
Families of students approved for transfer must provide their own transportation
Tuition for approved Out of Bullitt County Non-Resident transfers is paid in full between July 1 up to one week prior to opening day
Power of Attorney (POAs) are no longer accepted by Bullitt County Public Schools

***It is parent/guardian's responsibility to keep their child's primary residence address up to date with Ms. Katie Ashbaugh in our front office. Families determined living outside of Roby's area during a residency check or home visit will be AUTOMATICALLY DENIED transfer. We are happy to accept transfer requests for students to finish the year at Roby if we are kept informed and student is in good standing with grades, attendance and behavior .
HOW CAN I SUPPORT ROBY
There are many different ways you can support our school! Upcoming events and needs are listed below:
Donations
Send in donations of individually wrapped, store bought treats. These include Little Debbie cakes, Hostess cakes, etc. All donations can be turned into homeroom teachers by Friday, November 29th for Sweets with Santa.
Time
Volunteer your time at Roby reading to students, supervising students at events or on trips, assisting with clerical tasks, or monitoring the cafe. Bring your driver's license and $10 and fill out our background check form. These are good for 2 years! General Reminders
Attendance
Let us know why your child is out using this form - CLICK HERE. Doctor notes and parent notes may be submitted digitally through this form!
You have 5 days to turn in attendance notes!
Parent notes must include the following information for the absence to be excused: date(s) of absence, reason for absence, student name, parent/guardian signature, parent/guardian phone number and be an "excusable absence".
In most instances, absent students may NOT participate in extracurricular activities.
Home/hospital services are provided for students who will miss 5 or more consecutive days due to illness.
BCPS has a educational enhancement opportunity policy!
The event must have a significant educational value and be related to the Kentucky core curriculum. EHOs cannot occur during the school’s state assessments or district-wide assessments. Students that have 3 or more unexcused absences or tardies will not be approved for an EHO.
Non-examples: Funerals, Family Vacations, Athletic Events, Community Events and Religious Events because these are not part of an intensive instructional program as governed by the Kentucky Department of Education.

