An Administrator's Guide to Maintenance & Operations {M&O}
A Message from Our Executive Director
Hello! My name is Randy Thomas, I am the Executive Director of the Maintenance & Operations Department. I happily came to the Auburn School District after graduating with a degree in Architecture & Urban Planning with an emphasis in Building Construction from The University of Washington. My career here at Auburn started back in 1988 as a Project Manager in the Capital Projects Department. I was then honored to accept the transition to the director's position here at M&O in 1999. I have enjoyed watching & assisting the school district grow & adapt to the world around us. The Auburn community has a special place in my heart, and it is truly a privilege to partner with you to provide the best possible services to our students, staff, and visitors of our facilities.

Maintenance and Operations (M&O) is sub-divided into multiple departments
(Some of the basic services offered by each of these groups is outlined below):
General Maintenance
Carpentry, Locksmith, Roof Repair, Cabinetry
Electrical
High and Low Voltage, Communications, Power Distribution, Lights, Clocks, Alarms
Mechanical
Heating, Ventilation, Air Conditioning, Plumbing, Refrigeration
Paint
Painting, Window Repair, Graffiti Removal, Signs
Grounds
Lawn and Grounds Care, Playground Safety, Sports Field Preparation
Custodial
Facility Sanitation, Security, Building Uses
Warehouse
Deliveries (Scheduled Weekly), Moving, Mail, Surplus
In addition to the functions listed above, M&O also provides services in regards to safety, utility, accounting, regulatory requirements, supporting capital projects efforts, and other miscellaneous functions.

How do I ask for help?
To get service from any of our departments please make a work request through the on-site maintenance management system (Asset Essentials - click the image to the right to open the program).
To get materials from the warehouse you must fill out a warehouse request form. Phone-in requests should be used in the case of an emergency.
The grounds department will do the routine grounds care, such as: mowing, trimming, and weeding without the need for a work request. They will request a class schedule from your building in an effort to provide the least intrusive service possible.
The day custodian(s) is/are responsible for the day-to-day needs of the facility including opening lunch room, and some cleaning areas.
The night custodian(s) is/are responsible for building uses and the bulk of the cleaning tasks.
Specific duties and uses of these individuals should be coordinated through the custodial supervisor. Evaluation and quality concerns are the joint responsibility of the building principal and the custodial supervisor.
What Can You Do to Help Ensure Good Service?
Please limit telephone/email maintenance requests to real emergencies
Please limit telephone request for warehouse services and materials
Please allow ample time from when you make the request and when you need it completed
Please put only one work item in each work request
Please do not write "emergency" or such expressive verbiage on the work order; if it is an emergency, then call it in. Descriptions such as: Safety item, or Handicap access issue are appropriate, but please use only for when it really is
Please provide at least two days notice for bulk mailing

Regulatory Issues?
Scheduled Building Responsibilities:
* Conduct monthly fire drills and report
* Conduct monthly E-911 tests and reports
* Conduct disaster drills and reports
* Monitor chemicals and other materials brought into facility and keep accurate MSDS records on file
* Conduct monthly safety inspection (building safety representative)
Scheduled Maintenance Responsibilities:
*Fire drill, disaster drill and E-911 record keeping and submittal to AFD
* Annual fire alarm system confidence tests
* Annual fire suppression system (sprinklers) maintenance and testing
* Annual fire extinguisher maintenance
* Semi-Annual AHERA (asbestos) inspections
* Tri-Annual AHERA inspections
* Initiate repairs resulting from all regulatory inspection agencies including the health department, the fire marshal and the state elevator inspector
