Parking and Transportation

PARKING

Employees (Full-Time and Part-Time) and Students

Personal Vehicles: Employees must follow Parking and Transportation’s guidelines for on campus parking (ie Permits, Lots, Garages, Metered Parking).

University OR Rental Vehicles

Please email biol-forms@boisestate.edu with your vehicle’s make, model, license plate, and closest preferred lot/garage so the Biology department can coordinate on-campus parking. All university vehicles (including vehicles rented on behalf of Boise State–research, conference, field trip, etc) need to be stored on campus whenever possible so they can be monitored in lots with video surveillance to prevent damages. This should include, but is not limited to, periods before and after the start of travel when the vehicle may be under inspection with Fleet Services, nights when travel will commence the day after, and days when the vehicle will not be driven. University vehicles should never be parked off campus, except in the case of active loading or active research/business-related travel.

Adjunct Instructors

If you are a part-time instructor and are interested in a parking permit for the semester, please contact Nicole Teregeyo in the Biology Department to notify Parking and Transportation so they can add the appropriate permit type onto your employee parking account.

Visitors and Vendors

Please contact bioinfo@boisestate.edu at least (3) business days before you will be visiting campus. You will need to send your vehicle’s make, model, and license plate number, as well as the building you would prefer to park nearby while on campus. Our department will send instructions for when and where to pick up a temporary placard. Please be sure to return this at the end of your visit.

TRANSPORTATION FOR UNIVERSITY-APPROVED TRAVEL

Rental Vehicles

Please submit the department’s Vehicle Request Form so we may collect the necessary information for your trip. A Boise State insurance card must remain in all rental vehicles for the duration of the rental. Please contact the Biology front office to get a copy of this card before your trip and return it after your trip has completed. Fuel should be purchased with a university PCard. If you are not a PCardholder, please notify your travel coordinator to checkout a fuel card to you for the duration of your trip.

Personal Vehicle Usage

Drivers using their personal vehicle will need to submit a Personal Vehicle Memo to the Biology Department. To request mileage reimbursement for your personal vehicle usage, you will need to submit a mileage log with trip estimate from Google maps (or other similar navigation service) together with your expense report.

Note from 11/4/21 Travel Memo regarding Commuter Miles:

Commuter miles are not reimbursable and should not be claimed on an expense report. Commuter miles include travel from Home to any Workstation (or reverse). Anytime you are driving from your home to your first job of the day, that travel is considered commuting.

  • Commuter miles include driving from home to another workstation instead of one’s usual workstation/office on Boise State campus

  • Miles that one drives outside of normal work hours/days are still commuter miles, the destination is the factor, not when it occurs

  • Mileage from a workstation location to a second workstation location can be claimed as a reimbursable expense because it is not a commute (commute = home as starting or ending point)

The only time mileage from home to a workstation can be reimbursed is when an approved telecommute agreement is on file with Human Resources designating ‘home’ as the employee’s designated work station.

Commuter miles examples:

  • Home to campus

  • Home to a restaurant to meet with a candidate or donor

  • In Nampa for a meeting, drive home

  • Home to airport for commencement of business travel

Best practice – Do not claim mileage from home to work, or work to home if you do not have an approved telecommute agreement