Send your child with their backpack everyday! Check their red folder everyday! Put all items for your child's teacher INSIDE of their red folder. We don't
Checking Out Students
NEW Procedure: We ask that all afternoon checkouts conclude by 3pm, unless you have the school's prior approval to check out your child after that time. This is a common practice in elementary schools to ensure staff can focus on communicating any changes to transportation to teachers and take care of immediate emergency needs that arise by the end of the day without interruptions. We understand that true emergencies arise, and we will respond to these with grace and patience.
Chromebook Fees
Chromebook fees ($36) must be paid for students to use chromebooks both at school AND are required for students to take these home. CLICK HERE to pay online! If you have a financial need, you may request a fee waiver from your child's teacher or our FRC, Megan.luckett@bullitt.kyschools.us. If the fee waiver is approved, you are not responsible for paying any fees for chromebooks or field trips but must stay in communication with your child's teacher or our FRC when these are due. This information is kept confidential. Your child's teacher will not know that your fees are accounted for unless you reach out to them or Ms. Luckett.
NTI days are very likely due to our last day of school and when graduation might fall. For NTI days to count, our school must meet a minimum attendance (participation) goal. Students will be required to take their chromebooks home when weather, illness, or other events increase our chance of NTI the following day(s). Chromebook fees must be paid for students to take these home.
No holes in pants
Soft sole shoes with backs EVERY DAY! Our gym floors have been resurfaced and we want to keep them looking good!
Students MUST wear tennis shoes when they have PE. If this is a hardship for your family, reach out to our FRC, Megan Luckett.
Crocs with the back secure over the heel are permitted to school EXCEPT on your child's PE day
Dress code violations require a parent to bring student a change of clothes. Our FRC clothing resource is not for dress code violations.
Absolutely no hats or hoods on head while in the building. Students who cannot follow the hood on head rule, will lose the privilege of wearing hoodies.
Winter clothing - Make sure students are appropriately dressed with layers for outdoor play! Students enjoy and need this time for outdoor play. Only extreme temperatures and rain prevent us from playing outside.
Drop off/Pick Up
Preschool/Headstart/MSD: Students in preschool, headstart and Ms. Vertrees students - hand to hand drop off and pick up is in the back of the school at the cafe doors! Siblings may not be dropped off too! Please be patent if a staff member is not immediately avaible to greet your child as this is a hand to hand process. If you arrive after 9:10am, please come in the front of the building and sign in your child at the front office. This door is for drop off only. Visitors must enter through the front doors.
Drop off and pick up is in the car rider line! Please do not let your child out in the parking lot or walk them to the flag pole to send them across - the car rider line must be used between 8:40am and 9:10am. Please do not come into the school to pick up your child after 3pm. Checkouts require
Please stay in your vehicle and wave someone over if your child needs assistance getting out or in the vehicle.
Car rider tag - To pick up in line, you must have a car rider tag! You may not pick up using a photo ID as this slows down our car rider line. All parents were provided with these tags via mailing and at open house but we have extras if you need them! If you do not have a tag with you, wait in your vehicle until pick up concludes before entering office with your photo ID.
Changes to transportation must occur before 3pm and must be sent in writing via the form at the top of the newsletter or CLICK HERE. The form does not accept responses after 3pm.
Pick up - Students must be picked up by 4pm. While we understand that life can be unpredictable, repeated late pick-ups are a cause for concern that will need to be addressed. It is crucial that all students are picked up by 4 pm, as our staff must attend to other responsibilities after that time.
After school activities - Please note that multiple late pick-ups from extracurricular activities may result in your child no longer being able to participate in these programs. We want to ensure that all students have the opportunity to engage in these valuable experiences, but we also need to maintain a consistent schedule and our staff must attend to other responsibilities after that time.
We STRONGLY encourage you to keep your child's transportation consistent and make only absolutely necessary changes! Changes cannot be made to addresses that are not in IC. Students may not go home with friends on the bus!
Leave the color bracelet on your child's backpack. This shows teachers how a student is getting home!
Field Trips
Send your child to school in their grade level t-shirts on these days! These are still available for purchase from your child's teacher.
MUST have an approved Background Check on file with the school (lasts 2 years) to volunteer on a trip.
Volunteers are permitted based on space available and the need from the grade level. Sometimes the number of volunteers are limited. You must be on the teachers approved list to attend a trip.
Most trips are designated as MEET YOU AT THE LOCATION. If you are unsure, ask your child's teacher where to report and at what time! Most trips do not require parents to come to the school. Please be early to the location and ready to work with your group of students as soon as our buses arrive.
ASK FIRST! When on a trip, before you do anything that is not included on the agenda/directions from the teacher ASK PERMISSION first. There are many factors that are involved in taking a group of students on a trip. You are supervising a group of students under the direction of the school staff. Do not leave your group, take your group to a different location, etc without the teachers permission!
Please remember that during field trip, no vaping, smoking, or purchasing of adult beverages is permitted, even if the business or venue sells these items. The safety and well-being of our students are our top priorities.
Volunteering on field trips is a way that you can support our school community. It is a privilege reserved for those who can be trusted to follow procedures and provide helpful support to our students during the trip refraining from disruptive the learning experience.
Food & Water Bottles
Free breakfast and lunch for all students! We are a CEP school. This means your child has a free breakfast and lunch. Encourage them to get a meal!
Students may bring their lunch but outside food from restaurants is not permitted in the classroom or cafe!
Only water is permitted in water bottles. These are typically kept in students cubby at school until needed. Student must follow their teacher's instructions. Students may NOT bring energy drinks to school (water in the classrooms and a drink at lunch).
Please no caffeinated or sugary beverages in lunches.
Snacks are at the discretion of the teacher (what can be brought, when/how students can access, etc.)
We will accommodate for medical needs of students per their individual plan and doctors statement regarding snacks and drinks!
Phones & Smart Devices
Students are not permitted to have phones, tablets, smart watches, or personal electronic devices at school or on the bus!
Exceptions will be made for students with medical needs that require a device. However, students are expected to stay off the device with the exception of use for medical needs.
If your child must have their phone/device due to going to daycare or another parents house, it must remain turned off and put away. The phone cannot be visible at any time!
First offense is a warning. Second offense - device is turned into the safe in the office for parent to pick up. Third offense and more will be addressed on individual basis.
Toys
Leave toys/blankets/all extra items at home unless you have your child's teachers prior permission to bring something to school for a special reason. We apologize for any confusion created by a substitute that permitted this with our 2nd grade students.
Trading cards (i.e. baseball, pokemon, etc) are toys and must remain at home!
Visitors
No visitors during drop off/pick up: During our morning drop-off (8:40-9) and afternoon pickup times (3:30-4ish), our staff's primary focus is on supervising students and ensuring their safe arrival and departure. To avoid disruptions, we kindly ask that you do not approach the building during these busy times. Our front office staff is actively monitoring the bus radio and responding to transportation inquiries from students and staff as buses and schedules fluctuate.
All visitors must sign enter through the front office and sign in!

