Over the years, we’ve heard from alumni, parents, and friends who tell us they receive multiple communications and solicitations from UC Berkeley all on the same day. We have a tool designed to help you see what exactly is going out to our constituents — and when — allowing you to schedule your materials to avoid crowded time frames.
The campus-wide mailing calendar has been around for some time, but it’s worth a reminder now, as units across campus are sending out communications around COVID-19.
The calendar shows the mail dates that have been reported for all fundraising and alumni communications to donors and prospective donors across campus. The listings include all bulk mailings: email and physical mail, solicitations, and non-solicitations to 200 recipients and more.
To make the tool truly effective, it’s up to you to enter your communications on the calendar, where you can see the schedule of other pieces and time yours to avoid overlapping materials.
Prior to sending anything out, we encourage you to update the calendar with the mail dates and information using the format below. Once teams populate the calendar, you will be able to quickly see how the timing of your communications relates to other mailings — and you can adjust your schedules to avoid overlap, if needed.
If you do not have access or haven’t been on the calendar in awhile, see the instructions below.
HOW IT WORKS
First check to see if you already have access by searching for "Campus Mailings" in your google calendar. If you can't find it, please email campaigncomms@berkeley.edu requesting that the calendar be shared with you. You will receive an email confirming that you have been given access and link to add the calendar. Once you accept, it should appear in the “Other Calendars” section of your bCal browser interface. If you do not receive an invitation by the next morning, click on this link to access. Once it loads in your browser, click the “+ Google Calendar” button in the lower right-hand corner to add it to the “Other Calendars” section of your bCal.
(Note: bCal requires each calendar entry to include a time, so rather than leave it as an all-day event, please use 9am-9am to fulfill this requirement.)
