The purpose of the HR Request forms is to provide all necessary details of the recruitment life-cycle to the University College HR so that the recruitment process is as seamless and smooth as possible. Additionally, these forms will allow for HR reporting and tracking.

You must review and update your job description before requesting a position to be opened.
Please allow at least 3-5 business days for your student job requisition to be posted.

Hiring Committee (Primary Recruiter):
Can "review" candidates as soon as the requisition is posted.
Pro-staff members listed as Primary Recruiter on the requisition will have access to all student candidates for that job requisition.
Can perform recruiting functions for assigned job requisitions, which include qualifying, evaluating, interviewing, and dispositioning applicants for positions.
Evergreen REQ:
After an Evergreen REQ is posted on the website, you must wait three days before beginning to interview or disposition applicants.
Promptly disposition candidates who will not be considered for an interview
Primary Recruiter will need to upload the Interview feedback (supporting documentation) for the interview

Standard REQ:
You must wait until the REQ is no longer posted on the website before you begin interviewing students. This is a critical step to ensure a successful process.
The Primary Recruiter must upload supporting documentation for the interview.

Candidates in a standard requestion of the current pool MUST be dispositioned all before submitting an offer request.
After the candidate signs the offer letter, both the new hire and their manager will receive a welcome email along with a link to the UC Student Onboarding Website

The search Committee no longer wants to hire any students from this existing requisition.
CLICK HERE: Request to CLOSE Student Requisition
Please submit this form to request a CLOSE student job requisition.
Use this business process only if recruitment is no longer needed. Once a job requisition is closed, you must create a new one to restart recruitment.
If candidates are still on the job requisition, you must disposition them before closing.
The Supervisor needs to initiate the termination of a student staff member

Please submit this form to request that a student's position be terminated.
This request can be used to end primary and additional jobs.
To complete the termination in Workday, a resignation letter OR an email from the Manager to the Student regarding the end of the assignment must be attached.

After the UC HR team processes a student employee's termination, the direct manager must approve it in Workday to finalize the job's end.

Please use this form to request actions such as a promotion, pay rate change, full-time equivalent (FTE) adjustment, supervisor change, or payroll funding modification.
Do not communicate any requested changes to employees until the request has been fully approved, and you have received a confirmation email or letter regarding the change.
This form should only be completed by the Direct Supervisor who directly approves the employee's status change.