Bus Cancellation & Right at School Partnership
What: Resource! It is really important for students to be at school each day. We want to help in whatever ways possible to work with your family’s needs to get your children to school on days that buses are canceled.
Who: This service is offered to ELEMENTARY and MIDDLE school families.
Cost: There is no cost to the families participating.
How: The child's bus must have been canceled for the day. Families must fill out a google form requesting this and they may select AM, PM, or BOTH for their children. Entries are accepted until 9:00 AM. Families must have a RAS registration form completed for emergency and pick up purposes. These can be submitted in advance of your bus being out. RAS will allow drop off at 6am and they request families pick up by 6pm.

Celebrations
Parent Needs & Concerns
If you have a need or a concern that requires attention, you have multiple methods to gain the support that you or your child needs.
Step 1: Always reach out to your child's teacher first (if it is reference to something that happened in class or in reference to the teacher). We will politely redirect you to the teacher if this is something that has not been done. If needed, schedule a meeting with the teacher.
Step 2: If you are not satisfied with their response or if it is regarding something unrelated to the teacher (i.e. need assistance with food/clothing, access to school based counseling, chromebook repair fee, etc.), fill out the form at the top of the newsletter and on the website titled Contact Roby Leadership. Your response will be automatically directed to the appropriate person who will respond in 1 business day. Our admin team gets all of the "BCPS app" notifications for all teachers and families. Please do not use the app to communicate directly with an administrator (principal or counselor) unless you add the teacher as they may not see it in a timely manner.
Step 3: If the need is more pressing than 24-48 business hours, call the office and relay this information to Dr. Ross' secretary Ms. Tara Duley. She will pass the information on to the correct person who will contact you as soon as possible and within 1 business day. Rest assured that we will respond as soon as possible and based on the level of need/priority your concern is compared to the other items we are working on. We value you and your child and want to give the same thought, time and attention to your concern that we may be currently spending with another student/parent.
Step 4: If you need a meeting with an administrator, please call the school and ask for Ms. Tara Duley. She will schedule an appointment for you. Please give a brief explanation of the purpose of the meeting. This can typically be accomplished in 1-2 business days. We will value the time that you scheduled to discuss your concern. If your concern involves your child's behavior or success on the bus or in class, the bus driver or a staff member will be included in the meeting. The meeting will need to be scheduled during that staff member's planning or at our next available appointment before/after school.
Step 5: If you are not satisfied with the outcome of a situation/concern after talking with the teacher and an administrator through the process above, ask the administrator what your next steps might be (these depend on the situation).
NOTE: BCPS has a civility policy that must be followed for parents/guardians to continue to have access to the building and to talk with staff. Go to the KSBA online manual (HERE) to read this policy. We ask that you follow this policy and refrain from causing a disruption, interrupting the normal operation of the school, raising your voice, and using profanity while on our campus or at a school sponsored event.
CARE is important to our school community. We ask that you give our teachers and administrators time, through the process above, to resolve any needs or concerns that arise.

Depending on the nature of the reported incident (i.e., Bullying or Harassment, Cybersecurity Concern, Discrimination, Racial Intolerance, and Sexual Harassment), you may be required to provide your contact information. If you remain anonymous, Bullitt County Public Schools will not be able to reach you and may not be able to fully investigate your concerns.
